COMMUNICATION :
BE AN ACTIVE LISTENER :
❖ This technique called active listening is helpful
tool to ensure that understanding is complete.
❖ In this technique the listener will rephrase the
information they heard in their own words.
❖ If this information is correct the exchange is
complete.
❖ If the not the sender information can correct any
misunderstandings at this time .
FOCUS ON SPEAKER :

❖ Act interested
❖ Try not to interrupt
❖ Be aware of your non verbal communication
❖ Avoid talking to someone else
❖ Keep your mind on the issue being discussed
HAVE A GOOD PHONE MANNERS :
❖ Answer quikly, at least by the third ring
❖ Answer with your name and a friendly
greeting
❖ Speak slowly and clearly
❖ Never chew food or drink anything while
on the phone
❖ Ask permisson before placing a caller on
hold
THINGS TO CONSIDER :

❖ Always thank them for calling .


❖ Never hang up first
❖ When taking message , get as much
information as possible
❖ Stay clam and polite , even when caller is rude

HOW TO HANDLE
CALLS :
AT ORGANISATION or
COMPANY
1. SWALLOW FIRST :
Your mouth should be unoccupied when making a call or answering the
phone. you want to be able to speak clearly and thats is impossible while
swallowing or chewing something .
2. NAME AND RANK PLEASE :
When you receive a call at your work place you should identify yourself and
your company and department of working . And when you are the caller ,
identify yourself in the same way before asking for the person you are trying to
reach .

3. REAMANNERS LLY DO MATTERS :


Always be polite regardless of who is on the other end of the line .
Whenever you talking to receptionist or the company president
never forget to say thank you or please . Aside from the fact
everyone deserve respect .

4. FOCUS :
Make sure your focus is on the call , what the caller says and which
toping going on . this is very important while business related call is i
progress.

5. NOW HOLD ON PHONE :


First of all , you should avoid all others calls while your on the
important call . Excuse the person and then talk to other while phone
call. Don’t leave someone waiting or on hold for the lang time , instead
of putting call on hold , ask them if you call back at time that is
convenient to them .

6. KEEP MESSAGE SHORT :


Your message should be short , but understandable to the caller . do
not repeat the message it can make the call long .

7 .ONCE IS ENOUGH :
When you call someone and he/she doesn’t respond you back it may be
because they can’t at the moment . There is no need to call again and again . if
it is pressing/important matter , you can try after some time or next day or
draft a message or email for them .

8. CONFIRM FIRST :
When you received a mail or message from the caller regarding that you are
not able to respond the call firstly confirm that there is really need of call
back before returning the phone call . It may learn that it isn’t even
necessary to call back . It is time saving for them and you also.
