Abstract
This project proposes the development of an online web-based vehicle management system
(VMS) for Werabe Bus Station. The system aims to streamline and automate the
management of bus operations, including scheduling, vehicle tracking, maintenance, and
ticketing. By integrating real-time data and GPS tracking, the VMS will enhance operational
efficiency, reduce manual errors, and improve overall service quality. The system will also
provide a user-friendly interface for both staff and passengers, allowing for easy access to
information and seamless management of bus resources. This digital transformation is
expected to optimize resource utilization, minimize operational costs, and elevate the
passenger experience at Werabe Bus Station.

1. Introduction

Online vehicle management system will intend to advocate for the need of bus station to
change the manual system to automated system vehicle management system.

Automated systems make it possible to have a better accuracy, to increase the quality of the
work, to reduce the time it takes, to minimize cost and organization of data in most
advantageous condition, to make data transfer easier and also make it possible to save and
back up all transactions in case of vehicle management to keep the data in a centralized way
which is available to all the users simultaneously.

2. Background Study
An online web-based vehicle management system (VMS) can address these challenges by
automating and streamlining various processes such as scheduling, vehicle tracking,
maintenance, and ticketing Design and Development of a Web Based Vehicle Management

The proposed VMS for Werabe transport system aims to integrate real-time data and GPS
tracking to provide accurate and up-to-date information on vehicle locations and statuses

3. Motivation OF Study
The motivation behind studying and developing an online vehicle management system for the
Werabe transport system stems from the need to modernize and optimize the current
operational processes, enhance service quality, and improve overall efficiency. Several key
factors drive this motivation:

Operational Efficiency
- The existing manual methods of managing vehicle operations, including scheduling,
maintenance, and reporting, are often prone to errors, delays, and inefficiencies. An online
system will automate these processes, significantly improving accuracy and reducing the time
required for various tasks.

Real-Time Information
- Providing real-time data on vehicle locations, ticket availability, seat allocations, and
emergency situations will enable better decision-making and resource allocation. This instant
access to information can greatly enhance the responsiveness and flexibility of the transport
system.
Improved Passenger Experience
- By enabling features such as online reservations, viewing ticket and seat availability, and
reporting emergencies, the system aims to offer passengers a more convenient and reliable
service. This improved user experience can lead to increased passenger satisfaction and
loyalty.

- The system will facilitate better communication between drivers, passengers, and
management through features like notifications, comments, and emergency reporting.

5. OBJECTIVE OF THE PROJECT

5.1 General objective


The general objective of this project is to develop an efficient, user-friendly, and
comprehensive online web-based vehicle management system for Werabe Bus Station. The
system aims to streamline vehicle and service management processes, improve operational
efficiency, enhance user experience, and provide reliable and real-time information to both
managers and passengers.

5.2 Specific Objectives


 Generate and Send Reports
o Create a module that allows managers to generate comprehensive reports on
tasks performed and identify any issues or problems that need addressing.
 View Notification and Comment
o Develop a feature that allows managers to view comments and notifications
submitted by drivers, facilitating better communication and issue resolution.
 Vehicle Maintenance
o Implement a system for tracking vehicle maintenance schedules and managing
repairs based on damage or predefined maintenance intervals.
 Vehicle Registration
o Provide a module for managers to register new vehicles and keep accurate
records of all registered vehicles.
 Make Reservations
o Support the reservation process by enabling managers to make reservations for
passengers, ensuring efficient booking and allocation of seats.
 Show Availability of Tickets
o Implement a feature that allows passengers to check the availability of tickets
in real-time, enhancing their planning and booking experience.
 Show Availability of Seats
o Develop a system that displays seat availability and allows passengers to view
and select their seats based on personal information provided.
 These specific objectives aim to address the key functionalities required for an
effective vehicle management system, ensuring that all aspects of vehicle and service
management are covered comprehensively. 6. Scope and Limitation of the Project

1.4. Scope of the project


The system contains modules that can handle vehicle and service requester like:

 Emergency report: allows the passengers and the drivers to report emergency
conditions remotely which are happened in anywhere of their action.
 Generate and send reports: It allows manager generating report for the tasks
performed and if there is any difficult problem.
 View notification and comment: It allows manager to see the comments that are
submitted from the driver.
 Vehicle maintenances: Vehicles should be maintained when they are damaged or
based on schedule.
 Vehicle registration: Allow the Manager to register vehicle.
 Manage user account: Manager create & deactivate account for users and users can
update their account.

 Make reservation:-the system supports the actors of the system i.e. managers to
make reservation for passengers.
 Show availability of ticket:-the proposed system of the project is support the
passengers to see availability of tickets in the system.
 Show availability of seat:-the system show availability of seat numbers of the
passengers so the passenger see his/her own seat numbers based on the
System required personal information from users.
Out scope of this project are the functions such as detecting current location, sensing
coming car and arriving car as these functions require sensor and GPS technology.
6.2 .Limitation
 While the online vehicle management system for Werabe Transport System offers
numerous benefits, it also has certain limitations:
 Initial Implementation Cost
- Setting up the system involves significant initial investment in technology,
software, and training, which could be a financial burden.
 Internet Dependency
- The system relies heavily on stable internet connectivity. In areas with poor or
intermittent internet service, the system's effectiveness may be compromised.

 Technical Complexity
- Developing and maintaining a robust system requires technical expertise,
which may not be readily available. Technical issues may arise, requiring
ongoing support and maintenance.
 User Adaptation
- Staff and users may need time to adapt to the new system. Resistance to
change and the learning curve associated with new technology can be
challenging to manage.
 Data Security and Privacy
- Protecting sensitive information, such as personal data and vehicle records, is
crucial. The system must implement robust security measures to prevent data
breaches and unauthorized access..
 Dependency on Technology
- The system's functionality is heavily dependent on technology. Any technical
failures, such as server downtime or software bugs, can disrupt operations.

7. Methodology

 Computer: To develop the documentation as well as the application.
 Flash: Used as move data from one to other.
 CD: Used as a backup.

 EDRAW Max and visual paradigm.
 Used to draw diagrams like use case diagram and activity diagram.

 MySQL server
 This software will used for designing Database.
Implementation Software
 Operating System: Windows 10
To have good speed of operations or execution time of tasks.
Notepad : To write PHP codes.

After development of the new system: it gives the following advantages.

10. Feasibility study


Here we are going to see whether our project is technically, economically and operationally
feasible or not which enables us to decide to continue or halt the project.

10.1 .Operational feasibility


This vehicle management system is operationally feasible and it doesn’t affect the
organization structure. It transforms the current manual transportation activities to a well-
organized system by reserving seats, sending maintenance request, reporting emergencies
and other common activities. The system is also operationally feasible in terms of
reliability, maintainability, supportability, usability and flexibility. The system will be:-
 Operated by any users
 User friendly
 Easier for navigate the page

10.2 . Technical feasibility


Our project is technically feasible, because it can generate outputs in a given time, easy to
communicate and generally it satisfies the end-user’s requirement. And also our system can
work with the current technology and our focus is to develop well organized dynamic
application that is technically efficient and effective for managing the transportation sector.

10.3 .Economic feasibility


In existing manual vehicle management system the stakeholder’s have to maintain a large
number of papers or forms. This can be avoided by putting the data in the computer format
that is cheaper and reliable. Since the cost of resources for development of system satisfies
the organization, the software is economically feasible. It has two benefits.
 Tangible benefits:-
 Reduction of resource wastage
 Reduction of space needed to record data.
 Intangible benefit:-.The system we are developing has many intangible benefits that
revolve around mental satisfaction of users. those are:-
