The lesson covers one of the common competencies that a student ought
to possess – Performing Computer Operations.

Let’s learn

Information access is the ability to identify, retrieve, and use information


effectively.

Traditionally, information has been disseminated in a variety of formats


that have been widely accessible, often through public libraries. Many
individuals also relied on other people and the media for information. However,
advances in computer technology have revolutionized information access,
making vast stores of business, education, health, government, and
entertainment information accessible on the World Wide Web. Yet, despite
technology's dramatic impact on the extent and availability of digital
information, many people do not have access to these resources.

Accessing files and folders through the Desktop Icons

Icons are small pictures that
represent files, folders, programs,
and other items. When you first
start Windows, you'll see at least
one icon on your desktop: the
Recycle Bin.

In Windows, the Recycle Bin is a


folder or directory where deleted
items are temporarily stored.
Deleted files are not permanently
removed from the hard drive but
are sent instead to the Recycle Bin,
unless they are too large.
Double-clicking the Recycle Bin icon
located on the desktop or using
Windows Explorer, will open up the
list of files that are deleted.

Just right click the file and click


Restore to restore the file in its
original location. Likewise, clicking
Delete, deletes the file
permanently.

Double-clicking other desktop icon starts or opens the item it represents.


For example, double-clicking the Internet Explorer icon starts Internet Explorer.
Or, double clicking the Computer (My computer) will open up the different files
and folders saved in your computer. Using the Desktop Icons, you can easily
find the files/folders you need. You can also create a shortcut folder in the
desktop containing important files, to make it more convenient
for you to locate and access the file.
If you have difficulty in finding the files, you can locate the file using

the Search Button from the task bar:

Selecting Program for a certain Task

Programs are designed to help the user to perform singular or multiple related
tasks.
Examples of application software programs are as follows:

1. Word processing software - Creates, edits, saves, and prints documents.

Examples: MS Word, WordPerfect, Ami Pro, MacWrite.

2. Spreadsheet software - An electronic spreadsheet consisting of rows and


columns are used to present and analyze data.

Examples: MS Excel, Lotus 123, Quattro Pro.

3. Database management software - Used to structure a database, a large


collection of computer programs. Data is organized as fields and records for
easy retrieval.

Examples: MS Access, dBase, FoxPro, Oracle.

4. Graphic software - Graphics programs display results of data manipulation for


easier analysis and presentation.

Examples: Macromedia Flash, Harvard Graphics, 3D Studio Max, Adobe Photoshop.

USING THE KEYBOARD

The keys on the keyboard can be divided into several groups based on function:

a. Typing (alphanumeric) keys. These keys include the same letter, number,
punctuation, and symbol keys found in a traditional typewriter.

b. Control keys. These keys are used alone or in combination with other keys to
perform certain actions. The most frequently used control keys are CTRL, ALT,
the Windows logo key and ESC.

c. Function keys. The function keys are used to perform specific tasks. They are
labeled as F1, F2, F3 and so on up to F12.the functionality of these keys differ
from program to program.

d. Navigation keys. These keys are used for moving around in documents or
webpages and editing text. They include the arrow keys, HOME, END, PAGE UP,
PAGE DOWN, DELETE and INSERT.

e. Numeric keypad. The numeric keypad is handy for entering numbers quickly.
The keys are grouped together in a block like a conventional calculator or
adding machine.

The following illustration shows how these keys are arranged on a typical keyboard.

Typing keys

KEYBOARD TECHNIQUES

Touch typing is a technique for you to type documents quicker with accuracy
using your 10 fingers without looking at the keyboard. In the home key position,
your fingers will rest at the middle part of the keyboard. Place your fingers on
the home row keys:

1. Place your left hand fingers on the keys A S D F

2. Place your right hand finger on the keys J K L ;

3. Both of your thumbs should rest lightly on the spacebar.

4. Keep your wrists straight and slightly curled your fingers.

While keeping your palms raised while typing, there are also other tips you can
follow to help prevent carpal tunnel and pain while you type. Keep the following
suggestions in mind every time you type.

 Keep your keyboard home row height as close to elbow level as possible.
 Center the spacebar with your body.
 Do not angle or bend your wrists. While typing, keep your wrists elevated
and as straight as possible.
 Avoid hunt-and-peck typing as it causes strain on the neck from having to
look down at the keyboard often.
 Don't use more force than needed to press the keys; you don't want to hit
the keys, as it could lead to keyboard damage.
 When you're not typing, make sure to rest your arms and hands. However,
never rest your arms, hands, or wrist on a sharp edge.
 Take a break from typing every 20 to 30 minutes. If you have a hard time
remembering when to take a break, set a timer or drink lots of water, forcing
you to go to the bathroom more often.

SHORTCUT KEYS

Shortcut keys help provide an easier and quicker method of navigating and
executing commands in the computer software. Shortcut keys are performed
using the Alt key (on IBM compatible computers), Command (on Apple
computers), Ctrl key, or Shift key in conjunction with another key. The de facto
standard for listing a shortcut is listing the modifier key, a plus symbol, and
another key. In other words, "Ctrl+S" tells you to press and hold the Ctrl and
then press the S simultaneously.

You can also find the shortcut keys in popular programs by looking for
underlined letters in their menus. For example, the file menu image has an
underline on the "F" in File, which means you can press the Alt key and F key to
access the file menu.

Some programs require the user to press and hold Alt to


see the underlined characters. In the image above, you
can see that some of the standard features, such as
Open (Ctrl+O) and Save (Ctrl+S), have shortcut keys
assigned to them. As you begin to memorize shortcut
keys, you'll notice that many applications share them.
We have a list of the most commonly shared ones in the
basic PC shortcut keys section.

KEYBOARD CARE

Dust, food, liquid, and other particles can get stuck underneath the keys on
your keyboard, which can prevent it from working properly. The basic cleaning
tips below can help keep your keyboard clean.

1. Unplug the keyboard from the USB or PS/2 port. If the keyboard is
plugged into the PS/2 port, you will need to shut down the computer
before unplugging it.
2. Turn the keyboard upside down and
gently shake it to remove dirt and
dust.
3. Use a can of compressed air to
clean between the keys.

4. Moisten a cotton cloth or paper towel with rubbing
alcohol and use it to clean the tops of the keys. Do
not pour alcohol or any other liquid directly onto
the keys.

5. Reconnect the keyboard to the computer once it is dry. If you are


connecting it to a PS/2 port, you will need to connect it before turning on
the computer.

Dealing with liquids

If you spill liquid on the keyboard, quickly shut down the computer and
disconnect the keyboard. Then turn the keyboard upside down and allow the
liquid to drain.

If the liquid is sticky, you will need to hold the keyboard on its side under
running water to rinse away the sticky liquid. Then turn the keyboard upside
down to drain for two days before reconnecting it. Please note that the
keyboard may not be fixable at this point, but the method above is probably the
best option.

To prevent this situation altogether, we recommend keeping drinks away from


the computer area.
