FAQs on Separation Process

Q: Do I need to reach out to clearance stakeholders in order to get clearances?


No, it is done automatically within your offboarding form. We will handle your clearance process
from the backend.

Q: What action is required from my end to get clearances?

1. Please make sure of timely submission of company assets, I card, access card etc. before/on
last working date.
2. Fill in your pending timesheet over time zone till your last working date/ if you will be on
leave till your last working date and don’t have access to the system, timesheet will be
taken care by focal from the backend.
3. Fill in Leave Encashment & Gratuity Application & Gratuity declaration over Excelity portal
as per payroll team’s guidelines.
4. Please make sure your personal information such as personal email ID, contact number,
address etc. in Engage is correct and update it if needed.

Q: Where should I submit my assets?


You can submit asset at below mentioned location as per schedule.

Note: For SP Infocity, Employees please connect with Prakash Kadam ([email protected])
for your asset submission.
Q: What is the process if, I am unable to visit office to submit my assets since I am away from my
base location?
As per management guidelines, It is mandatory for all employees to work from base location at least 3
days from Office. However, to organize reverse pickup from your hometown, IT team will require
approval from your manager that you are permitted to work from home until your LWD.
Kindly do not courier your IT Assets directly. IT team will arrange reverse pick up after Managers

Q: When will I be receiving my experience and relieving letter?


Experience & Relieving letter will be shared over your personal email ID subject to submission of
company’s assets, I card, access card, drawer key etc. if you have any post LWD.

Q: When will I receive my final settlement amount?

We will process your FNF within 15-30 days, post your last working date.

Q. Which payroll declaration I need to fill in?


Please note, as per the exit process, separating employees must submit their “Gratuity Application”,
“Gratuity Declaration” and “Leave Encashment Declaration” forms as per their Applicability, with the
amounts which they received from their previous Employers/ Organizations.

1. Gratuity Declaration – Eligible employees

a. As per Gratuity Act, if any separating employee has completed continuous 4 years 190
Days of service in Amdocs, then the employee will be eligible for the Gratuity Benefits
at the time of separation from the company.
b. To claim the Gratuity amount, employees need to submit Gratuity Application and
Gratuity Declaration forms through Excelity Portal under tab: Retirals Download >
Gratuity Application & Gratuity Declaration.
c. In case employees is eligible for Gratuity from Amdocs, and he/she has not filled the
above-mentioned Gratuity Application and Declarations forms, income-tax will be
deducted from the payment of Gratuity at the applicable rates of taxes at the time of
payment, without considering the exemption of 20 Lakhs.
d. While filing Gratuity declaration form, employee needs to declare the Gratuity amounts
which he/she has received from his previous organizations. In case of unavailability of
previous employer or the amount of Gratuity, kindly put “0” (NIL) and submit the same.

2. Gratuity Declaration – Non-Eligible employees

a. If the separating employee has not completed continuous 5 years with the company,
he/she is not eligible to get Gratuity benefits. In this case, there is no need to submit the
Gratuity Application and Gratuity Declaration forms.

3. Leave Encashment

a. Leave encashment declaration form is compulsory for all the separating employees to
submit the Leave Encashment Declaration Form. Kindly submit the Leave Encashment
declaration through Excelity Portal under tab: Retirals Download > Leave Encashment
Declaration.
b. While filling the Leave Encashment Declaration form, employee needs to declare the
Leave Encashment amounts which he/she has received from his previous organizations.
In case of unavailability of previous employer or the amount of Leave Encashment,
kindly put “0” (NIL) and submit the same.

and Leave Encashment Declarations”,
Separating employees are requested to take download their salary slips and Form 16 copies which is
available with Excelity Portal (https://ess.excelityglobal.com/) before last working date.
Form 16 for current year is prepared after end of fiscal year and is sent to your personal email id in
the month of June.

Once final settlement is processed, Excelity login will be disabled.

Q. Where can I submit my investment proof details?


“Old Regime” Opted Employees only need to upload actual investment proofs for which they have
receipts in their hands, all future investments are to be compute at the time of return filing to Income
Tax department after 31st March 2025.
“New Regime” Opted employee need not to update anything with below portal.

Investment proofs submission for financial year 24-25 can be submitted on Excelity portal under the
Year End-> Resignee IPSF 2024-2025 before your last working day.

Q. What if my Income Tax Payable is negative in the IT Computation?


In that case you can adjust the tax with the new employer if you are employed in India or you can claim
refund from IT Department by filing your personal IT Return.

Q. What will happen with my ESPP contribution in case I am leaving in the middle of contribution
cycle?

The deductions that were made from your salary for ESPP will be returned to you through payroll.

Q: Who would be the focal in case, I have queries after separation?
