Code of Conduct

Purpose
At A.C. Humidin Air System Pvt. Ltd., we promote freedom of expression and open
communication. At the same time, we expect our employees to think out of the box,
innovate, learn and grow with the emerging trends.

The purpose of this Code of Conduct is to outline the organizational expectations


regarding employees’ behaviour towards their colleagues, supervisor and overall
organization.

Scope
This policy applies to all our employees regardless of employment agreement or
organization hierarchy.

Policy Elements
All our company employees are bound by their employment contract to follow our
Employee Code of Conduct while performing their duties. We outline the components of
our Code of Conduct below:

1. We expect employees to be ethical and responsible when dealing with our


company’s finances, products, partnerships and public image.
2. All employees should respect their colleagues. We will not allow any kind of
discriminatory behaviour, harassment or victimisation, use of unparliamentary
language or demeaning behaviour.
3. All employees should treat the company’s property, whether material or
intangible, with respect and care.
4. All employees should respect all kinds of incorporeal property, including
trademarks, copyright and other property, and use them only to complete their job
duties.
5. All employees must show integrity and professionalism in the workplace.
6. We discourage employees from accepting gifts from clients and partners. We
prohibit briberies for the benefit of any external or internal project or assignment.
7. Any instance of misrepresentation of facts, fraud or dishonesty leading to loss of
revenue or tarnishing the image of the company is against the Code of Conduct and
liable for a strict disciplinary action.
8. All employees should fulfil their job duties with integrity and respect toward
customers, stakeholders and the community.
9. We encourage mentoring throughout the organization. However, supervisors and
managers must not abuse their authority.
10. We expect our employees to avoid any personal, financial or other interests that
might hinder their capability or willingness to perform their job duties.
11. All employees must be open for communication with their colleagues, supervisors
and team members.
12. Employees are expected to be responsive and respond to requests made by
colleagues, customers, vendors and clients in a timely and respectful manner.
13. As colleagues, all employees should be friendly and collaborative. They should not
try to threat, disrupt the workplace, present obstacles to their colleagues’ work in
any manner.
14. All employees should read and follow our company policies.
15. All employees are expected to use a professional approach at all times placing the
client’s best interests above all others.
16. All employees must treat client information as confidential and prevent its access
by unauthorized persons.
17. All employees should keep client informed of the status and not knowingly
misrepresent facts even if it jeopardizes the assignment
18. The employees should continually invest in professional development to keep
abreast of evolving knowledge within his/her profession and areas of expertise.
19. Confidentiality with respect to customers, clients, trademark, designs, vendors and
all proprietary material needs to be maintained during and after employment with
A.C. Humidin Air Systems Pvt. Ltd.
20. All employees must follow the Office Policies and ensure that they reach office and
their respective work stations, well in time, so as to avoid any time lag and have
productive working hours. All employees must wear I-card on the office premises.
21. As an employee of A.C. Humidin Air Systems Pvt. Ltd., one should not engage in
any personal trade or business.
22. Being responsible employees of A.C. Humidin Air Systems Pvt. Ltd., consumption of
alcohol, smoking and chewing tobacco in office premises is strictly prohibited. An
employee reporting to office after consumption of alcohol or under the influence
of any drug or in inebriated state will be liable for strict disciplinary action.
23. Each department has defined ways of working and the sanctity of data is of utmost
importance. The employees are advised to follow the defined processes of the
department and protect the data at all times.
24. Any kind of recreational activity like playing games online and social media, other
than the welfare activities provided by the organization as Employee Engagement,
should be avoided by the employees on the premises of A.C. Humidin Air System
Pvt. Ltd.
25. All the company assets issued by the company have to be taken care and kept with
utmost precaution. Any software updating and maintenance will be taken care by
the organization. However, in the event where the asset gets broken/damaged/
needs repair due to carelessness of the employee, the company will not be
responsible for the wear and tear charges and the employee will have to bear the
expenses related to its cost.
26. All employees should be mindful of not getting into any act of Sexual Harassment
or Assault with the female employees. Any such incidents reported to or brought
to the notice of the Management, will be dealt with in a strict manner with
appropriate action being taken against the defaulting employee.
Please note - Appropriate action will be taken against any perceived violation of this Policy
in any way. An investigative and inquiry proceeding will be conducted and based on the
outcome/findings, an action commensurate to the extent of misdemeanour will be taken
ranging from:
 Counselling
 Verbal/Written Warning
 Holding of Promotion/Incentive
 Suspension
 Termination
