WTC KL can accommodate an increase of 10% on short notice. However, please advise us in advance

In case the actual number of attendees is more than the guaranteed attendance, the billing will be as per
the actual attendance.

** World Trade Centre Kuala Lumpur has the exclusive right in providing Food & Beverages Requirements for any events held
within the premises. There will be no any outside food allowed in the premises.
** Any reduction on Food & Beverages requirements need to be made known to WTC KL Holdings Sdn. Bhd. 72 hours
(working days) prior to event date. A surcharge of 100% will be imposed on any variation order.

** World Trade Centre Kuala Lumpur has the exclusive right in providing Audio Visual, Lighting and Projections equipment for
any events held within the premises. A “Right of Way Fee” charges amounting to 25% from total billing of Audio Visual
charges will be imposed should the organizer using other/ their selected vendors for the above requirements.

2.4 Security & Cleaning Services


Perimeter guards and basic cleaning are provided. Any special arrangements for specific purpose would
be charged at our prevailing rates.

2.5 Other Facilities


Internet Access of 10Mbps (1 day), 1 Share Hub, System Monitoring for 24 Hours,
Stanby Services, On Call Services @ RM990.00+ To be advised

4.0 MODE OF PAYMENT / AUTHORISED SIGNATORY


All organized meals, hall rentals, audiovisual equipment and other services mentioned above would be
billed to PUSAT KAJIAN TINGGI ISLAM, SAINS, DAN PERADABAN RAJA ZARITH SOFIAH (RZS
CASIS) to the attention of your goodself.

Any additional charges other than the above would be billed separately upon confirmation by the
authorized signatory and billed to PUSAT KAJIAN TINGGI ISLAM, SAINS, DAN PERADABAN RAJA
ZARITH SOFIAH (RZS CASIS).

4.1 To confirm this booking, please revert to us with fully signed copy of this agreement together with
the non - refundable booking fee amounting to RM 35,000.00 to be made payable to WTC KL
Holdings Sdn. Bhd. not later than 11/12/2024.
4.2 Balance payment of RM 34,500.00 and all other charges which were contracted and/or incurred
after signing of this agreement is to be made on or before 10/01/2025.
4.3 A refundable security deposit for damages and/or all unanticipated ancillary charges amounting to
RM 7,000.00 to be made on or before 10/01/2025.

This Schedule of Payment shall be taken, read and constructed as an essential part of this offer letter. In
the event a fully signed copy of this agreement is not received by the above date, all function space
referred to herein will be released, and neither party will have any further obligations under this
agreement.

Any or all outstanding charges bills incurred pursuant to this offer letter shall be invoiced. Should the
security deposit inadequate for the said purposes, the Licensee / Organizer shall be duly notified and
requested to satisfy the same, two (2) weeks from the billing date failure which we shall be entitled to
charge a late payment penalty of 8% per annum.

5.0 CANCELLATION / TERMINATION CLAUSE


In the event, the function is cancelled; cancellation charges will be based on the Cancellation /
termination Period Scale.
IF CANCELLATION OR TERMINATION OCCURS LICENSEE SHALL PAY MINIMUM
(1) Between 12 month or before the schedule event 10% of total fees / charges
(2) Between 9 and 12 month or before the schedule event 25% of total fees / charges
(3) Between 6 and 9 month or before the schedule event 50% of total fees / charges
(4) Between 3 and 6 month or before the schedule event 75% of total fees / charges
(5) 3 month or less the schedule event 75% of total fees / charges

In the event that the function is cancelled within 14 days prior to the event date, a cancellation fee
amounting to RM 69,500.00 (full estimated charges) will be levied.

We hereby agree to provide, to the best of our ability the services as stipulated in this letter. Barring any
unforeseen circumstances and matters which are beyond our control, in the event we are unable to
deliver the agreed as stated, we shall refund the payments made less any cost incurred in the
preparations of the said services.

We would also like to inform that should we have another enquiry over the same period before the
deadline, World Trade Centre Kuala Lumpur reserves the right to commit to either party that made the
initial booking fee.

6.0 NEW STANDARD OPERATING PROCEDURE


As part of our ongoing effort to safeguard the safety and health of our guests and colleagues, we have
taken a series of precautionary measures based on the guidelines from the Ministry of Health. Organiser
are required to follow all the new events SOP/guidelines imposed by Ministry of Health. WTCKL have
every right to stop/terminate any arrangement that breach the new guideline/SOP. SOPs are subject to
changes by Ministry of Health

7.0 APPROVAL FROM AUTHORITIES


The Organizer shall abide by all applicable laws and obtain all necessary approvals, permits,
registrations or licenses from the relevant Authorities including DBKL, Fire Departments, Public
performance licenses from Public Performance Malaysia ("PPM") Berhad, and others as may be
necessary for the occupancy and use of the Event Space by the Organizer and to carry out the Event
and pay all fees connected therewith at its own costs and expense. The Organizer shall provide the
relevant permits, registrations and licenses upon request WTCKL.
