CHAPTER 04

BUDGETS FOR TRAVEL INDIA

1. Determine how much budget is realistic for your business

The first step is to try and ascertain how much money you can spend on business travel without
jeopardizing other essentials such as rent and payroll.

If business travel is starting to pick up again for your company, a good place to start to get a steer
of realistic travel costs is to look into past travel patterns, such as:

 Average length of stay.

 Airfare.
 Transfers and ground transportation.
 Meal expenses.
 Lodging and entertainment.
 Conference fees.
 Visas.
 Insurance.

From here, you can begin to work out what an average business travel trip would cost and decide
what budget would be realistic based on your current travel needs and the company’s goals for
the future. Ultimately, anything you spend on business travel needs to be justified for the return
on investment it can potentially bring to your business.

You’ll also need to make sure that you’re considering different teams’ needs when allocating
your budget. Sales teams, for example, tend to travel more frequently than less customer-facing
roles.

Based on these initial calculations, you’ll then need to decide what business travel expenses
employees can claim and compare your current income to your current expenses. This should
give you an idea of how much you should set aside for business trips.

2. Consider seasonality and external factors

Are there certain times of the year that are busier for your organization than others? Do members
of your C-Suite or business development teams attend more conferences and networking events
at key times of the year? All of these elements should also be factored into your business travel
budget.

VIII
You’ll also need to think about other external factors which could influence how much budget
you set aside for business travel e.g. rising inflation.

4. Establish a clear business travel policy and keep employees informed

Once you’ve established what budgets are realistic for your business and ways to save costs, it’s
important to make sure everyone is on the same page.

Many employees consider business travel a perk, and, of course, we agree! But keeping costs
under control is essential, especially if you’re a small business.

The best way to do this is to have a clear corporate travel policy that travelers have easy access
to.

A travel policy will typically contain guides on the booking process, expense categories, expense
reporting, and more importantly, reimbursable and non-reimbursable purchases. This ensures
employees are well informed of what expenses qualify as business travel spending.

If you’re not sure where to begin, download our travel policy template to get started.

CHAPTER 05

SOURCES OF FUNDS

 The main sources of funding are retained earnings, debt capital, and equity capital.
 Companies use retained earnings from business operations to expand or distribute
dividends to their shareholders.
 Businesses raise funds by borrowing debt privately from a bank or by going public
(issuing debt securities).
 Companies obtain equity funding by exchanging ownership rights for cash coming from
equity investors.
 Companies need to raise capital in order to invest in new projects and grow.

Retained earnings, debt capital, and equity capital are three ways companies can raise capital.

Using retained earnings means companies don't owe anything but shareholders may expect an
increase in profits.

Companies raise debt capital by borrowing from lenders and by issuing corporate debt in the
form of bonds.

Equity capital, which comes from external investors, costs nothing but has no tax benefits.

We can raise funds from our partners who are willing to invest.

By borrowing from banks or and other financial institutions.

Other Funding Sources

Funding sources also include private equity, venture capital, donations, grants, and subsidies at
do not have a direct requirement for return on investment (ROI), except for private equity
and venture capital. They are also called “crowdfunding” or “soft funding.”

Crowdfunding represents a process of raising funds to fulfill a certain project or undertake a

venture by obtaining small amounts of money from a large number of individuals. The
crowdfunding process usually takes place online.

CHAPTER 06

INVESTMENT ON TECHNOLOGY

Mobile technology

Smartphones are an integral part of many people's lives. Smartphones are communication
devices, planners, maps, personal travel guides and restaurant locators, among other things.
That's why many businesses have made mobile technology part of their business plans.

Here are some items that businesses have created for users:

 Mobile apps. Southwest Airlines is one of many businesses that provides a mobile
app to travelers. Here, people can book and check in for flights, check a flight's
status, and access their boarding pass and rewards account. Some companies, such as
Hilton, even offer the option for digital room keys using an app.

 In-app chat. JetBlue also has a mobile app. Included in it is an in-app chat feature
that enables users to talk to employees while on the go for quick assistance -- part
of JetBlue's customer engagement strategy. This can be especially beneficial when
travelers face long customer service lines at the airport .

 Virtual queues. Virtual queues enable travelers to join a line without physically
waiting with other people for what can sometimes be hours. Harry Potter New York
is one such store that offers this type of queue. To join the queue, visitors scan a QR
code with their smartphone at the store and enter their group's details. Visitors then
get a text when it's their turn to enter the store.

 QR codes for menus. At the onset of the pandemic, many restaurants provided
QR codes to customers for virtual menus while dining in. This eliminated the
potentially germy touchpoint of physical menus. One such restaurant to do this was
Shorty's Mexican Roadhouse in New Hampshire. Customers scan a QR code with
their smartphone, and the restaurant's menu appears on their device.

XII
Contactless payments

Contactless payment methods have also become increasingly popular in the tourism industry.
The pandemic made it almost a necessity, as people shied away from physical card and cash
exchanges. Contactless payments work by holding a credit card – or other device such as a
smartphone, watch or key fob -- near a card reader. The user's device communicates with the
reader using RFID technology, instead of swiping a magnetic strip or inserting a credit card into
a machine.

CHAPTER 07

XIV
CHAPTER:- 08
RISE OF ONLINE TRAVEL AGENCY

The online travel market is expected to grow 18% in 2022 to $76.7 billion, a figure
just shy of 2019 gross bookings, new research from Phocuswright reveals.

According to the U.S. Online Travel Agency Market Report 2021-2025, OTA
gross bookings are on track to surpass pre-pandemic levels in 2023, though
international travel will continue to recover slower than domestic.

For 2021, OTAs delivered $65.2 in gross bookings, reaching 82% of pre-pandemic
levels. Overall, OTAs accounted for 24% of gross bookings in the United States in
2021, up from a 20% share in 2020.

Phocuswright’s research reveals that for the U.S. core OTA business (excluding
Vrbo and Egencia), Expedia and Booking collectively accounted for roughly 93%
of the OTA leisure and unmanaged travel business market in 2021.

Globally, Expedia reported gross bookings of 67% and Booking 79% compared to
2019 levels. Compared to 2020, Expedia nearly doubled its global gross bookings
in 2021, while Booking more than doubled its 2020 figure.

Elsewhere, smaller OTAs including CheapOair, Hopper and HotelTonight

collectively rose 60% in 2021 from 2020.

OTA vs. supplier-direct

In 2021, OTAs regained share of the total online market, rising from 35% to 37%.
However, supplier websites maintained their majority stake in the U.S. online
travel market, with a 63% share of online gross bookings.

The hotel segment remains the only one where OTAs continue to outrun supplier
websites, though not by much. In 2021, OTAs accounted for 52% of the hotel
online market, but share is expected to decline to 48% in 2025.

XV
For air and car rentals, though supplier websites are the preferred booking channel,
OTAs gained share in both segments, with online air gross bookings capturing
20% in 2021 compared to 19% in 2020, and car rentals at 35%, up from 32% in
2020.

Mobile

According to Phocuswright, mobile has been a pandemic-era winner, promoting

safer and seamless travel, and OTAs are paying more attention to their apps.

In 2021, the majority of Booking’s mobile room nights transacted through its app,
while competitor Expedia has expressed its intentions of becoming an app-first
company.

XVI
CHAPTER:- 10

PROMOTIONAL CONSIDERATIONS

An effective promotional strategy can serve as the foundation on which to build a

successful business. Advance publicity on behalf of an organization prior to
staging an event can help to increase attendance and build public awareness of the
program. A number of options for providing advance publicity are available to
event planners including newspapers or other media outlets, newsletters, Internet
sites, and direct written or oral invitations. Regardless of the promotional strategy
used, event information provided in advance must include the event date, place,
time, participants, and ticket prices; special entertainment details; and any other
unique details of interest to potential attendees of the event. If tickets will be
required, advance notice should provide information on ticket sale locations.
Charity events should provide information on the group benefitting from the event
(Wireman, 1995). An advertising strategy should be developed in conjunction with
the promotional plan. Developing an advertising strategy requires as much research
as possible about the potential market to target. Effective advertising provides a
direct line of communication about the organization or event to potential attendees.
Good advertising strategies create a desire in people to attend the event and act on
that desire. For an advertisement to be effective it must be simple, easily
understood, truthful, informative, sincere, and oriented toward potential customers.
Advertising media vary in effectiveness, and event planners should consider a
number of factors when developing an advertising strategy. The cost per contact
varies among advertising media.

CHAPTER 14

PLANNING FOR PROBLEMS

1.Building and Maintaining the Credibility of Online Presence:- One of the

biggest concerns for a travel agent is to establish and maintain a reliable online presence. Only
having your own website is not sufficient to help you be visible in such an abject and demanding
competitive era. Everybody knows that your website shows your online presence, however,
without a responsive website equipped to deal with bookings and answer your clients’ questions
efficiently, you mustn’t even dream of success. Don’t be hopeless, keep reading further to
convert your dreams into reality. Just follow the given pieces of advice below: You should
develop a responsive website having a user-friendly interface and traveler-centric features. Make
more investment in organic SEO and content marketing. Have a partnership with a famous taxi
aggregator having a powerful web presence and a successful mobile app.

2. Maintaining own Service Standard In this competitive era, where everybody is

ready to steal your customers, you must maintain an indubitable standard of your travel business
to retain your customers. You must leave the travelers who took your services amazed and
pleased with your excellent services. Although seeming simple, it’s a very complicated and
demanding task. It is because having a flood of taxi drivers and cabs under one’s management
becomes problematic, especially when it comes to maintaining the cab quality and regulating
customer experience. Take a deep breath, keep the three points in mind given below for
memorable customer experience: You need to have a structured training schedule for all
drivers. You must ensure that your cab condition is appropriate by having a periodic check and
creating a checklist for better evaluation. Hire experienced drivers and train them as per their
individual problems.

3. Make Booking Procedure more Convenient You must be thinking that calling and
booking your services is easy, however, your customers may not feel the same. This mobile era
is very convenient but competitive, where people use smartphones for almost everything. You
must throw away the tedious and complicated old booking process. You’d better move to an
upgraded booking process and simultaneously, you need to have an insightful booking dashboard
to handle everything. Apart from that, follow the tips below. Tips for better booking process:
Have a partnership with those service providers giving online booking facilities by means of
apps or websites. You can also get your customized Travel agency invoice software as per your
agency needs which can be integrated in your booking portals. Keep multiple options available
for customers to choose one as per their convenience.

XXIII
4. Dealing with Duplicate Data Entries As a travel business, you must be receiving
a great deal of data from different sources like website, call center, social media, resellers and so
on. And, it makes you create double entries, which means to create twice the same buyer
persona. Although it’s not hard for you to tackle different lead sources by getting rid of
duplicated data, it will consume a great deal of time of yours. Moreover, you will need excellent
communication within your team and even between multiple agencies if necessary. As we all
know that it’s unwise to shoot an advertisement at the same prospect twice. Get rid of this
problem by following the tips given below: Have an advanced system that can indicate
duplicated data immediately on detection. Your system must be advanced enough to let know
when you are about to send an advertisement to a single prospect twice to prevent you from
doing so.

5. Providing Services as per Specific Requirements When you provide your

customers with services as per their expectations and demands, they feel special. Some tips are
given below to delight your customers as per their preference: Don’t underestimate the power of
clients’ feedback and reviews to improve your services, and always learn from them. Fill your
mind with users’ preferences and demands when they make a booking. Win their hearts with the
convenience of providing them with multiple payment options and online booking facility.

6. Expense Management It’s not easy to be aware of every single penny spent if you are
managing your expenses manually. Travel businesses, like others, have to spend a lot on
advertising, purchasing new technology-powered tools, customer service, and so on. Moreover,
it’s wise to have some financial backup for the future. But, how can manage your business
expenses properly? You should use a cutting-edge expense management software . A single
convenient dashboard of expense software can help you with keeping a track of all your accounts
payable and reports. It will be much easier for you to maintain a record of expenses happening
regularly, and you can conveniently import expense files on the dashboard. Apart from that, you
can create searchable categories and analyze reports country wise.

OVERCOME FROM CHALLENGES:-

 SPACE TO WORK.
 RESOURCES.
 FINANCES FOR FIXED ASSETS AND WORKING CAPITAL.
 MANPOWER.
 CUSTOMER RELATIONS.
 OUTSOURCE THE LABORIOUS WORK.

CHAPTER :– 17

CONCLUSION

Travellers continue to seek authentic experiences. The tools they use to research
and book these experiences are constantly changing due to innovations in
technology. Destinations are also challenged by limited financial resources and
strong competition for tourist dollars from other iconic and even lesser known
locations. The personalisation of travel suggests that independent travel will have a
stronger presence than group travel, however, we must always consider the type of
traveller. The travel services sector is being forced to innovate at a startling rate.

In the past, face to face consultations with a travel agent was paramount for
booking both leisure and business travel. Technology and global circumstances,
such as pandemics, financial collapses, and terrorism, have put pressure on tourism
and travel services. With the development of OTAs and emerging and disruptive
technologies, the travel services landscape is constantly changing.
