Recruitment of Data Clerks

1. Background
Plan International Kenya under COSME Project is seeking to recruit qualified Data Clerks in Kwale and Kilifi
counties to their database who would supporting in data entry and management processes. The successful
candidates will play a critical role in ensuring accurate and timely data processing, contributing to the
project’s overall efficiency and effectiveness.

2. Objectives of the Role


The primary objective of this recruitment is to engage Data Clerks who are proficient in MS Excel and
possess strong organizational and data management skills to support the project’s operational and
reporting needs.

3. Scope of Work
The Data Clerks will be responsible for the following tasks:

• Scanning: Digitize physical documents and organize electronic files for easy retrieval.
• Data Cleaning: Identify and rectify errors or inconsistencies in datasets.
• Data Validation: Ensure data integrity by cross-checking information against source documents.
• Data Collection: Use online tools to gather required data as per project needs.
• Filing and Records Management: Maintain orderly and secure filing systems, both physical and digital.
• Support for Reporting: Assist in the preparation of periodic reports by providing accurate data as
required.

4. Qualifications and Experience


The ideal candidate should possess the following qualifications and skills:

• Should be from Kwale and/or Kilifi counties.


• Must have completed secondary school education.
• Proficiency in MS Excel, including advanced functions such as pivot tables, data validation, and formulas.
• Experience in data entry and management, preferably in a similar role.
• Strong attention to detail and accuracy.
• Excellent organizational and time management skills.
• Ability to work independently and meet deadlines.
• Familiarity with data collection tools and online platforms is an added advantage.
5. Duration of Engagement
The Data Clerks will be added in Project’s database pool of qualified personnel and would be engaged on
need basis for the entire period of the Project.

6. Reporting and Supervision


The Data Clerks will report to the respective PIK staffs who would engage them for the tasks. Regular
performance reviews will be conducted to ensure alignment with project goals.

7. Deliverables
The expected deliverables include:

• Accurate and organized datasets ready for analysis.


• Timely submission of validated and cleaned data.
• Well-maintained filing systems.
• Completion of assigned tasks within agreed timelines.

8. Application Process
Interested candidates are required to submit the following:

• A detailed CV highlighting relevant experience and qualifications.


• A cover letter expressing interest in the role and suitability for the position.
• Copies of academic and professional certificates – KCSE certificate, any computer driving certificate with
MS Excel as a unit and/or with any data manipulation course and ID.

9. Confidentiality
All information handled by the Data Clerks must be treated with the utmost confidentiality. Any breach of
this policy will result in immediate termination of the contract and potential legal action.
