Meeting Agenda
1. Brief introduction regarding Menara Desa Project

1. Welcome Remarks
1.1. Benny welcomed and thanked everyone for being present for the
meeting.
1.2. Benny explained that the purpose for the meeting is to introduce the
Menara Desa Project whereby everyone should know each other before
commencing the work.
1.3. Benny started by introducing himself first as the Managing Director for
Glowbest Sdn. Bhd. and the client for this project which is the Desa
Group. Benny also highlighted that the Menara Desa will be the first A.I.
Government Office Building in Sabah.
2. Matters Discussed
2.1. Benny passes the floor to A.R. William Ho for his input regarding the
project.
2.2. A.R. William brief on about the status of the project, whereby currently
piling work is ongoing on site, thus he added that he needed to be brief
more regarding the actual commencement date of the project.
2.3. A.R. William explained on about the line of communication during this
project whereby he will be the project implementation SO for Glowbest
Sdn. Bhd. whereby the contractors can communicate with him
regarding any queries about documentation, while technical issues of
the project can contact with the M&E or C&S consultants, and costing
issues to quantity surveyor.
2.4. A.R. William instructed the contractor to submit a progress report during
monthly site meeting, and make it simple and effective.
2.5. Next, A.R. William touches on about interim valuation suggesting that
before a claim is submitted, contractors should have a joint site
inspection with QS and Mr. Tam (Clerk of Work).
2.6. Benny explained that for any queries, dissatisfactions or matters that
requiring verification or changes, there must be a documentation in
black and white, preferably with a photo. Unless the matter is so small
then it can be settled on the site however, anything that needs a record
should be documented.
2.7. Benny added that he will upgrade some items (e.g. WC, basin, roller
shutter, etc) before the project is completed, and any additional cost
incurred due to these amendments will be topped up.
2.8. Benny informed that for this project, A.R. William will handle the
selection of tiles for both toilet and walkway. As for the paint, Benny
would like to use Nippon Paint Virus-Guard for the internal wall and
ceiling finishing.
3. Claims
3.1. Ms. Chok explained that any project claims need to be reviewed
together by Ms. Angelina and Mr. Tan first before submission to the
architect.
3.2. Ms. Chok also suggested that project claims are to be submitted before
monthly site meeting as it will be quicker to go through it together.
3.3. Ms. Chok emphasized that the most important thing is workmanship of
the project.
4. Project Site
4.1. Benny informed that as of now, the contractor can start to prepare and
submit shop drawing for aluminum, composite panel, handrail, roofing,
and etc.
4.2. Benny also suggests that the contractor can propose any supplier that
can provide products of the same or good quality at a reasonable price,
prior to the approval of architect/developer.
4.3. Benny raised his concern regarding the cement supplier, and mentioned
that he can assist the contractor in getting special rates from Kotamix
Concrete. However, the contractor is also free to explore alternative
cement suppliers.
4.4. Mr. Gordon said, regarding site, the contractor needs to submit RFI two
days before commencing the concreting work.
4.5. A.R. William requested the contractor to submit work program, and site
organizational chart.
4.6. Benny informed that currently there are 4 CCTVs on site at the moment,
Ms. Angelina will provide the invitation link in project Whatsapp group
for the all parties to monitor the project progress.
4.7. Ken to brief everyone involved regarding 360-degree pictures in the
next meeting.
4.8. Mr. Glen informed that contractor is required to submit the electrical
pipeline drawing, as well as their M&E license before installing on site.
4.9. The date of possession of the site as stated in the letter of award, is 22 nd
January 2024. However, due to the delayed schedule of piling works, the
possession date shall be postponed until the piling works are completed
on site.
4.10. Mr. Wah informed that the insurance cover will be submitted next week.
4.11. Mr. Wong highlighted the need to relocate 6 SESB poles on-site for the
upcoming road works. Benny proposed that Glowbest Sdn Bhd will
handle the application and relocation of the SESB poles. Inspection will
be done tomorrow, to identify the actual site condition, together with
the appointed SESB contractor.
