Data Visualization using Microsoft Excel Pivot Table

A PivotTable is an extremely powerful tool that you can use to slice and dice data. You can track and
analyze hundreds of thousands of data points with a compact table that can be changed dynamically to
enable you to find the different perspectives of the data. It is a simple tool to use, yet powerful.

Creating a PivotTable
Step 1. Click inside any cell on the spreadsheet that contains data you want to use.

Step 2. Go to Insert menu and select Pivot Table.


Step 3. Once Pivot table was selected, a dialog box will appear for you to select cell range to analyze.

Microsoft excel will automatically select the cell range with data. If you have specific data to analyze on
your data in a worksheet, select first the specific cell range before inserting Pivot table, or you may just
edit the cell range using the dialog box shown below.

Step 4. Select New Worksheet or Existing worksheet where you want to display the pivot table.

Step 5. Once location for pivot table to be displayed was selected, select Ok. A blank PivotTable with
Pivottable Fields will appear on a new worksheet.
Problem: What is the total amount sold per item?

From the PivotTable Fields, drag Item Rows, and Total in Values.

Notice on the Pivot Table that the Items were automatically enumerated based on the data set and
automatically showed the computed values in the column Total.

If you want to change the computation of the Values, you may select the dropdown button on the values,
then select Value Field Settings.
Problem: Who among the sales representatives has the highest sales amount?

Again, select and drag Rep field to the Rows and Total field to the Values.

To know who among the sales representatives has the highest sales amount, you can sort the analyze
value so you can identify it accurately.

The output displayed that Kivell has the highest sales amount with 2630.4

Remember that excel automatically chooses the function to use in the Values that is appropriate for
what it thinks. Excel used summation, because it recognized a “number” as value, which automatically
summation. But you can change the function to use as discuss on the previous example, depending upon
on what you wanted to display or analyze.
Exercise: How many units sold per item per sales representatives? What field will you select, and
where to drag to display the sample expected output below?

Test data contains information on over 9,000 animal bites which occurred near Louisville,
Kentucky from 1985 to 2017 and includes information on whether the animal was quarantined
after the bite occurred and whether that animal was rabid.

2. Perform analysis to display the following in different worksheets


a. Bite Incidents per species. What species has the most numbered of bite incidents?
b. Frequency of Human Body Parts that were mostly bitten by dogs? What part of the
human body was mostly bitten by a Dog?
c. Bite incidents per gender. What gender (Male or Female) has the most bite incidents?

3. Create a graph for each of the analysis in item#2.
