Project Management (Exercise)
Project Management (Exercise)
Project Planning
Description:
Select a simple project (e.g., organizing a campus event, designing a small app, or creating a research
paper) and develop a detailed project plan.
Deliverables:
Project Charter: The project's purpose, scope, and key stakeholders need to be defined.
Work Breakdown Structure (WBS): Divide the project into smaller tasks.
Timeline: Create a Gantt chart or a simple project schedule to display key milestones and deadlines.
Tool: Trello, Google Sheets, or Asana for task tracking and planning.
Description:
Divided into small groups and assigned a group project-for example, develop a website, design a product
prototype, or complete a group research project. Adopt a functional role-for example, Project Manager,
Designer, Researcher, Developer, etc.-within the group. You must determine how they will communicate
with each other and create a Communication Plan.
You need to plan how they will collaborate on the project. For example, they will use Slack for
communication and Google Docs for sharing. They should also plan how they will report on progress.
Deliverables: - Team roles and responsibilities (RACI chart - Responsible, Accountable, Consulted,
Informed). - Communication Plan (how will the team communicate, frequency of meetings, and tools to
be used). - Progress updates (weekly or bi-weekly).
3. Risk Management
Description:
You shall identify possible risks from running group projects or hypothetic cases- a company is
introducing a new product to the market or planning a conference.
Risk Register: This is where you have to identify the potential risks, the likelihood of occurrence, the
impact on the project, and mitigation strategies. Also required to classify risks, such as technical risks,
financial risks, and team risks, and propose solutions or preventive measures. Deliverables: - A Risk
Register listing the different risks and mitigation plans.
4. Budgeting & Resource Management
Description:
Decide on resource allocation, estimate costs, and keep the project within budget.
Develop a resource allocation plan, which may include human resources, equipment, and software.
Deliverables: Budget Spreadsheet: Cost estimates and resource utilization. A short report of how they
resolved budget problems and managed resources.
5. Change Management
Description:
Introduce a hypothetical change in the project-for example, a new feature for an app, a shift in budget, a
change in team roles.
Conduct a Change Impact Analysis: How will the change impact the project scope, timeline, resources,
and budget?
Create a Change Management Plan to make sure the change is properly managed-for example,
communicating the change to stakeholders, updating the project schedule, and reallocation of resources.
Deliverables: Change Management Plan: Documenting the change, impact, and how to manage the
change. Updated project schedule or resource allocation.
Description:
At the end of the project, you will be asked to complete a Project Close-out Report. This should include:
Reflection on what went well and what could have been done better.
7. Presentation
