Course Overview
This training document covers the aspect of getting started with SAP.

1. Topics Covered
After the completion of this training, the participants would be able to log on and navigate through
the SAP screens and obtain an understanding of the basic features in the SAP window as well as
personalization options available therein.

3. Getting Started with SAP


3.1. Logging on to SAP system
Logging on is the pre-requisite for carrying out operations / transactions in the SAP system.
Identification and Authentication is enforced through logon, wherein responsibility can be fixed for
actions in the system.

3.1.1. Definition
Identification and Authentication of a particular individual for access to the information contained
in an SAP system is referred to as Log-on.

3.1.2. Business Purpose / Use


In order to use the system efficiently and effectively, one need to be fairly familiar with the SAP
screens, menus, navigation methods and defining personal settings based on individual
requirements.

Business Scenario

A maximum number of 6 sessions per user-id login can be opened at a time.

3.1.3. Configuration / Usage considerations


SAP GUI Logon is used for gaining access into an SAP system
An initial password as provided by the system administrator is used for logging on for the first
time into the SAP system. The system prompts for a change of password at the time of first log-
on and the password rules (alphanumeric, special characters etc…) are governed by the
respective organization’s IT policy.

3.2. Navigation & Personalization options in the SAP Window
This section will deal with navigating through the SAP system and the options available for
personalizing the system to the users' requirements and/or preferences.

3.2.1. Definition
Navigation is moving through the SAP system between its various screens, finding one's way
around a complex system of menus, options and information.
Personalizing refers to structuring menus / options, arranging required and useful information in
such a way that meets the individual requirements / preferences.

3.2.2. Business Purpose / Use


v SAP Easy Access screen is the system default screen after logging on.

The status bar is used to identify:

o System messages (Error, Warning or Information)


Information, Warning and Error messages arising in the course of processing of transactions /
programs by the SAP system appears in the left-side of the status bar.
While information and warning messages do not have an impact on further processing of
transactions, further processing of the transaction / program is not possible when error messages
arise.

o System and screen information


One can refer the status bar for information such as System, Logged-in client, User-Id,
Transaction code of the current screen, Program behind the current screen / transaction etc…

STATUS BAR

The standard SAP start menu can be changed by setting any transaction code as the start
transaction code through Extras è Set Start Transaction.

SAP menu is organized based on the tasks performed for each function. Menus are Drop down
and facilitate finding a specific transaction when the transaction code is not known.
In the drop down menu, the transaction codes can also be listed. Choose Extras è Settings.

User menu / Role based menu can also be displayed. While the user menu will list out only those
transactions that the user is authorized to perform, role based menu will list out the transactions
that are categorized under a particular role.

Use navigation menu as below:

Back, Exit & Cancel Customizing Local Layout

A very useful feature in “Customizing Local Layout” option is the Quick cut & paste. The required
texts to be copied just need to be selected with the help of the cursor and can be pasted in the
target area.

It is possible to add favourites list, based on frequently / significantly used transactions, files and
web addresses. Choose Favorites for more options.

v It is possible to have default data features and other parameters for every user profile.

for organizing the transactions, links and files.

3.3. Help features in SAP
This section deals with the various types of online help options available in SAP. Two categories
of help are available:
v System level help (Application help, SAP Library, Glossary)
v Field level help (F1, F4)

The SAP system provides comprehensive online help. You can display the help from any screen
in the system. You can always request help using the Help menu or using the relevant icon .

3.3.1. Definition
Help is used for giving assistance, aid, or contributing to the furtherance of knowing about and
getting the details regarding a feature in SAP.

3.3.2. Business Purpose / Use


v Help Menu

The help menu contains the following options:

Application help
Displays comprehensive help for the current application. Selecting this menu option in the initial
screen displays help on getting started with mySAP ERP.

SAP Library
All online documentation can be found here.

Glossary
Allows a search for definitions of terms.

Release Notes
Displays notes that describe functional changes that occur between mySAP
ERP releases.

SAPNet
Enables you to log on to SAPNet.

Feedback
Enables you to send a message to the SAPNet front end, SAP’s service system.

Settings
Allows you to select settings for help.

v Help on the screen field:


F1 is used for help on fields, menus, functions and messages. F1 help also provides technical
information on the relevant field, including, for example, the parameter ID, which can be used to
assign values to the field.

F4 is used for information on the permissible entries for a field. F4 help can also be accessed for

a selected field using the button immediately to the right of that field - .

If input fields are marked with a small icon with a checkmark, then you can only continue in that
application by entering a permitted value - .
