1. Login to e-GP Portal along with Email Id & Password

PE Users will be created by e-GP Admin or PE Admin in the e-GP Portal. The moment
users are created on e-GP; Users will get a system generated e-Mail message in his
registered e-Mail ID which contains the necessary information pertaining to Users Login
details along with User name & Password. With the help of this User name & Password,
Users can start working on e-GP Portal (As shown in Screen –A1)

Steps for Login to the system

1.1. Users will login to e-GP Portal along with User Name & Password. In case of
first time login, to maintain the “Security & Integrity” on e-GP Portal, system by
default leads to “Change Password” screen will come wherein the user has to
give the details which are asked.

1.2. In this Change Password page all fields are mandatory. Therefore, Users have
to give an input on each & every field. If any of the field skipped by Users, then,
the system won’t allow Users to process further on the e-GP Portal.

1.3. Once all the inputs are given by the Users after that, Users have to click on
“Submit” button which would be available at the bottom of the page. (As shown
in Screen-A2)

1.4. Once details are given by the user and clicking on “Submit”, the system will
show a message on Users screen i.e. “Password Changed successfully”
then User will be redirected to the home page where the Users has to enter the
e-mail ID and the changed password. (As shown in Screen-A3)

2. Message Box

2.1 User will login to e-GP Portal along with User name & Password.

2.2 After login into system, User will be able to see the Message box menu (As
shown in Screen-B1)

2.3 User has to click on Inbox to view message. (As shown in Screen-B1)

2.3.1 Left Menu will show below mentioned links (As shown in Screen-B2)

2.3.2 “To Do List”  User can add new tasks, view existing tasks and can
search for the task details.

2.3.3 “Add Folder”  Folder Management of the mails can be done. Create
folders and manage the mails efficiently. By default, there will be four
folders – Inbox, Sent, Trash and Draft.

2.3.4 “Compose Message”  User can Compose messages using this


functionality.

2.3.5 “Inbox”  All the mails which are received by user will be available in this
folder.

2.3.6 “Unread”  Mail which are not read till now by the user will be available in
this folder.

2.3.7 “Sent”  Mails which user sent through compose message will be available
in this folder.

2.3.8 “Trash”  Deleted messages will be in this folder.

2.3.9 “Draft”  Saved messages will be in this folder.

2.3.10 “Archive”  User can archive selected mail from inbox and unread folder.

2.4 Message Box >> To Do List

2.4.1 To Do List functionality, is used so that users can manage their tasks /
activities on regular basis.

2.4.2 View Task Details  All tasks will be listed in the grid table (S. No, Task
Brief, Priority, Start Date, Last Date, Action) (As shown in Screen – B3)

2.4.3 Search Task  User is given Search criteria, through which user can
search by giving required parameters (i.e. From Date – To Date, Status)
through which user can get quick result. (As shown in Screen – B4)

2.4.4 Add New Task  User can create new task by click on the link (As shown
in Screen – B5) and add in their respective To Do list. Once New Task
page gets opened, it will list down the input values (Task Brief, Task
Details, Priority of Task, Start Date and End Date) which user will fill and
click on Submit button. (As shown in Screen –B6)

2.5 Message Box >> Add Folder

2.5.1 “Add Folder” link will be shown in left panel (As shown in Screen – B7)
Add Folder page will be shown, Once user enter the folder name and
clicking on submit button, system will display a validation message as
“Folder created successfully” and the created folder name will be shown
on the left panel.

2.6 Message Box >> Compose Message

2.6.1 Compose Message  Users can compose message using this


functionality (As shown in Screen –B8). Lots of features like font, colour,
styles are available for better appeal. User can set priorities to the
messages as well.

2.6.2 Message can be created in “Rich Text Area” as shown. Prority of message
can be set for the message by selecting “Low, Medium, High”. After
composing of message, User can either “Send” the message or “Save as
Draft”.

2.6.3 Once the message is Sent, system will prompt message “Message Sent
Successfully” and the mail will be available in “Sent Folder”.

2.7 Message Box >> Inbox

2.7.1 Inbox basically is the storage of messages which users will receive from
other users. User will be able to View, Open and Search messages.

2.7.2 View Message  User can see all messages in Inbox in the grid table
(From, Subject, Priority, Date and Time). (As shown in Screen – B9)

2.7.3 Open Message  User can select & click on the link to open message and
view the message with values (Subject, From, To, Cc, Priority, Message
body) with some more functionality mentioned in below table (As shown in
Screen – B10 & Screen – B11)

Trash When User View Messageon top, User can click on “Trash”,
to remove the message from Inbox. Once message can then
be found in Trash Folder.
Reply When User View Message, on top User can click on “Reply”,
User can revert back to “From” e-mail ID(s).
Reply To All When User View Message, on top User can click on “Reply to
All” “User can revert back to all i.e. “From” & “Cc” e-mail ID(s).
Forward When User View Message, on top User can click on
“Forward”, User can forward the message to other users and
input the values “From” & “Cc” e-mail ID(s).
Move To When User View Message, on top User can select from
Folder combo box folder and click on “Move To Folder”, in return
message will be moved to specific folder from Inbox.

2.7.4 Search Message  User can use search condition as input values (Search
in [Subject, Message], Keyword, e-mail ID, From Date, To Date – As shown
in Screen – B12) and result will be displayed in grid table.

2.8 Message Box >> Sent Folder

2.8.1 Users when send messages to any other user, message will be saved in
“Sent” folder (As shown in Screen – B13). User can select any specific
message to view again message.

2.9 Message Box >> Trash Folder

2.9.1 Message which are deleted / removed by the Users are shown in “Trash”
folder. (As shown in Screen – B14)

2.9.2 All Trash Messages gets displayed in grid table (From, Subject, Priority,
Date and Time).

2.9.3 User can also Search in Trash folder by using input values (Search in
[Subject, Message], Keyword, e-mail ID[Equals, Contains], From Date - To
Date).

2.10 Message Box >> Draft Folder

2.10.1 When users save the message, Message is moved to “Draft” folder. On
Click on “Draft” link, message saved by user will be shown in the grid (As
shown in Screen – B15). If User wants to send message from Draft then
User needs to click on “Edit” link > Open Message > If any update in the
message, user can update and Click on “Send” button.

3. Bank User

The Bank Admin or Bank Branch Admin will create the Bank Users providing email ID
and password. Once Bank admin creates the login IDs on e-GP system; Bank User will
get a system generated e-mail message on his registered e-mail ID. This e-Mail
contains the necessary information pertaining to Bank User Login details along with
User Name & Password. With the help of this User name & Password, Bank User can
login to the e-GP Portal. (As shown in Screen – C1)

Branch Maker
(Branch Maker will collect Registration Fee, Renewal Fee, Documents Fee, Tender
Security & Performance Security (including forfeited) and make the entry through the e-
GP Portal)
Branch Checker
(The different e-GP related payment transactions carried out by Branch Maker will be
verified by Branch Checker)

Steps for the first time login to the e-GP portal

3.1 Bank User will login to e-GP portal using User Name & current Password (As
shown in Screen – C1).

3.2 When the bank user logs in for the first time, the system will automatically
redirect Bank User to the “Change Password” (As shown in Screen –C2)

enforcing the user to change the password set by the Bank or Branch Admin with
a new one for maintaining the “Secured access” on e-GP Portal. Bank User
needs to give inputs on each field viz. Current Password, New Password,
Confirm Password, Hint Question & Hint Answer. Hint Answer is important for
the future also, like when you forget your password and you have to reset that.
Hint Answer will be asked by the system to the Bank User, when he clicks on
Forgot Password. (This option is to be used only when user forgets his
password)

3.3 In this Screen all fields are mandatory. Therefore, Bank User needs to give input
on each & every field. If any of the field is skipped by Bank User, then the system
on’t allow Bank User to process further on the e-GP Portal (As shown in Screen
–C2).

3.4 If any sort of invalid data entered in any fields, the system will show an “Alert
Message” to Bank User. This is to prevent them from making errors (As shown in
Screen –C2).

3.5 Once all the inputs are given by the Bank User, click on “Submit” button at the
bottom of the page. (As shown in Screen –C2)

3.6 Once Bank User clicks “Submit” button (As shown in Screen –C2), he/she is
redirected to Home Page with the message “Password Changed successfully”.
User has to enter e-mail ID and new password for login. (As shown in Screen –
C3)

4. Collection of Registration Fee by Branch Maker

Steps for the Collection of Registration Fee by Branch Maker

4.1 Branch Maker will login to e-GP Portal using his User Id/email Id & Password.

4.2 Just hover the mouse cursor on “Payment” tab at the top of the Dashboard (seen
in black highlighted colour in Screen – C4 below), then click on “Registration
Fee” sub menu item.

4.3 A Screen named “Search Email ID for Registration Fee Payment” will open.
Branch Maker has to enter the email ID provided by the Tenderer/Consultant
who intends to pay for the registration to find if e-GP System has already got
his/her profile. After entering the email ID, press “Search” button. (As shown in
Screen C5).

4.4 If the e-mail ID exists in the system, then the email ID with payment status and
action link will be displayed (As shown in Screen – C6).

4.5 If e-mail ID does not exist or is incorrect you will get the alert Message. In case of
wrong e-mail ID, you can try again. If you get the same Alert Message again, you
can ask the Tenderer/Consultant to renewal on the website or to contact CPTU
e-GP Help Desk for further assistance.

4.6 Once the Tenderer/Consultant e-mail ID is displayed, the Branch Maker needs to
click on “Make Payment” link (As shown in Screen – C6) or “Renewal” link to
renew the registration. (As shown in Screen – C7)

4.7 Once you click on “Make Payment” link or “Renewal” link, Screen –C8 or
Screen -C9 will be opened respectively for payment transaction.

4.8 All the information except Currency, Mode of Payment, and Remarks are auto
displayed. Appropriate “Currency” and “Mode of Payment” from drop down
boxes should be selected, and the remark should be entered in the “Remarks”
text box (As shown in Screen –C8). (Please remember all items with * symbol
must be entered data or items selected from the options given.)

4.9 In case of Renewal Validity Period will be selected by user(As shown in Screen –
C9)

4.10 Click “Submit” button. (As shown in Screen – C8 & Screen – C9)

4.11 Once “Submit” button is clicked, the system will display “Payment Information
Entered Successfully” message (As shown in Screen – C10).

4.12 Branch Maker may click “Edit Payment Details” button, if any corrections are
necessary. If all data entered are correct and need no editing, then Bank Maker
should click “OK” button available at bottom of the page. Please note, unless
you click “OK” button, the payment transaction will not be submitted to Bank
Checker for his verification and approval. If required, you can print this record for
future reference by clicking “Print” option as shown below (As shown in Screen
–C10).

4.13 If you wish to edit any record (As shown in Screen – C10), you can click “Edit
Payment Details”. It will open Edit Payment form in editable mode (As shown in
Screen – C11). You can change Currency, Mode of Payment and Remarks.
Click on “Submit” button, after necessary changes.

4.14 System displays “Payment updated successfully” message.

4.15 If all data entered are correct, click “OK” button available at the bottom of the
page.

Note - The Branch Maker can edit the Registration Fee details until the
Branch Checker has not verified the same. Once the Branch Checker has
verified the same then the payment details can’t be edited and also the
payment status will be changed to “PAID”.
As soon as payment is verified, system generated e-mail will be sent to
respective Tenderer/Consultant on his/her registered e-mail ID stating that
the payment has been received by Bank.
Print option is available at the top right corner to allow Branch Maker to
print payment receipts.

4.16 Collected payments of the day can be seen by clicking on “Payment” menu at
top of the Dashboard, click on sub menu “Registration Fees” (As shown in
Screen – C12)

4.17 To view the transaction on daily, weekly and so on select e-mail ID, Payment
Date From, Payment Date To, Verification Status or any of these and click on
“Search” button.

4.18 A Grid showing daily transactions is displayed. To see individual payment


details and print it, Click on “View” link. (As shown in Screen –C13)

4.19 You can print the record by clicking “Print” button (As shown in Screen –C14)

4.20 If Verification Status is Pending Branch Maker can edit payment details by
clicking on “Edit Payment Details” button(As shown in Screen – C10)

5. Collection of Tender Document Fee/ Tender Security/ Performance Security by
Branch Maker

Steps for the Collection of Tender Document Fee

5.1 Login to e-GP Portal using valid Branch Maker User Name & current Password.

5.2 Just hover on mouse cursor on “Payment” tab at the top of the Dashboard and
then click on “Tender Payment” sub menu item (As shown in Screen –D1)

5.3 Branch Maker can see today’s transaction by clicking on “View Today’s
Transaction” button. (As shown in Screen – D2)

5.4 Branch Maker needs to type the Tender ID or Tender Ref. No. against which the
Tenderer wants to make payment, and press on “Search” button. (As shown in
Screen –D2)

5.5 After clicking the “Search” button, the system will show the tender detail.

5.6 Click on “Dashboard” icon. (As shown in Screen – D2)

5.7 After clicking on Dashboard icon Branch Maker should select the relevant tab i.e.
Document Fees to collect Document Fees, Tender Security tab to collect Tender
Security or Performance Security to collect Performance Security. System will
also alert Branch Maker by showing message “Select appropriate tab for
respective payment”. (As shown in Screen – D3)

5.8 For collecting Tender Document fees, click on Document Fees tab (As shown in
Screen D3). In the Screen that opens up (As shown in Screen –D4), Enter the e-
mail ID of Tenderer in the text box next to e-mail ID & click on “Search” button.

5.9 If Tenderer e-mail ID exists in the system, click on “Make Payment” link. (As
shown in Screen – D5)

5.10 In the Screen that opens up (Screen – D6) select Payment Instrument Type
from drop down box and type Instrument Reference Number, Date of
Instrument if applicable. Instrument valid up to date will be shown automatically.
Also specify Name of Bank & Name of Branch, Comments if required.

5.11 Click on “Submit” button available at bottom of the page. (As shown in Screen
–D6)

5.12 On clicking submit button, if all mandatory fields are filled, e-GP System
displays “Payment Information Entered Successfully” (As shown in Screen –
D7)

Note: In case of Performance Security at this stage document upload is mandatory at
this stage and Branch Maker get the option to upload document.

5.13 Click on “Upload Reference Documents” button to upload reference


documents. It Allows user to upload any reference document such as scan/soft
copy of Pay Order/Demand Draft/ Account to Account transfer.

Note: After payment verified by Branch Checker, Branch Maker can also upload
reference document by clicking on “Upload Reference Documents” in the same
process

5.14 Click on “Browse” button, select location of the scan/ soft copy of the
document, select document, and Click on “Open” button to upload document.

5.15 After selecting the right reference file to upload and writing description about the
file, click the “Upload” button.

5.16 System will start upload and will display message “File Uploaded
Successfully” if uploaded successfully.

5.17 User can delete the file clicking “X” icon provided under Action column, if
required (As shown in Screen – D9).

5.18 You can also download the document from “Action” column clicking the
download icon (As shown in Screen – D9).

5.19 Click on “View Reference Documents” button to View Reference Documents


(As shown in Screen – D7).

5.20 List of uploaded document is shown. You can download document by clicking
the download icon under the “Action” column. (As shown in Screen –D10).

5.21 Click on “Print” button to print this transaction.

5.22 Click on “OK” button if you do not wish to edit the content & submit it as seen in
Screen– D7.

Note: e-GP Portal Branch Maker role is to collect Registration Fee, Renewal
Fee, Document Fee, Tender Security and Performance Security. In case of
Tender Security & Performance Security, Branch Maker has to follow same
as Document Fee collection process.

6. Verification of Registration Fee by Branch Checker

Steps for the Verification of Registration Fee

6.1 Branch Checker will login to e-GP Portal using valid Branch Checker User Name
& current Password.

6.2 Hover the mouse cursor on “Payment” tab at the top of the Dashboard, and then
click on “Registration Fee” sub menu item (As shown in Screen – E1)

6.3 In “Registration Fee Payment Detail” Screen, status of payment by the


Tenderer / Consultant are shown by the system (i.e. “Pending”).

6.4 Branch Checker may locate specific Tenderer/Consultant, by providing one or


more combination of searching parameters on Branch Checker Screen i.e. e-
mail ID, Payment Date From, Branch Name, Verification Status
(Pending/Verified), Payment Date To, & Branch Maker (As shown in Screen –
E2)

6.5 After providing search values, click on “Search” button. (As shown in Screen –
E2)

6.6 System will display details of relevant Tenderer, whose Registration Fee is
Accepted/Collected by Branch Maker.

6.7 To view today’s Transaction, click on “View Today’s Transaction” link. (As
shown in Screen – E2)

6.8 To verify the transactions carried out by Branch Maker, click on “Verify” link
available under “Action” column. If you want to view transaction, click on “View”
link. (As shown in Screen – E2)

6.9 If you wish to accept the transaction for a supplier, type your remarks and click
on “Verify” button, (As shown in Screen – E3) Important Note, once payment is
accepted, it cannot be edited and hence be very careful when verifying
payments.

6.10 On submission, System displays message as “Payment Verified


Successfully” (As shown in Screen – E4).

6.11 Click on “Print” button, if you need to print this transaction. (As shown in

7. Verification of Document Fee/Tender Security/Performance Security by
Branch Checker

Steps for the Verification of Document Fee

7.1 Branch Checker will login to e-GP Portal using valid Branch Checker User Name
& current Password.

7.2 Hover the mouse cursor on “Payment” menu tab at top of the Dashboard, then
click on “Tender Payment” sub menu (As shown in Screen – F1)

7.3 “Search and Verify Payment Detail” Screen will open up. By default, System
will display the “Pending” Tenderer/Consultant payment list.

7.4 Branch Checker can identify specific Tenderer , by providing search parameters
in the input boxes on Branch Checker search Screen. One or combination of
search input can be given in the fields: e-mail ID, Payment Date From, Branch
Name, Verification Status (Pending/Verified), Payment Date To, Branch
Maker etc. (As shown in Screen – F2)

7.5 Click on “Search” button to get the desired list of Tenderers. (As shown in
Screen – F2)

7.6 To verify the payment details of selected Tenderer, click on “Verify” link under
“Action” column, next to Tenderer name. Transactions may be viewed by
clicking “View” link (As shown in Screen – F2)
7.7 Branch Checker can cancel and edit payment by clicking “Cancel” and “Edit”
link. (As shown in Screen – F2)

7.8 Inthe page that opens up, you can view the Payment details of
Tenderer/Consultant as entered by Bank Makers. (As shown in Screen – F3)

7.9 To verify the same, user should enter his remarks to verify and accept the
Transaction. (As shown in Screen – F3)

Important Note: Once payment it verified, it cannot be deleted or modified and be


cautious when verifying the payment transactions.

7.10 On successful verification, system displays message “Payment Verified


successfully”. (As shown in Screen – F4)

7.11 Then Branch Checker can view the reference document by clicking on “View
reference Document”. (As shown in Screen – F4)

Note:
e-GP Portal Branch Checker role is to verify the Registration Fee, Renewal
Fee, Document Fee, Tender Security and Performance Security. Tender
Security & Performance Security payment transactions flow and process
are same as in Document Fee verification process.

8. View Daily Transaction

Steps for the Verification of Daily transaction

8.1 To view the Daily Transactions, Branch Checker will login to e-GP Portal using
valid Branch Checker User Name & current Password.

8.2 Hover mouse cursor on “Payment” tab at top of the Dashboard and then click on
“Tender Payment” sub menu item.(As shown in Screen – G1)

8.3 Click on “View Today’s Transaction”. (As shown in Screen – G2)

8.4 System will display verified Tender Payments in the page that opens up. (As
shown in Screen – G3)

8.5 To view the details, click on “View” link under the Action column, next to Branch
Maker name. (As shown in Screen – G3)

9. Process for Renewal of Registration

For Branch Maker


e-GP Portal Renewal process is same as in Registration Fee collection
process. Renwal link will be displayed Branch maker before one month of
user registration expiry date.Branch Maker needs to Collect the Renewal Fee
and enter details on e-GP system as in Registration Fee collection process.
For Branch Checker
e-GP Portal Renewal Fee verification process is same as in Registration Fee
verification process.

9.1 Branch Maker logs in with his User Id/email Id and current Password. Selects
“Payment” menu option from the Dashboard at the top. Click on “Registration
Fee” sub menu. System shows search dialog box as shown in “Registration Fee
collection” process.

9.2 Type in the e-mail ID of the Tenderer/Consultant to be renewed.

9.3 Click on “Renew” link in Action column. (As shown in Screen – G4)

9.4 Select Validity Period. The renewal amount to be collect will be visible on your
Screen. Currently it is fixed at Tk 2000 per year, but can be changed anytime
(As shown in Screen – G5)

Note: If Tenderer did not pay renewal fees for more than one year then system
automatically calculate arrears of registration renewal fee and Tenderer will be
paid the renewal fees in e-GP system. Arrear years will be shown in Branch
Maker Dashboard when Branch Maker will make the payment of Renewal Fees.

9.5 Select Currency, by default it will be Taka, but in case if International contracts it
will be US$. The renewal amount to be collected will be shown to you. (As shown
in Screen – G5)

9.6 Select Mode of Payment as explained in registration fee module earlier.

9.7 Specify remarks, i.e. capture any specific comment if you need to note down, any
bank internal reference no. etc. Click on “Submit” button. (As shown in Screen –
G5)

9.8 On Submission, system displays message “Payment Information entered


successfully”. (As shown in Screen – G6)

Fee” sub menu item.
