Chapter I
Introduction

Background of the Study


The internship program is a part of the curriculum requirements that expands the student's opportunity
in learning, technical and life skills. The Commission on Higher Education (CHED) officially called the on-
the-job training as SIPP or Student Internship Program of the Philippines. This is a compulsory
requirement for the completion of the course. It connects education and real work-life which creates an
opportunity for the students to learn about a profession and create real-life values and skills under
supervision and support. The students will be able to practice and develop additional skills before
working as a professional and in their chosen careers. The internship program is an instrument of the
college graduates for employability (Kuzgun, 2004). According to Goad, it is important because many
corporations hire students or graduates that have internship experience (Goad, 1998). SIPP aims to
provide opportunities for the students to complement formal learning with practical knowledge and
skills.

SIPP helps the students to develop and manage their time well. According to the approved curriculum of
CHED, the duration of the internship program should be up to a maximum of five months. During an
internship, it is important to keep track of the time or duration the student spent. Interns must sign to the
logbook before starting and after the training daily. The supervisor will be responsible for giving the
tasks and monitoring the students or interns. Manual processes such as recording or logging in and out
are a daily responsibility of an intern. Students are also being evaluated based on their performance,
communication skills, and accomplishing the given tasks.
However, in 2020, the world rests for a while as it faces the global pandemic. Everyone became affected,
especially the educational system. The Philippine government announces the suspension of classes at
all levels because of the threat of COVID-19. Online learning and flexible mode are some of the solutions
for the students to continue their studies. Moreover, college is said to be the final year for all the
students. It is where the students should focus on their future goals and careers. But since there is still a
pandemic, the college students especially those in their final year became concerned regarding their
internship program.
Based on the General Guideline in Implementation of Flexible Learning, when the localities of authorized
HEIs become reclassified from General Community Quarantine (GCQ)/ Moderate General Community
Quarantine (MGCQ) to Enhanced Community Quarantine (ECQ)/ Modified Enhanced Community
Quarantine (MECQ), the affected HEIs shall automatically suspend the face-to-face classes including
the internship. And there are still a lot of localities that are under the ECQ and MECQ and don't allow
face-to-face interaction for the students at all levels. According to the CHED COVID ADVISORY No. 6,
"Guidelines for the Prevention, Control, and Mitigation of the Spread of Coronavirus Disease 2019
(COVID-19) in Higher Education Institutions (HEIs)", on-the-job training and internship for the entire
Luzon are suspended. During the extended lockdown, HEIs (Higher Education institutions) must continue
in working out the decision in the deployment of available flexible learning and other alternative modes
of delivery instead of in-campus learning if they have the resources to do so. Moreover, based on the
Joint Memorandum Circular No. 2021-001, "Guidelines on the Gradual Reopening of Campuses of Higher
Education Institutions for Limited Face-to-Face Classes during the Covid-19 Pandemic", health-related
degree programs such as Medicine, Nursing, Medical Technology/Medical Laboratory Science, Physical
Therapy, Midwifery, and Public Health are allowed to take the FTF delivery of internship,
However, those students from non-health-related degree programs are worrying about how to get an
internship experience. They are concerned about how they will find a company that offers an internship
program since there are still limitations and protocols to be followed. Also, students are concerned about
how they will be monitored and evaluated by the company supervisors and OJT coordinators based on
their performance since there is still a lack and restriction for face-to-face interaction of the students
and in the company (Wong, 2020). Students are also concerned regarding the effect of this problem on

their employment predictions once they have graduated. This Covid-19 pandemic is also a huge
challenge to all the universities. According to Watson, a university must produce graduates that can
contribute to the nation or society (Watson, 2007).
As the pandemic shuts down the colleges and universities, this moves the classes and internships into a
virtual format. The current approach in an internship during the restriction of FTF is to learn by using
platforms like Zoom, Microsoft Teams, and Slack in a professional setting. Also, interns have to monitor
their own time during the virtual internship training.
Business Analytics (BA), makes the tracking and monitoring processes extremely efficient and seamless.
This allows an organization to handle even the most complex of operations with ease. BA will help the
company supervisor of the department to easily monitor the tasks and performance of student-interns
during the virtual internship. This will also help the company supervisors to track and measure the
development and engagement of the students. Applying BA will help to determine the performance of
the intern through the evaluation at the end of the internship.
To help the students regarding the virtual internship program, the researchers developed a system
for the students that focused on continuing the internship in a more accessible way even amid a
pandemic. The project is a web-based management system that helps the students to introduce a new
platform for internships.

Objectives of the Study


The main objective of the study is to create a web-based platform for the internship program of students
taking non-health-related degree courses as long as the pandemic lasts. Specifically, it aims to achieve
the following objectives:
To provide a web-based system that will improve the process and evaluation of interns even without
face-to-face interaction
To provide easy and quick access in managing and monitoring the internship
To determine the performance of students through evaluation

Significance of the Study


The main purpose of the study is to create a web-based system that helps the students who will
undergo an internship program during online learning. This study provides an easy and simple platform to
be able to continue the internship training of the students that are currently taking a non-health-related
degree program during online learning and as long as the pandemic lasts. This will help to have a specific
platform for virtual internships.
The system helps the students, OJT coordinators, and company supervisors to improve the process of
the internship program. This benefit the following:

Students. The system provides easy monitoring of duration for the students to easily track their required
and remaining time during the internship program.
OJT Coordinators. The study helps the OJT coordinators to lessen their time in checking if the files
submitted by the students are complete or not. The system also helps them to evaluate the students.
Company Supervisors. The study helps the company supervisors to reduce the paperwork during the
internship.
Future Researchers. The study will help future researchers to serve this as their reference and guide in
conducting their future studies.

Scope and Limitations


The system is generic and can be used for online learning and even with the restriction of face-to-
face interaction. The system allows the registered users such as the students, OJT coordinator, and
company supervisors to upload and download a file, and monitor the internship. For the requirements to
be submitted by the students, the system can only check if the requirements are complete and it cannot
know if the requirement is accurate. The company supervisors can view, edit, and delete the information
of the students. OJT coordinators are allowed to create the accounts for the students and to check the
requirements. Since it is an online system, it will be easier to have access to the uploaded files for the
students to know their requirements and duration. It is also developed as a web-based platform since
everyone can connect to the network.
The study is only limited to the registered users which have only valid and authentic usernames and
passwords can access the whole system. This will only be limited to the students who are taking a non-
health-related degree program. The system is focused on monitoring the students, evaluating them by
the company supervisors and OJT coordinator, and for the students to monitor their duration. The admin
is responsible for managing all the users in the system such as the students, OJT coordinator, and
company supervisor. The system is limited to having an online interaction with the users.

Definition of Terms
FTF (Face-to-Face)
It is a situation where people can talk directly to another person without the use of mobile phones, email,
online, etc. In the study, it is used as the physical scenario in the schools and colleges in which, with the
threat of Covid-19, it is still suspended by the national government.
Non-Health Related Programs
In the study, this refers to the college programs that are not related to medical fields. These programs
might offer office work.
SIPP (Student Internship Program in the Philippines)

It refers to providing competitive skills and attitude of employment to the students during the final
year. SIPP is the official term for on-the-job training in the Philippines (CHED Memorandum (CMO) No.
23, Series of 2009). In the study, this refers to the main topic. The researchers will base the study on the
guidelines of the Commission on Higher Education (CHED).
Slack
It is a chat app that is very popular with companies. This is a communication and instant messaging
system with lots of add-ins for other workplace tools. In the study, it is described as an application that
is used during the existing program and process in an internship.
Supervisor
This refers to the person responsible to immediate superior in a workplace. A supervisor is a person
whom you can report directly to. The study refers to the people responsible for monitoring and
evaluating the online internship, specifically the student-interns.
Timeline
It is a written representation of a time. This can be a line that shows an order of relative events. In the
proposed system, it is used to keep the record of the time of the students during the internship. It will
display the duration of the students to keep the monitoring and tracking of time easier.
Web-based
This is a particular type of software that allows the users to interact with a remote server through a web
browser interface. With the use of this, users don't have to install additional software. In the developed
system, it will be used as the platform or the application for the users to have access.
Zoom
It is a cloud-based video communication application that can set up virtual and audio conferencing,
webinars, live chats, and other collaborative capabilities. In the study, it refers to the tool that is used in
the existing virtual internship program.

Review of Related Studies and Systems

Technical Background
This study was developed to have an improvement and specific system for the process of the internship
program. This also aims to help the students and supervisors to manage the internship program of the
students even if there are still restrictions in physical and face-to-face interaction. This chapter includes
and discusses the hardware and software tools required for the development process and proposed
system.
To develop and design the system, the proponents used PHP, MySQL, and JavaScript. MySQL is used as
the system's database. This serves as the storage of all the inputs and data entered by the users.
Predictive Analytics - Students can determine and monitor their duration, required time, and remaining
time.

Research Literature
Workers must have the 21st-century competencies that can allow them to compete in the global market
and be able to participate, become innovators, communicators, and critical thinkers (Plaza & Sual, 2017;
Velez, 2012). The Partnership for 21st Century Skills dedicated the encouragement of promoting the
achievement of 21st competencies and identified the twenty-one (21) competencies which the students
must attain to succeed in work and life in the 21st century. According to Languador, the schools must
help the students to become aware of the opportunities in work, conditions in the real-life, and to be
able to prepare them for ultimate employment through the internship program. In addition to that,
Barnard, et al., education should be a path to prepare the graduates after graduation and in entering
real-life scenarios.
According to the study, "Reinforcing the Importance of Maintaining Internship Support for College
Student Engagement and Anticipated Employment", the way on keeping the students engaged in their
professional development despite the challenges in virtual learning and services is one of the difficulties
in a university brought by the Covid-19 pandemic (Blau, et al., 2020). Through the Senior Student
Satisfaction survey (SSSS), shows that a student with at least one (1) internship experience during the
pre-pandemic is more capable of joining an SPO earlier, completing the professional development; and
expecting the by graduation full-time employment. According to Reeves, et al., during the pandemic, the
college students in the United States was led to increasing the use of electronic health record (EFR)
campus-based health services integration to allow them to have a better way of communication,
reporting, and monitoring (Blau, et al., 2020; Reeves, et al., 2020). As the world faces the global
pandemic, the CPDC business school adapts the new remote way of operating and delivering the 100%

virtual model successfully to meet the resource challenge of supporting student PDE that is accessible
via Zoom technology.
Because of the Covid-19 pandemic, online learning and teaching are highly encouraged. Student interns
were supposed to perform their tasks at work-from-home (WFH) (Wong, et al., 2020). It is a form of
remote working arrangement where the employees are working in their home environment instead of
traveling to the workplace (ILO, 2020). The study "How students work from home in a summer internship
during Covid-19", states the positive impacts of WFH internship:
The WFH interns will foster their independent learning and will rely on themselves instead of the
supervisors.
WFH interns can develop better tasks and time management.
WFH internship can save the risk and commuting costs.
The study of "Internet + Internship Management: College Internship Management Optimization",
provides a solution to the challenges and opportunities of internship management in Colleges. Since the
mobile Internet and big data technologies continue their progress, new concepts are developing to be
able to solve the ineffective internship management, such as the "Internet + higher education", and "big
data + education management" (Wang, 2020). The model of "Internet+ internship management '' is used
to facilitate information communication and management, as well as organizing the online activities,
guiding the students to share their internship experiences and difficulties they have during the
internship, encouraging and monitoring the students via communication.

Foreign
Design and Development of a Learning Design Virtual Internship Program (Ruggiero, D. & Boehm, J.,
2016)
According to the study, a student can also learn through real-world exponential learning and not only in
theory. The study stated that the Virtual Internship Program (VIP) might be a solution to provide
internship opportunities and experiences to the students that can be accessed in a more accessible form
and not only limited by place. The study also indicates that the essence of an internship is to provide the
students with relevant learning in knowledge and abilities. Through VIP, it gives opportunity to the non-
traditional students to experience and join in the internship program regardless of their location and
other hindrances. According to a study, the number of virtual workers employed in the companies where
the surveys are conducted is expected to double every year over the following decade (Mulki, Bardhi,
Lassk, & Nanavaty-Dahl, 2012).

Design and Implementation of Web-based Internship Information System at Vocational School (Yannuar,
Y., et al., 2018)

This aims to implement a system that can produce information as the evaluation data to monitor the
progress of every student. It designed a system that used online journals and served as the review of
the students' learning during their internship training. The use of information systems, computer
programs, arithmetic languages, visualization tools, programming languages, emails, and communication
on the web is very common. With these, it can ease the distribution of information that introduces a new
platform in learning. Through an internship information system with the internet, it can provide the
information as an evaluation in monitoring the progress of every student.

Proposed Internship Information System (IIS) for Private Universities in Bahrain: A Case Study on the
Applied Science University-Bahrain (Shatat, A., et al., 2020)
The IIS is developed to be able to manage and coordinate the process regarding the internship in
the university. This provides better communication for the students and faculty of Applied Science
University in Bahrain. The system automates the process of collection, review, and management of
applications for the internship program.

Web-Based Application of the Internship Management System (Abdullah, F., et al., 2017)
Due to uncontrolled management of the documents and consuming a lot of time in manual process
during the internship, a systematic online industrial training application system was developed to
facilitate the student, employer, and coordinator in an organization. The system aims to help the students
to find an organization by giving them a recommendation that is suitable based on their qualifications.
Employers and students must register and provide the required information. The employers are
responsible to choose and select qualified students to undergo internships at their organization. Majority
of the universities that implement the system agree that it helps them to overcome the issues.

Development of Internship Monitoring and Supervising Web-Based System (Binti Jaafar, A. N., et al.,
2017)
Moreover, concerning the issues of time and manual procedure during the internship, the Universiti
Teknologi MARA (UiTM) in Malaysia developed a system that computerizes the whole process. It is
designed as an online system that helps the students to focus more on the lesson activities instead of
checking the application status. It uses System Development Life Cycle (SDLC) for the system's
development. The system designed an online assessment for the industrial supervisor. This feature is for
them to evaluate the trainees easier and accessible.

An Automated Management System for Student e-Services (AlBathali, A., et al., 2021)

It is a system developed to make life lighter specifically in the services of an educational institutional
environment for the students. This can share several services such as materials for the study, signing up
and requesting for a course and a locker, searching for finished capstone projects, and joining in an
internship program. It aims to deliver a user-friendly system that enhances the productivity of the
students, student's union, administration, and the other users of the University. The system and study
aim to provide help for the university in making suitable decisions and services by summarizing all the
information in reports.

Local
Pre-Service Teachers' Evaluation on their Student Internship Program (Bangi, J., et al., 2019)
According to the study, the internship program for the students can serve as their instrument to increase
their employability after graduation. This can be also in increasing the students' integration to the
industry market by many different countries. Furthermore, the study states that it is essential that the
graduates must develop adequate skills and competencies.

Internship Performance and Level of Satisfaction of Student-Trainees on Industry Immersion Program


(Caraig, G., 2018)
This study aims to determine the performance of the student-trainees during the internship and assess
the industry immersion program at Batangas State University. Specifically, this aims to determine the
satisfaction level of the student-trainees on the IIM program of the College of Industrial Technology at
Batangas State University-JPLPC Campus, Philippines. The researcher gathered and analyzed the
performance appraisal report of the student-trainees. This report helps them to identify the performance
with regards to attendance, knowledge, the quality of work, and general attitude.
Caraig (2018), recommends the university provide an online service for the students and the partner
industries and companies to have fast transactions and an easy access platform for the submission of
requirements.

FDM Cloud-Based Application Performance Monitoring System of The Cadets While on Board Ship
Training for the Philippine Merchant Marine Academy in San Narciso Zambales (Mobo, F., 2017)
Mobo (2017) developed and designed a cloud-based performance monitoring system to ease the flow of
the old systems. It aims to reduce the use of papers regarding the validation and encoding of cadets'
performance. The system can analyze and transfer the reports gathered and eliminate the cause of
delays with regards to releasing the reports. The purposive sampling technique is applied to the system.
Based on the findings, they are in parallel to the ratio in the quantity of the students that are currently
enrolled at PMMA.

TrainME (Training Management Endeavors): A Web-based Training Needs Assessment and Management
System (Panes, W. & Mejos, R., 2019)
It is a web-based and mobile-responsive system that develops to address the training needs
assessment and management concerns of the Office of Extension Services and Community
Development, which are community-based clients that submit their profile and convey attention in
training areas. This also aims to maintain the Clients, Trainers, Needs in Training, Training Programs,
Schedules and Notifications, and Reports. The system was conducted at Palompon Institute of
Technology – Tabango Campus and Iloilo State College of Fisheries – San Enrique Campus from June
2018 to September 2018. It was used and developed using the waterfall model of the System
Development Life Cycle. Based on the findings, it is an easy-to-use system. Also, the respondents of the
usability test agreed that they like to use the system often.

Synthesis
The studies and systems mentioned above see the problems regarding the manual process and
monitoring of the student-intern during the internship. These allow reducing the paperwork and long
transactions. Also, these aim to produce, develop, and introduce a new bridge for the interns by having
an automated and more accessible way to continue the internship program virtually. Some studies have
seen the result and issue regarding the Covid-19 pandemic that affects the internship in foreign and local
countries.
The use of a web-based system seems to be the most efficient way to deliver the process since an
internet connection is a basic requirement especially today that physical interactions are prohibited. The
systems above are also developed as easy to use, and automated to be able to help the users to interact
with the systems. Using a monitoring system for the organizations makes the old processes comfortable
and fast.

Figure 1 shows the Conceptual Framework of the study. The input is the users such as the students,
OJT coordinator, and company supervisors. It also includes the tasks given and file requirements. The
process includes entering the valid username and password, uploading the files, and evaluating the
students. The output is having an Online Internship Management and Monitoring System.

Design and Methodology


Project Concept
The idea of the project was to develop an online management and monitoring system that eases the
process and training of internship programs during online learning and as long as the pandemic lasts.
The global pandemic created many effects on people, specifically on the production and educational
system of many countries for years. Students became worried about how to cope up to the new normal,
especially those who are in their final year in college. The internship program is one of the advantages of
the students to increase their employability. However, due to the pandemic, most of the internship
programs have been canceled and moved to virtual platforms.
The researchers developed a platform that improves the virtual internship. A virtual internship
program is said to be done only via Zoom Meeting and Google meet. Through the use of this system, a
specific web-based application allows in managing the program, especially in monitoring and evaluating
the student-interns. The system was able to monitor the duration, and do their task online during their
internship. OJT coordinators are responsible to check the resume and evaluate the students. Company
supervisors can monitor the time, tasks, and evaluate the student-interns via the online system. The
admin will be responsible to manage all the users in the system.

Development Model
This approach would help the researchers in guiding through the development of the system and the
fulfillment of the study's objectives.

The proponents used Agile as the System Development model. This allows them to monitor the progress
of the project in the development lifecycle. Usually, this model is used to build software. It is simple to
implement and requires a minimum amount of resources.

Planning
In this phase, the proponents decide what kind of research will be conducted. After that, the proponents
study and analyze the existing problem that needs to be resolved by the system.
Requirements
The proponents specified the requirements to develop the system. The team uses the internet to gather
the important data needed in conducting the research. After all the mechanisms have been identified,
each member is given an assigned role.

The proponents start to visualize the system's features and interface. The team considers the
requirements of the users. The system's interface is user-friendly, and easy to use and learn, particularly
to the students that will undergo their first internship experience.
Development
In this phase, the proponents created a system that is aligned with the objectives. This system is
effective enough to help and support the requirements.
Testing
In this phase, the system is tested through its performance and determines the errors that need to be
resolved to be able to know the quality of the system. During this phase, the proponents are focused on
the improvement of the system.
Deployment
The functionalities and features of the system are already completed. The testing of its design was also
done in this phase. The system is ready to deploy.
Evaluation
In this phase, the system was finalized and all the errors were resolved. The team is prepared to know
the feedback of the users.

Analysis of the Existing System
Based on the related studies and systems stated, this shows that the use of automated systems, helps
to reduce the paperwork in an establishment. This also helps in improving and developing a specified
system for the process of internship programs. The related studies and systems mentioned above also
resulted in the need for improvement for the easy and quicker storing of data.

Table 2 shows the multiple designs that include the different programming languages that are

Design A uses JavaScript, PHP, and MySQL. JavaScript is a flexible and powerful programming language

Design B uses Python and MySQL. Python is a backend server-side programming language. This

Evaluation of Design
In this section, the researchers address the aspects in consideration to select the right design and

Log In – Users such as the student-interns, OJT coordinators, and company supervisors are required to
log before accessing the system through their qualified username and password.
Create Remarks - Students can create remarks or updates about what happens and what they
accomplish every day during the online internship program.
View Timesheet – Students are allowed to view the timesheet during the internship to monitor their
duration. The OJT Coordinator and Company Supervisor can also monitor the duration of each student
every day.
View Requirements - OJT Coordinator can view the files uploaded by the students.
Upload a File – Students, OJT Coordinator, and Company Supervisors can upload a file in the system.
The students need to upload the file requirements. The OJT Coordinator and Company Supervisor need
to upload the file for the evaluation of the students after the internship.
Download a File - Students, Company Supervisors, and OJT coordinators can download a file that has
been uploaded into the system.
Evaluate – OJT coordinators and company supervisors only have access to this feature. Here, they can
evaluate the student-interns according to their performance. They can upload the evaluation form for
each student.

Figure 7 represents the data flow diagram in which shows the process and flow of the system for all
the registered users. OJT Coordinator is responsible to check the file submitted by the students as their
requirements for the internship program. Through the online system, it checks if the students completed
the required files but it is limited in checking if the files are accurate. OJT Coordinators must evaluate the
student-interns due to uploading the evaluation form. The Company Supervisor serves as the trainer in
the online internship program. They should upload the tasks for the student interns. Through the online
system, company supervisors can see the submitted work done by each student-intern. They are also
responsible for the evaluation of the students in the system. Student-Interns must upload the file
required in the online system. Through the developed system, they can see the tasks uploaded by their
company supervisor.

Data gathering
This is the procedure of collecting, measuring, and analyzing accurate insights for research using
standard validated techniques. In most cases, data collection is the primary and most important step for
research, irrespective of the field of research. To conduct this, the researchers gathered information on
the guidelines and advisories that are provided by the Commission on Higher Education (CHED). Through
the use of the related studies, also help the researchers to collect the data for their study.

Deployment
In this section, all the activities that will be done will be outlined. The system must be entirely done and
all the errors should be resolved and bug-free.
The system is planned to be deployed on the website, only the registered users have access to the
system through their web browser. However, for the rest of the service, the system can only be
accessed through monitoring, uploading the file requirements, and monitoring.

Admin is responsible to manage all the users and the accounts. The OJT Coordinator and Company
Supervisor are given an authentic username and password to have access to the system. On the other
hand, students may fully access the system through the given authentic username and password.
The proponents are provided a user manual for the company supervisors and OJT coordinator to be able
to guide them in operating the system. Another part of the task in deployment is to give a video tutorial
as an alternative to have a better understanding and explain the flow of the system.
The proponents also established a hardware and software matrix that is needed to be considered to
complete the deployment of the system.

CHAPTER 4
RESULTS AND DISCUSSION

This chapter discusses the results, data analysis, findings, and development of the Online
Internship Management and Monitoring System. This also shows the discussions and interpretations of
the results of the objectives.

1. The main objective is to create a web-based platform for the internship program of students taking
non-health-related degree courses as long as the pandemic lasts.

The developers developed a web-based platform that can help the students who are taking non-health-
related courses to take and have experience in an internship program. The system is designed to be
used during pandemics and even with the restriction of face-to-face interaction. Through the use of the
system, it will help the students easier to find and have an internship online during the pandemic. This
also helps the OJT coordinators and company supervisors in having an easier process during the
internship program.

2. The system aims to provide a web-based system that will improve the process and evaluation of
interns even without face-to-face interaction.

The system is designed to be online to secure and observe the health protocols during the internship.
The system includes the processes of an internship such as providing and giving tasks to the student-
interns, checking the information of the students, and evaluating the students during the online
internship. This can help the OJT Coordinators and Company Supervisor/Trainer to easily manage and
evaluate the interns.

3. The system also aims to provide easy and quick access in managing and monitoring the internship

The system was developed to be easy to manage and monitor the internship. This provides a timeline
feature that can help in monitoring the students' time. When the student clicks the start button, the time
will start and record the time of the student. This will help the students to be able to monitor their time
and duration during their internship program.
