1Q. Define Communication?
Ans- Communication is the exchange of ideas and information between individuals or
groups through verbal or non-verbal methods or expressions.
2Q. What are the types of communication?
Ans-There are different types of communication are -
1. Verbal Communication –
Verbal communication is a type of oral communication wherein the message is conveyed
through spoken words. The sender may communicate in the form of speeches, discussions,
presentations, and conversations.
2. Non-Verbal –
Non-verbal communication is the message we send to others without using anywords. In
this, we send signals and messages to others, through expressions, gestures, and body
postures. Maximum communication is Non-Verbal.
3. Written Communication –
Communication via written words, handwritten or printed information is written
Communication. it takes place in the form of letters, emails, articles, memos, fax, reports,
and other documents.
4. Visual Communication –
Visual communication takes place via pictures, logos, maps, charts, etc. The main
advantage of this type of communication is that we do not need to know any particular
language to understand it.
3 Q. What are the different Methods of Communication?
Ans- Communication can be done through various methods -
1. Face-to-Face Communication (Interpersonal Communication)
2. Letters/memos / Email
3. Poster / Charts / Infographics
4. Meetings / Seminars
5. Print / Analog / Digital Media
4 Q. What are the different Elements of the Communication Cycle?
Ans- Different Elements of the Communication cycle are –
1. Sender/Communicator – The one who initiates the communication.
2. Ideas – Graphic and visual representation of ideas that form the subject matter of Communication.
3. Encoding – converted to words, symbols, or pictures through the process of encoding.
4. Communication channel –Through which medium Communication is taking place.
whether it is face-to-face or email or using some paper or social media etc.
5. Receiver/ Communicator –The target audience for the communication.
6. Decoding – Converting the received messages into a form understandable by the receiver.
7. Feedback – Response to convey if the message is successfully received or not.

1. Semantic barriers / Linguistic Barriers (Lingual factors): Semantic barriers are also known
as language barriers. E.g. --
❖ A manager is conversing in English with a group of workers who understand and speak
Bengali. It will create confusion among workers as they will not be able to understand what
is being conveyed by the manager.
❖ A Spanish man who only speaks and understands Spanish, would not be able to interact
with an Indian woman who is only familiar with Hindi.
❖ Technical language: Language barriers also arise when the sender of the message is
speaking in technical terms while the receiver is unaware of the terms. It creates confusion
and misunderstanding between the sender and receiver by acting as a barrier to effective
communication.

2. Physical Barriers (Environmental Distractions): Physical barriers are those that arise due to
certain factors like faulty equipment, noise, closed doors, and cabins that cause the information sent
from sender to receiver to become distorted (vikrit), which results in improper communication.
For Example - For example, you would not be able to understand what your friend is saying if
you both are at a rock concert due to the noise coming from the surroundings.
3. Cultural Barriers: Cultural barriers are those that arise due to a lack of similarities among the
different cultures across the world. A term that can be harmless in one culture can be regarded as
slang in another culture.
4. Organizational Barriers: Organisational barriers are those barriers that are caused due to the
structure, rules, and regulations present in the organization. Various types of barriers can be
encountered due to superior-subordinate relationships where the free flow of communication is not
possible.
5. Physiological barriers: Physiological barriers arise when a sender or the receiver of the
communication is not in a position to express or receive the message with clarity due to some
physiological issues like dyslexia, or nerve disorders that interfere with speech or hearing.
6. Interpersonal Barriers - It refers to situations when the intended message is received incorrectly
because of personal reason such as :
❖ Prejudice -Having preconceptions can be a hindrance in Communication. e.g. all teachers
are strict, which can strain the chances of conversation with teachers.
❖ Feelings - Sometimes our feelings (such as bad mood or anger or feeling disappointed) stop
us from effective communication.
❖ Attitude of superiors - The attitude of superiors such as egoistic may affect effective
communication in the organization.
Q. What do you mean by Effective Communication?
Ans- Effective communication can happen if we follow the basic principles of professional
communication skills. These can be abbreviated as 7 Cs, i.e., Clear,Concise, Concrete, Correct,
Coherent, Complete, and Courteous.

VERBAL COMMUNICATION
Q- What are the different types of verbal Communication?
Ans - Different Types of Verbal Communication are -
1. Interpersonal Communication - This form of communication takes place between two
individuals and is thus a one-to-one conversation. It can be formal or informal.
Example -
1. Two friends discussing homework.
2. A manager discussing performance with an employee.
2. Written Communication - This form of Communication involves writing words. It can
be letters, circulars, reports, manuals, SMS, social media, charts, etc. It can be between
two or more people.
Examples -
1. Writing a letter to grandmother enquiring about health.
2. A manager writing an appreciation e-mail to an employee.
3. Small Group Communication - This type of communication takes place when are more
than two people involved. Each participant can interact and converse with the rest.
Example -
1. Press conferences
2. Board meetings
4. Public Communication - This type of communication takes place when one individual
addresses a large gathering.
Example -
1. Election campaigns.
2. Public speeches by dignitaries.
Q- Mention some advantages and disadvantages of Verbal Communication.
Ans – Some Advantages of verbal communication are -
Advantage of Verbal Communication -
1. Verbal communication is easy and quick.
2. It isan easier form of communication when we have to exchange ideas.
3. We keep changing your communication as per the other person‘s reply.
Disadvantages of verbal communication
❖ Use of different languages, the inability to understand the colloquial (बोल-चाल का) phrases
used by the other individual and the accent.
❖ Since verbal communication depends on words, sometimes the meanings become
confusingand difficult to understand if the right words are not used.
❖ Public speaking - Speaking in front of alarge group makes most people nervous.
You can use the 3Ps (Prepare, Practice, Perform) method to get over your fears and
become a confident and effective speaker.

Prof. Albert Mehrabian of the University of California in Los Angeles in the 1970s proved that in personal
communication, non-verbal communication is very important as it conveys 93% of while verbal
communication conveys only 7% –
