Inserting Pictures
Often inserting pictures into a text can mess up your document and create chaos, give you headache and
make you spend lots of time and energy trying to repair it. There is an easier solution. Simply insert pictures
(sometime text as well) into a table! Problem solved, peace of mind, time free Have a look.
In general, it comes in five simple steps:
Step 1. Insert a table and modify its font style: space after & before = 0, line spacing = 0
Step 2. Modify table properties: margins = 0
Step 3. Insert a picture (not into a table) and modify its size. Then move it to the appropriate cell of the table
Step 4. When inserting a table in step 1, make sure to create one extra row – it will be used to create a caption
(merge the cells if necessary). This way it will never be lost.
Step 5. Remove the table borders

Always keep the picture caption inside the table – this way if you move the picture to another section of text,
the caption will stay together with the picture.

Step 1: Insert a table and modify its font style


When inserting a table, MS Word automatically assigns ‘normal / main text’ as the style of text inside your
table. This means, that if your main text has defined spacing after (let’s say 6p), your table will have it as well.

This row if for inserting a caption. Cells are merged to give you more space for inserting text.

To remove it, highlight the table and change the spacing options to zero and set line spacing to single.

Change to ZERO

Step 2: Modify table properties


Each table inserted into MS Word has margins set to the default values. Before inserting a picture set all
table/cell margins to zero.
Highlight a table and go to: ‘table properties’. Set ‘Indent from left’ to zero and go to ‘Options’. Change all
margins to ‘0’. Also make sure that Cell margins are ‘same as the whole table’.

Done. Your table is ready for inserting a picture (s).

Step 3: Insert a picture and modify its size


Insert a picture (not into a table) and adjust its size (here: 5.5cm x 4cm).

To modify its size, simply double-click it.

You will see it at the top, right part of the page


(red circle).

Notice, that if you change the picture length to 17cm,


its height will be 5.46cm. To change it to 5.0cm, you
will have to unlock the ‘aspect ratio’. To do it, click the
little arrow (green circle)

This is what you will see.


Unlock the ‘aspect ratio

Now, you can adjust the picture size to be exactly of


5.5cm x 4cm.

Step 4: Insert a picture into table


Insert the picture into a table by simply dragging it there  DONE

Step 5: Remove the border


To remove the border, highlight the table. Click
the arrow (red circle) to see more options and
choose ‘no borders’.

Inserting Captions

After inserting a picture into a table add one more


row (unless it has already been added before). This
is where you will insert the caption. Now, right click
the picture and choose ‘Insert Caption’.

This is a window you will see.


If you are inserting a caption for a picture, please
select a label: ‘Figure’. Position of a picture caption is
always ‘below selected item’.

If this is a table, select ‘Table’, etc. Position of a table


caption is always ‘above selected item’.

Now, click ‘Numbering’ as we need to change the style


of numbering now.

Choose the numbers format (1,2,3), and *INCLUDE


chapter number in your caption (this is not necessary
if you don’t use chapters’ numbering).

* Now, each caption will begin with the main chapters


number (heading1).

Use ‘period’ as a separator.

Inserting cross-references
Place the cursor in text where you want the cross-reference to be inserted to.
Go to Menu References / Captions / Cross-reference.

Next, from a ‘Reference type’ drop down list select type of reference you want to insert (here: a figure). For
example: numbered item – for headings and literature, figure – for pictures, table – for tables, etc.
Then under ‘Insert reference to’ select what information you want to be inserted (here: only label and
number). Next select a caption you want to be referenced (here: Figure 1.3). Click: insert.
