I. Objective
At the end of the lesson, students will be able to:
1. Understand the steps to create, save, and export a document.
2. Appreciate the importance of saving work regularly to prevent data loss.
3. Demonstrate how to create, save, and export a document in Microsoft Word.

III. Procedure
A. Preparatory Activity
1. Attendance and Greetings: Check attendance and greet the students.
2. Review: What are the parts of Microsoft?
2. Motivation: “Document Relay”
1. Ask each student to open Microsoft Word and type a short sentence, save the file, and then pass the
computer to the next student who will add a new sentence.
2. This activity emphasizes the importance of saving files regularly and introduces the concept of
creating and saving documents in a fun way.
B. Developmental Activity
Vocabulary Building:
Crash- To suddenly stop working, often due to a problem with the computer or software.
Recover- To get back something that was lost or damaged.
Default- The standard setting or option that is used if no other choice is made.
Templates- Pre-designed documents that can be used as a starting point for creating new documents.
Access- To be able to use or reach something.
Demonstration: Show how to create a new document in Microsoft Word and introduce saving options such
as "Save" and "Save As.
Common Export Options in Microsoft Word 2016
1. PDF (Portable Document Format)
- A PDF file preserves the formatting of your document, making it look the same on any device or
operating system.
- PDF is commonly used for sharing professional documents, reports, and resumes because it’s
accessible on most devices without needing Word.
2. XPS (XML Paper Specification)
- Similar to PDF, XPS is a fixed-layout format that preserves document formatting. However, it’s
less commonly used outside of Microsoft environments.
- Use XPS if you’re working within Microsoft ecosystems where it’s fully supported.
3. Plain Text (.txt) and Rich Text Format (.rtf)
- These formats remove most formatting and are used when you need a simple, universally
compatible text file.
- Use these formats if you’re working with software that can’t handle complex Word formatting or
if you need a clean text file.
4. Word 97-2003 Document (.doc):
- This format is used for compatibility with older versions of Word.
- Use it when you need to share the file with someone using an older version of Word.
How to Export a Document as a PDF in Microsoft Word 2016
1. Open the Document: Ensure your document is complete and saved in Word.
2. Go to "File" Menu: Click on the “File” tab in the upper left corner of the screen.
3. Select "Export": In the File menu, select “Export” from the list on the left.
4. Choose "Create PDF/XPS Document": Click on this option to create a PDF or XPS file.
5. Click "Create PDF/XPS": This will open the “Publish as PDF or XPS” dialog box.
6. Select the Save Location and File Name: Choose where you want to save the file and give it a name.
7. Choose Options (Optional): If needed, click on “Options…” to adjust settings, like choosing specific
pages to export or optimizing for online vs. print quality.
8. Click "Publish": Once you’re ready, click “Publish” to create and save your PDF.

Instructions:
- Open a new document and write a short paragraph on your future goals.
- Save the document with a unique file name ("FutureGoals_[Surname,Name]").
- Export the document as a PDF.
