Data Management Plan:

All customer records will be stored in a “customer record” database with relation titles as follows: sales
records, login credentials, mailing preferences, and customer rewards. The customer record attributes
will include the customer’s first name, last name, phone number, payment information. The customer
will have the ability to change their preferences concerning their name, phone number and payment
information. They will be able to access this information via their username (email address) and
password. They will also be able to log into the online ordering platform for faster ordering and previous
meal purchases.

The district managers will have viewing access to the database but will not be able to manually edit or
view customer set information such as email addresses and payment information. These data fields are
only accessible by the customer and the database manager and the database manager technical roles
defined by the organization. Store staff and personnel cannot access or change customer records under
any circumstances. All issues with database access must be ticketed and sent to the IT helpdesk. The
district and unit managers can view the customer name, phone number, email address and sales
records.

All records will be stored and archived on a weekly basis. If a customer has not logged in after a year’s
time, the customer’s login credentials, mailing preferences and customer rewards will be deleted. Sales
records are permanent and will be stored/archived monthly. Records will be stored in databases using
MySQL Server. The database will be encrypted and will require a encryption key to be generated to
access the database; this will ensure security of all customer and sales records.
