ABSTRACT

The project has been for “College Management”. It enabled the management and
many activities such as fees, Student details, etc. This project is based on the
concept of managing student’s record. Normally the records are maintain in files
but as the ‘College Management System’ handled both the fees payment and
other activities. Our project is used to reduce their work and makes feels
comfortable to students treat them is very friendly and carrying nature. This
project is to related to college staff and manage their operations such as insert,
update, delete. The users can records information by providing student’s name,
mother’s name, gender, address, contact details, standard and so on.

Chapter 1
INTRODUCTION

The main objective of college management system is to automate all


functionalities of a college or university. Using this system you can manage all
college management work like admission, fees submission, time table
management and result declaration. Using this college management system, you
can view or update data and information about students and staff easily. This
system helps in managing the activity like student admission, student registration,
fees submission. Admin can also retrieve information of employee student.

The ‘College Management System’ can be used to store student information like
attendance, fees, and student result etc. admin can create report regarding any
student any time using this system. Using this system, you can register new
student and their course details.

College Management System can store and manage all data of the various
departments of a college like Administration, Attendance, Staff details etc. using
this system user can retrieve any information related to student, teacher and
fees.

1.1 Background
Today in colleges students details are entered manually. The student details in
separate records are tedious task. Referring to all these records and updating is
needed. There is a chance for more manual errors.
Problems in existing system:
• It was limited to a single system.
• It was less user-friendly.
• It have a lots of manual work (Manual system does not mean that we are
working with pen and paper, it also include working on spread sheets and
other simple software’s)
• It requires more no. of employees need to work.
• It was time consuming process.
• The present system was very less secure.
• It is unable to generate different kinds of report.

Solutions to these Projects:


The development of the new system contains the following activities, which try to
automate the entire process keeping in view of the database integration
approach.
• User friendliness is provided in the applications with various controls.
• The system makes the overall project management much easier and
flexible.
• It can be accessed over the internet.
• Various classes have been used to provide file upload and mail features.
• There is no risk of data mismanagement at any level while the project
development is under process.
• It provides high level of security using different protocols like https etc.

1.2 Objectives
• We will use Microsoft Visual Studio 2010 as user friendly of all information
kept in different.

• Tables according to the component of the college management maintained


in six main tables such as login, student, forget, fees, teacher, timetable and
result.

• The system is expected to improve the flow of information & security.

• Within the organization which would help in the smooth working of the
organization.

• The system designed to meet all the requirements of the organization thus
increasing efficiency of working of organization. This system can reduce the
manual work.

• The main objective of college management system is to manage the details


of college. Course, Fees.

• It manages all the information about college, student, session etc.

• The purpose of the project is to build an application program reduce the


manual work for managing the college, student, course. It tracks all the
details about the course, session etc.

• The project is totally administrative and only access to the administrative is


guaranteed the access.

1.3 Project Scope:

College information: Through this service one can access the access the complete
information about the complete information about the college campus etc.

This project deals with the various functioning in College management process.
The main idea is to implement a proper process to system. In our existing system
contains a many operations registration, student search, fees, attendance, exam
records, performance of the student etc. All these activity takeout manually by
administrator.

In our model, it deals with the Operations in system. For example, when students
fill the registration form the record is stored in the database. And display the
details of student is perform by retrieving information from database table.

Our project aims at business automation i.e. we have tried to computerize various
processes of college management system.

• In computer system the person has to fill the various forms & number of
copies of the forms can easily generated at a time.

• The system generated types of information that can be used for various
purpose.

• It easily to understand by the user and operator.

• Be easy to operate.

• Be expandable.

1.4 Description of the Project:

We identify several problems including unauthorized privilege escalation,


incorrect use of cryptography, vulnerabilities to network threats, and poor
software development processes. We show that only college administrator can
start the system. Administrator can search the particular student by his/her
enrollment number or student id and we are adding notification module where
administrator should add the notification with start and end date.

College management system as described above can lead to error free, secure,
reliable and fast management system. It can assist the user to concentrate on
their other activities rather to concentrate on the record keeping.

1.5 Features of College managements system:

• Provides the searching facilities based on various factors such as college,


course, batch, session.

• The transaction are executed in off-line mode hence on-line data for
college, faculty capture and modification is not possible.

• It tracks all the information of faculty, student, and batch.

• Manage the information of College and Staff.

• It generate the report on college, student, and staff.

• Provide filter report of fees, batch, and college.

• Editing, adding and updating of records is improved which result in proper


resource.

SURVEY OF TECHNOLOGY

2.1 Introduction
Day-by-day, the percentage of illiterates are decreasing and the percentage of
literates is increasing. Education will change the society in all the aspects and
everyone wants to study higher professional degrees. Admissions are increasing
day by day so there by the ratio of establishment new colleges and schools are
also increasing. But the actual challenge is starting from now. Most of the schools
and colleges are maintain student information in records. When the number of
records increased, it is difficult to maintain the information of each student in the
old manual system.
This paper presents a method for increasing information requested by students
with the use of automated College Management System. In this, instead of direct
Contacting with direct Contacting with the faculty the student can directly checks
the Results from the System if the student is registered in CMS. By using CMS the
student and faculty can find out overall attendance percentages, fee details and
result analysis.
The software facilitates the administrators to know the present status of a
student of the college and they gives the information such as student personal
data, student fees details, results etc.
Hence we conclude that the present system (CMS for Colleges) would definitely
help the user by saving time and effort by reducing the processing time and
volume of errors.
The efficiency of the work done would be improved and work satisfaction on the
part of the employees after computerization would definitely on high.

2.2 Feasibility Study


Depending on the result of initial investigation the survey is now expanded a
more detailed feasibility study. “Feasibility Study” is a test of system proposal
according to a workability.
Impact of the organization ability to meet needs and effective use of the
resources. It can major questions:
1. What are the user demonstrate needs and how does a candidate system
meet them?
2. What resources are available for given candidate system?
3. What are the likely impact of the candidate system on the organization?
4. Whether it is worth to solve the problem?
During feasibility analysis for these projects following primary areas of interest
are to be considered. Investigation and generating ideas about a new system does
this.

Steps of feasibility analysis:


Seven steps involved in the feasibility analysis are:
1. Forms a project team and appoint a project leader.
2. Prepare system flow charts
3. Enumerate potential proposed system.
4. Define and identify characteristics of proposed system.
5. Determine and evaluate performance and cost effective of each proposed
system.
6. Select the best-purposed system.
7. Prepare and report final project directive to management.

2.2.1 Technical Feasibility


A study of resource availability that may affect the ability to achieve an
acceptance system. This evaluation determine whether the technology needed
for the proposed system is available or not.
i. Can that work for the project be done with current equipment existing
software.
ii. Technology & available personal?
iii. Can the system be upgraded if developed?
iv. If new technology is needed then what can be developed?
This is concerned with specifying equipment and software satisfy the user
requirement. The technical need of the system may include.

2.2.2 Economical Feasibility


Economic justification is generally the "bottom Line" consideration for most
system. Economic justification includes a broad of concerns that includes cost
benefits associated with the candidate system and if it suits the basic purpose of
the organization i.e. profit making the project making to the analysis and design
phase.
The financial and the economic questions during the preliminary investigation are
verified to the estimate the following:
i. The cost to conduct a full form system investigation
ii. The cost of hardware and software for the class of application being
considered.
iii. The benefits in the form of reduced cost.
iv. The proposed system will give the minute information as a result.
v. The Performance is improved which in turn may be expected to provide
increased profits.
This feasibility checks whether the system can be developed with the availability
of funds. The college management system does not require enormous amount of
money to be developed.
This can be done economically if planned judicially, so its economically feasible.

2.2.3 Operational Feasibility


It is mainly related to human organization and political aspects.
The following points are :

i. What changes will be brought with the system?


ii. What organization structures are distributed?
iii. What new skills will be required? Do the existing staff members have
these skills? If not, can they be trained in due the course time?
The system is operation feasible as it very easy for the End users to operate it.
It only needs basic information about Windows platform.

2.2.4 Schedule Feasibility

Time evaluation is the most important consideration in the developed of


project. The time schedule required for the3 developed of this project is very
important since more developed time effort machine time, cost and cause
delay in the development of other system.
A reliable college management system can be developed in the considered
amount of time.

2.3 Problem Definition


The various problem due to absence of our software program's are
i. Money consumption was high for such operation.
ii. Maintenances of similar data collection system is too much
expensive and was a tedious and risky task.
iii. Such collection system are so much complex to handle and operate
specially.
iv. Most important, the time consumption and human effort for such
work was so much higher.

2.4 Benefits of (CMS)

Complete Control:
With CMS, every section of the school or institute is managed
from a single platform. A quality IMS offers full control to monitor,
manage, and access all the activities comprising of library
management, sports, class management, seminars/upcoming
events, exams, etc. from a single platform.

Benefits for the Students:

While the software makes the job of faculty and administrators


easy, it also helps the students in many ways. Students can check
the schedule for different courses and exams without hovering
over the notice board. Also, the students also get the boost in
productivity and efficiency as they can save more time with CMS.

A Move towards Paperless System:

The world is going digital, and we are moving towards a paperless


society. Implementing an ERP-based School Management System
is a step towards a paperless system. With IMS, you can eliminate
the use of paper and rely on digital modes such as emails to send
and receive reports.

Boosts Connectivity and Engagement:

With 24/7 access, the School Management System lets you


connect with the students and administrators remotely from
anywhere in the world. It also encourages the students to post
queries and interact with the teachers directly from the platform.

REQUIREMENT AND ANALYSIS

3.1 Requirement Specifications


1) User class and characteristics:
a) Administrator: The admin keeps tracks of entries of new students to
department, entries of new staff to the department, entry of the
attendance information etc. Admin can modify the data.
b) User: User can retrieve the information from database by sending the
queries.

2) Functional Requirement:
The basic service that the automation for management system includes:
• Entry of the new student to the department.
• Entry of new staff to the department.
• Entry of the attendance information.
• Entry of the examination marks.
• Provide individual and class-wise report.
• Update the student profile depending on attendance and exam status.
• Workloads.
• System shall provide for password protected administrator access to add,
delete and modify the basic service offered by the system.

3) Non-functional Requirement:
a) Performance Requirements:
The proposed system that we are going to develop will be used as the chief
performance system for providing help to the department in managing the
whole database of the student studying in the department. Therefore, it is
expected that the database would perform functionally all the requirement that
are specified.
• The system should be easy to handle.
• System should give expected performance results.
• The response time should be small.

b) Security Requirement:
• We are going to develop a secured database. There are different
categories of the users namely administrator, restricted users who will
viewing either all or some specific information from the database.
• Depending upon the category of the user the access rights are decided. It
means if the user is an administrator then he can be able to modify the
data, append etc. All other user have the rights to retrieve the
information about database.
c) Safety Requirement:
The database may get crashed at any time certain time due to virus or OS
failure. Therefore, it is required to take the database backup.

4) Software System Attributes:


• The application is easy to interact and communicate with user.
• This application provides better user interface for ease of working.

3.2 Methodology
The administrator of the university was contacted for all information. The
staff at the administration office and accounts office were friendly and they
willingly provided all needed information. Where necessary, meetings were
arranged with the stuff and Lecturers in an open environment. All meetings were
conducted with the core motive of obtaining much information possible to enable
the researcher design a robust system.
Administrator is the person who holds the complete profile of the student
whenever a head of the Department or faults request the student profile the
administrator generates the report of the student with every single details like his
progress in studies and if he has any dues or not. Student can access the digital
resources to refer the study materials of their respected subjects.

3.3 Project Analysis


System analysis is a process of gathering and interpreting facts, diagnosing
problems and the information about the college management system to
recommend improvement on the system. It is problem solving activity that
requires intensive communication between the system users and system
developers.
The system is studied to the minutest details and analysis. The system analyst
plays the role of the interrogator and dwells deep into the working of present
system.
The system is viewed as whole and input to the system are identified. The output
from the organization are traced to the various processes.
System analysis is concerned with becoming aware of problem identifying to
relevant and decisional variable, a analyzing and synthesizing the various factors
and determine an optimal at least a satisfactory solution or program of action. A
detailed study of process must be made be various techniques like interview,
questions etc.
Preliminary study is the process of gathering and interpreting facts using the
information for further studies for the system. Preliminary study is problem
solving activity can be obtained from which the decision about the strategies to
be followed for effective system study and analysis can be taken Existing System
on college management system:
In the existing system the exams are done only manually but in proposed system
we have to computerize the exam using application.

3.5 Preliminary Product Description


1) Product Perspective:
i. User interface: The application that will be developing will have a
user friendly and menu based interface.
Following screens will be provided:
• A login screen for entering the username and passwords, so that
the authorized user can have an access without any problems.
• There will be a screen which will be displaying the major tasks
that the system will be performing e.g. add details, delete, view
details of the students.
• All the major tasks mentioned above will have their separate
forms and will perform the desired actions.
ii. Hardware Interface:
• Intel Pentium 4 or higher processor
• 1.5Ghz
• 512MB of RAM or More
iii. Software Interface:
• Operating system: Window XP,Vista,7,8,8.1 and higher
• Platform: .NET
• Database: SQL server
• Language: Visual Studio 2013 (ASP.NET & C#)
iv. Communication Interface:
The communication between the different parts of the system is
important they depend on each other.
v. Memory Constraints:
At least 512MB RAM and 4GB of the Hard disk space will be required
for running the application.
vi. Operations:
• The system will have the user-friendly interfaces. The system will
maintain the records of the students and staff.
• Only the admin can perform the operations on the databases.
User can only see their details or information’s.
• There will be additional backup for any kind damages or data lost.

vii. Site Adaptation Requirements:


The centralized database is used so that the system can
communicate to retrieve the information.

2) Product Function:
There will be user name and password to allow access only to authorized
users (Admin). The user can take only their information.
Software will perform the following functions:
• Only the admin can modify the data.
• Student can only retrieve their information.

3) Constraints:
• There is a backup for system.
• GUI features available.

4) Assumptions:
• The product requires a computer with internet connectivity.
• The system must be able to respond to the database Software within

CHAPTER 6
CONCLUSION

• The College Management System application is a desktop application


system with four main user levels namely Accounts Officers, Admissions,
Lecturers, and Administrators. The systems is placed on a centralized
server accessible by all registered account holders by the administrator into
the system (under a particular user level) at all times.

• The system allows its data to be shared, so it’s installed on a centralized


server and run from client machines at any department. All the college
details are stored in a centralized database.

• The system ensures strong security and confidentiality because of the tools,
applications and methodologies that were employed during the design and
development stages of the project. Username and password are always
required to grant access.
