MANAGEMENT
NINJA CHECKLIST

the step-by-step guide:

how to start managing
your time like a pro-today
EMPLOY THE RIGHT TOOLS
Are you a visual thinker? Are you someone who needs to write things down
or likes to use digital devices? Make sure the tools you use are the perfect fit
for you, your habits, and tasks. Both physical and digital tools prove to be very
helpful. So it’s not necessary to choose between the two. Ideally, use both.

• Write everything down. Don’t force yourself to memorize the things.

• C
apture important tasks, events, and appointment in your physical or digital
journal.

• U
se alerts and reminders. Make technology serve a purpose and help you stay
on schedule.

PLAN YOUR DAY AHEAD

Make sure you don’t chaotically switch between the tasks during a day. Impulsive
decisions to commit to some random activities won’t let you make any progress.
Plan your day ahead, schedule your tasks, and follow your timetable to achieve
high productivity.

• Jot down a few key things you need to achieve next day.

• Plan only the most important tasks. Don’t overcommit.

• Delegate the least important tasks.

KEEP IT SIMPLE
Time management shouldn’t be a rocket science. Just apply the right principles
to get the most out of your day and achieve your goals. Efficient time
management is all about proper allocation of your time and effort combined
with timely execution of the tasks that add value. Don’t overcomplicate things.
Prioritize the tasks you set out to do and get down to work.

• Get rid of the tasks that add little or no value.

• Prioritize your task list.

• F
ocus on what matters most and helps you get closer to the things you want
to accomplish.
DESIGN A BLUEPRINT OF YOUR ENTIRE DAY
In order to make the most your time, you should have a clear plan for your entire
day. You should know when and what tasks to execute. Do your best to organize
your events, tasks, and appointments in such a way that you ensure a smooth
workflow throughout the whole day.

• Break big goals into manageable chunks.

• Batch similar tasks together.

• Schedule tasks in blocks of time.

• S
chedule the breaks in between. High productivity doesn’t last forever.
Reserve 5–10 minutes between important tasks for a short break.

GO OFFLINE
Despite the fact that the instant access to the internet provides you with great
opportunities to save your time, stay flexible and up to date, it can also be
harmful. Especially, when it comes to your productivity. High productivity is all
about focus and attention. Once you are interrupted, it takes up to 20 minutes
to restore your focus on the things you have to get done.

• Avoid unnecessary distractions.

• Turn off the notifications on your smartphone.

• Switch off your email alerts.
