ABSTRACT

The purpose of this program is to help the students and the librarian of PhilSCA-

Mactan to have a convenient and organized library transaction. The researchers

developed a system that manages books and students’ information that are registered

in the system. The admins are the ones who are authorized to edit, add books and

student records. It is also included in the system where it shows student’s penalties for

not returning the books on time. Its goal is to create an efficient library borrowing

system. The system has a function that allows users to conveniently handle student

information, book information, and borrowing transactions. The system is handled by

the admin where he/she can view records, history and can also add/delete students.

CHAPTER 1
(THE PROBLEM AND ITS BACKGROUND)

INTRODUCTION

Computer technology is the most important advancement in our culture today as

humans evolve in our computerized environment. These changes have a profound

impact on man's existence, making it easier and more convenient for him to live. Not

only must librarians be able to manage computerized library systems, but they must

also see how these advances will benefit them.

When looking for a book in the university library, students must first determine

what category the book belongs to and then go through the books within that category

one by one. Students may keep the book for an extended period of time; remembering

to renew the book before a specific date is not always easy; this loan period may

exceed the time limit, requiring students to pay a fine, which may be as much as the

cost of purchasing a used book. A library system is software designed to handle the

basic housekeeping functions of a library. It aids in providing information on any book

available in the library to both users and staff members. It keeps track of the books that

are issued, returned, and added to the library. Traditionally, library systems have been

used by hand. Forms are given to the Librarian, who fills them out with pens. The

manual library system is a time-consuming and exhausting task. The rapid

advancement of technology has contributed significantly to the advancement of the

library system. The computerized library system may be beneficial to academia.

STATEMENT OF THE PROBLEM

This study will enhance the management of the library transactions in PhilSCA-

Mactan Campus. Also, the computer technology of students will be able to develop a

system program for a design of library borrowing system in response to the problems in

the current manual library operations are enumerated below:

 Poor Security

 Issuing of books is slow

 Poor Data Storage

 Time Consuming

 Slow Retrieval of Data

 Lost Books

 Misplaced Library Cards

LIMITATIONS OF THE STUDY

 The system is not intended for use online.

 The library card is not provided by the system.

 It is only used for book searching, borrowing, and returning.

 The administrator is the only person who has the authority to alter, delete, or

modify the system.

(REVIEW OF RELATED LITERATURE)

RELATED LITERATURE

Philippine State College of Aeronautics Mactan Campus was the first aviation

school in Lapu-Lapu City. PhilSCA Mactan administration deals most of the school

transactions and records manually during enrolments, recording of student forms,

payments etc., which causes a time-consuming process. In the library, students are also

manually filling up a sheet of paper for their information when they want to borrow

books. Students are not instructed and guided properly during rush hours in the library

which causes a lot of misleading and error transactions, records and a not well-

balanced distribution of books for students every day.

By developing a computerized library borrowing system for PhilSCA Mactan this

will provide an easy way of encoding, recording and searching of past transactions in

the library. An Online Library Borrowing System for a school keeps track of all books

and periodicals in the library and their check-out status. The library system also

interfaces with an external relational database which stores information about the library

users (students, faculty, and staff), including whether they have any library items

checked out. Library users can access the catalog and recall books and periodicals.

Library employees have the same access as well as additional capabilities. An Online

library borrowing system is an automated system, as described above, in which all of

the functional modules share a common bibliographic database.

Libraries are a critical part of an educational institute. Usually, it has to roll out

fine but complex tasks to maintain records of the books. When the institute is focusing

on delivering quality educational services, a well- managed library is part of the service.

Moreover, smart school operations are trending these days, libraries should be

managed electronically to run smarter institutes.

According to Charuasia (2010), it connotes the term library with use of automatic

data processing machines to perform routine library activities. It Implies a high degree of

mechanization of various routine and repetitive tasks & operations and processes are

left to be performed by human beings. The study stresses library automation as the

application of computers and utilization of computer-based products and services in the

performance of different operations and functions or in the provision of various services

and output products. In addition to computer advancement, telecommunication and

audio-visual technologies give away to new possibilities in information processing.

According to the study of Robertson (2004), Library management system (LMS)

known as an automated library system is software that is developed to deal with the

basic functions of a library, and provides a complete solution for the administration of a

library's technical, economic and social functions and services to the users. These

functions range from; tracking the assets held by the library, managing book and user

records, through to supporting the daily work over. These systems are used in almost all

libraries large and small at once.

The academic sector, as well as other professional sectors rely heavily on

libraries. The efficacy of a library is determined by how books and other resources are

organized, as well as how easy it is to obtain the books that one desires. The majority of

what we see presently is a manual library management system with an undefined mode

of functioning. What we are proposing is a computerized library borrowing system that

will provide better and more efficient service to library patrons. This software is

designed to convert an inefficient manual method into a more efficient computerized

system. This application is suitable for use in educational institutions as well as some

professional regions. This program assumes that the user does not have access to a

computer.

According to Lou (1986), a survey on the computer application in 223 libraries in

Metro Manila. The study revealed that they prioritize the three library functions to be

computerized as cataloging, indexing, and circulation. However, the plan for automation

for the libraries cannot be implemented due to financial incapability of the libraries, and

the lack of funds from the government. Despite this drawback, the libraries are not

turning their backs unto the automation of their libraries.

Koy Yeeh Keat, (2011) in his research developed a library borrowing system

which could mainly be used by members and staff of the library. The system allows

members to search for books and reserve books through websites so that they can

save their time and cost to travel from one place to another to use the library as well as

know what the book entails in the library. In the system developed, staff can also be

able to add news and also view reports with several criteria as well as add, edit and

delete news. The system developed was aimed at allowing users to reserve books via

online, to convenient user borrowing books via online, implementing email technologies

to the website, implementing SMS technologies to the system, designing a friendly

graphical interface which would suit the users.

According to Q.1.Pastrana (2013) from the study of Library Borrowing Systems

that android devices can use to attract the students on going to the libraries. In terms of

their device, they can easily search or monitor the books inside the library, Whether the

books that they want to borrow are in the borrowed section or it is still available. So, in

this situation the students will have more fun in this new library system. Therefore, the

author uses what is the trending device to make students come to the libraries because

their task of searching books inside the library becomes easier and faster.

According to D. Lourdes (2012) the planning of this system was way back in

1995 but it was difficult to implement during that time so it took a long time to be able to

release it to the public. There are some universities that quickly get the partnership

since it was started in 2012. It means networking is also a major key to collaborating

inside the library. Therefore, this type of system is exactly a big help to the state of the

Philippine libraries. It can make our library world class and can compete with other

country’s libraries.

According to Valente (2016) from the article entitled “The Library of Borrowing

Systems” are systems that helps big in terms of some transactions on the library. In this

article the automated library systems said that it can do multitasking, it can record books

in the library but it can also make different transactions. It will make the library service

convenient like making card cataloging. Therefore, multitasking inside the library is very

nice. The system will be the one who records all the transactions inside the library so it

decreases the tasks of the librarian so it can avoid the cases of lost records due to

human errors.

METHODOLOGY

The manual library's flaws are highlighted, and the libraries in PhilSCA-Mactan

are encouraged to use it. The admin of the Library Borrowing system can add, amend,

and remove student and book information from the database. To borrow a book from

the library, students must first register. The librarian can check the user details, fine

payment, and book details using the student's username and password. The Library

Booking Workflow streamlines the system and minimizes labor costs.

(RESULTS & DISCUSSION)

As a result, the proposed system will allow more efficient and convenient library

operations/transactions while also encouraging students to use the library's resources.

The system is designed to be simple to use for both librarians and students, as well as

to simplify library borrowing management and to trace who is responsible for books that

are returned late or books that are lost.

CHAPTER 5
(DISCUSSION, CONSCLUSION & RECOMMENDATION)

The Library Borrowing System is guaranteed to be a useful system in the school

especially in PhilSCA-Mactan. This system provides good quality specifications that

allows users to freely browse in the specified viewing status. The admin can properly

execute things, they can view and edit users of the system. Librarians are the ones that

can manage the borrow/return management, status, inventory and can also view the

penalties of the student for not returning the books on time and lost books. The

availability of needed software such as web servers, databases, and development tools

will limit the system's development. A library management system with hundreds of

users is possible. This research recommends that if the project restrictions are met, the

library will run smoothly and provide a conducive learning environment.
