CHAPTER ONE
1 INTRODUCTION

Education system forms the backbone of every nation. And hence it is


important to provide a strong educational foundation to the young
generation to ensure the development of open-minded global citizens
securing the future for everyone. Advanced technology available today can
play a crucial role in streamlining education-related processes to promote
solidarity among students, teachers, parents and the school staff. With this
aim currently our government has given special emphasis to the educational
sector and school improvement activities such as continuous professional
development for teachers, training and upgrading teachers and capacitating
schools with manpower and materials are among the major actions which
have been taken in both primary and secondary schools. In order to facilitate
and simplify these actions one of the major tool is to have an automated
school management system. School Management System (SMS) consists of
tasks such as registering students, attendance record keeping controlling
absentees, producing report cards, producing official transcript, preparing
timetable and producing different reports for teachers, parents, officials from
kebele or kefle ketema education bureaus and other stakeholders.
Automation is the utilization of technology to replace humans with a machine
that can perform more quickly and more continuously .

The Abdisa Aga school student management system (AASSMS) is an


innovative project designed to modernize and streamline the student
management system processes for the Abdisa Aga school in Nejo. As
technology grows and its demand for essential services like quality of
education increases, the need for a more efficient, accurate, and transparent
student management system has become crucial.

The Student Record Management System (SRMS) is designed to facilitate the


maintenance and management of student records within an educational
institution. This system aims to streamline administrative processes,

ensuring efficient handling of student data, and improving access to


information for both administrators and students.

1.1 BACKGROUND OF THE PROJECT

Educational institutions often face challenges in managing student records


due to the large volume of data and the need for accuracy and accessibility.
Traditional methods of record-keeping, which rely heavily on manual
processes, are prone to errors and inefficiencies. The SRMS project
addresses these issues by providing a digital solution that automates and
simplifies the management of student records.

1.2 STATEMENT OF THE PROBLEM

Since AASSMS existing system is semi-automated it leads to many problems. Some of the main
problems of the existing system are: -

 The manual handling of student records is time-consuming and prone


to errors.
 The lack of a centralized system makes it difficult to access and update
records efficiently.
 This leads to delays, inaccuracies, and difficulties in data
management.

The SRMS aims to solve these problems by offering a digital platform that
ensures accurate, efficient, and secure management of student records.

1.3 OBJECTIVES OF THE PROJECT

1.3.1 GENERAL OBJECTIVE

To develop a Student Record Management System that automates the


maintenance and management of student records, ensuring efficiency and
accuracy.

1.3.2 SPECIFIC OBJECTIVE

 To provide a user-friendly interface for managing student data.


 To enable administrators to perform CRUD operations on , subjects,
students, class and marks.
 To allow students to view their profiles and marks.
 To ensure secure access to the system through login functionalities.

1.4 SCOPE AND LIMITATION OF THE PROJECT

1.4.1 SCOPE OF THE PROJECT

The aim of this project is to develop an efficient and accessible platform for managing Abdisa
School in Najo city. The project scope the web-based administration interface

The AASSRMS includes functionalities for both administrators and students:

Admin:

 Teacher Management (Add, Edit, Delete)


 Course Management (Add, Update, Delete)
 Subject Management (Add, Update, Delete)
 Student Management (Add, View, Update, Delete)
 Marks Management (Add, Edit)

Student:

 View Profile
 View Marks

1.4.2 LIMITATIONS OF THE PROJECT

 The proposed system doesn’t support offline connection.


 Our project is language dependent doesn’t support another language except English
Language.
 The project does not work about employee salary or pay rolling and
detailed information about employees.

 The system does not include features for parent access or parent-
teacher communication.
 Limited to basic CRUD operations without advanced analytics or
reporting functionalities.

1.5 SIGNIFICANCE OF THE PROJECT

The SRMS provides several benefits, including:

 Enhanced accuracy in record-keeping.


 Efficient management of student data.
 Improved accessibility of information for administrators and students.
 Reduction in manual paperwork and associated errors.

1.6 BENEFICIARIES OF THE PROJECT

 Administrators: Will benefit from automated management of student


records, reducing manual workload and errors.
 Students: Will have easy access to their profiles and academic
records.
 Educational Institution: Will benefit from a streamlined and efficient
administrative process.

1.7 METHODOLOGY

1.7.1 DATA GATHERING METHODOLOGY

There are different methods to collect information. From those the project
uses the following tools and methods to collect data from the organization

 Interviews: This methodology encapsulates two types of methods. These methods


are closed and open interviews. So, the team was able to gather more information about
the organization and requirements. Conduct interviews with administrators
and students to understand their needs and requirements.
 Surveys: Distribute surveys to gather feedback on current record-
keeping practices and challenges.

 Observation: (Documentation & material): use this method to get the right
information about the organization and to understand how the existing system works.
Observe existing processes to identify areas for improvement.

1.7.2 DEVELOPMENT METHODOLOGY

For the system analysis and design part there are two models. These, structured and object-
oriented approaches. From those, this project uses an object-oriented approach because it is
efficient to show how the data is organized, it also shows clearly the definition of the data of the
system. In general, the project uses the object-oriented paradigm to develop the system.

As for the methodology requirement, we use the Agile model for perfect movement and
finishing our project very well.

 Agile Methodology: Utilize Agile principles to ensure iterative


development and continuous feedback.
 Phases: Requirement Analysis, System Design, Development, Testing,
Deployment, and Maintenance.

1.7.3 SOFTWARE TOOLS TO BE USED

Web Development Tools:-


Frontend Technologies: -
HTML (HyperText Markup Language): is used to create and structure
sections, paragraphs, and links on web pages. It is the standard language for
creating web pages and web applications.
CSS: (Cascading Style Sheets) is used to control the presentation and layout
of web pages.
JavaScript: JavaScript is a versatile programming language used primarily
for creating dynamic and interactive content on web pages.
Bootstrap or Tailwind CSS: For modern, efficient styling and layout customization.

Backend Technologies:
o PHP: To handle server-side logic and communication with the database.
o MySQL: For managing persistent data such as user roles, workloads, and
payment records.
o XAMPP/WAMP Server: For local development and testing.

Documentation and Modeling Tools:


 Microsoft Word and Visio: For creating technical documents and system models.
 Sublime Text or Visual Studio Code: For code writing and editing.

Hardware Tools
❖ Laptops or Desktops: For development, documentation, and testing purposes.
❖ Smartphones and Tablets: For testing mobile application functionality and
compatibility.

1.9 FEASIBILITY STUDY

1.9.1 ECONOMIC FEASIBILITY

The development of the SRMS is economically feasible as the benefits of


automating student record management outweigh the costs involved in the
development and maintenance of the system. The project is economically viable,
with costs that are justified by long-term benefits:

Initial Costs: Major expenses include development, server/cloud resources, and


initial training for staff and users.

Operational Costs: Ongoing costs for system maintenance, cloud storage, and user
support will be required.

1.9.2 TECHNICAL FEASIBILITY

The project is technically feasible due to the availability of suitable


development frameworks, tools, and infrastructure:

Infrastructure Needs: Cloud hosting (AWS, Azure, or Google Cloud) can support the backend,
providing scalability and security. Internet connectivity will be required but is increasingly
available in Najo city

Technical Skills: Developers with expertise in mobile and web development, database
management, and payment integration are essential for this project. Local support teams will be
trained in maintenance and troubleshooting.

The SRMS is technically feasible as it utilizes widely accepted


technologies and development tools. The project team possesses the
necessary skills to develop and maintain the system.

1.9.3 OPERATIONAL FEASIBILITY

Operationally, the system aligns with the city’s needs and is expected to streamline workflows:

Ease of Use: The web app will be intuitive for users, while the web-based platform will simplify
administrative tasks.

Scalability: Designed to accommodate a growing user base, the system can expand to include
new features or additional utility services in the future.

The system will be user-friendly, ensuring easy adoption by administrators


and students. Training sessions will be conducted to familiarize users with
the system’s functionalities.
