Basic Text Formatting in Microsoft Word

Text formatting allows you to change the appearance of your text to make it more readable,
emphasize certain parts of your document, or create a specific style. Here are the most
common text formatting options in Microsoft Word:

1. Font Style

 Change Font: Select the text you want to modify. Under the Home tab, you'll find a
drop-down menu that allows you to choose from a wide variety of fonts (e.g., Arial,
Times New Roman, Calibri, etc.).

 Font Size: The font size is also found in the Home tab. You can either select a size
from the drop-down menu or manually enter the size (e.g., 12, 14, 18).

 Font Color: Use the Font Color button (usually represented by a small "A" with a
color underneath) to choose a color for your text. You can pick from theme colors or
more specific color options.

2. Bold, Italics, and Underline

 Bold (B): Select the text you want to emphasize and click the Bold button (B) on the
Home tab, or press Ctrl + B on your keyboard.

 Italics (I): Click the Italics button (I) or press Ctrl + I to italicize selected text.

 Underline (U): Select the text and click the Underline button (U) or use Ctrl + U to
underline the text.

3. Text Alignment

 Left Align: This is the default text alignment. It aligns text to the left margin.

 Center Align: Click the Center button on the Home tab (or press Ctrl + E) to center-
align your text.

 Right Align: Click the Right Align button (or press Ctrl + R) to align your text to the
right margin.

 Justify: To make your text flush with both the left and right margins, click the Justify
button (or press Ctrl + J).

4. Line Spacing

 Adjust the space between lines of text for better readability. Go to the Home tab,
click the Line and Paragraph Spacing button, and choose your preferred spacing (1.0,
1.5, 2.0, etc.).

 For more control, you can select Line Spacing Options to adjust additional settings
like before and after paragraph spacing.

5. Text Highlighting

 Highlight important text by selecting it and then clicking the Text Highlight Color
button (usually a marker icon) in the Home tab. Choose a color to apply the highlight.

6. Strikethrough and Subscript/Superscript

 Strikethrough: If you want to show text that has been deleted or crossed out,
highlight the text and click the Strikethrough button (abc with a line through it) in
the Home tab.

 Subscript/Superscript: To format text as subscript (smaller and below the regular


line) or superscript (smaller and above the regular line), use the respective buttons in
the Font group on the Home tab.

7. Text Effects

 Word offers various text effects like shadow, reflection, and glow. You can find these
in the Font section under Text Effects on the Home tab.

8. Bullet Points and Numbered Lists

 Bulleted List: To create a list with bullet points, select your text or place the cursor
where you want the list, and then click the Bullets button in the Paragraph group on
the Home tab.

 Numbered List: For a numbered list, click the Numbering button (next to Bullets) in
the Paragraph group.

9. Changing Case

 You can easily change the case of the text by selecting it and clicking the Change Case
button (Aa) in the Home tab. You can choose from:

o Uppercase (all letters in caps)

o Lowercase (all letters in lowercase)

o Capitalize Each Word

o tOGGLE cASE (alternate upper and lowercase letters)

10. Clear Formatting

 If you want to remove all formatting from a portion of text and revert to the default
style, highlight the text and click Clear All Formatting in the Font section of the
Home tab (icon with an eraser).
