Revit Project Architecture 2011

A. Purpose & Scope

This document outlines the procedures for creating, customizing and managing a Central
Project File in Revit in one secure, central location within the Project Folder for use in a
Workshared environment.

This procedure will allow team members to work simultaneously in Revit Architecture using
worksharing. Worksharing allows simultaneous access to a shared model through use of a
central model. All Oldcastle BuildingEnvelope projects must be configured using worksharing.

B. Procedure

This procedure outlines the steps required for creating, customizing and managing a Central
Project File in Revit in one secure, central location within the Project Folder for use in a
Workshared environment.

(C:\ProgramData\Autodesk\RAC 2011\Metric Templates).
c) Select the RTE file and click Open. For Create new, click Project. Click OK. A blank project
will open.
d) Save the file to R:\Projects\000...Project Name\Engineering\Drawings
• Tip: Name the file intuitively so others will recognize it. Example: 655 Aura Tower
Central File.rvt
e) Click Collaborate tab > Worksets panel > Worksets
• A Worksharing window should open, fill in same as im age 1.1 (below) and click OK.
• The Worksets window will open. You will have 2 worksets: Shared Levels and Grids, and
Workset1.
• Click New and create a workset called Curtainwall. Check Visible in all views. Click OK.
• Click New and create a workset called Inserts. Check Visible in all views. Click OK.
• Click New and create a workset called Structure. Check Visible in all views. Click OK.
• The Worksets window should now look like im age 1.2
• Note: New worksets can be created later, if needed.
f) Click OK to close the Worksets window.

2. Create User File(s)

a) Each user, from their own computer, must select > Open > Project > browse to
and select the saved Central file > check Create New Local > click Open.
• Note: Do not select Detach from Central.
• A local copy of the file will be saved to your hard drive. This local copy is the file in
which you, the user, will work in. Example: C:\Users\Sarah\Documents\655 Aura Tower
Central File_Sarah.rvt
• Users can now start working in their local copies.
b) Save your file often and Synchronize with Central to save your work into the Central file. To
Synchronize with Central, go to Collaborate tab > Synchronize panel > Synchronize with
Central.
c) Before you start to model, within your local copy, go to Collaborate tab > Worksets panel >
Worksets button > in the Worksets window, select an active Workset. For example, if you
are modeling or modifying floor slabs select Structure.
d) Under the Editable column, click No under Structure and set it to Yes. Your name will now
appear as the Owner of this Workset; see im age 2.1

im age 2.1

e) Be aware of which Workset you are working in at all times. Worksets allow us to control
visibility of the project quickly and easily if the components are assigned to the proper
Workset.
f) Worksets allow for multiple users to work on the same file at the same time. For example:
Tony can be the Owner of Structure while Sarah is the Owner of Curtainwall, each working
within their own local copy. For Tony to work in Curtainwall, Sarah will need to relinquish
the Workset and Synchronize with Central so it will become available for Tony to own.

3. Worksharing Monitor

The Worksharing Monitor is a utility that allows you to learn information about a workshared
project, such as:
 Who is currently working on this project?
 Is my local copy of the project up to date?
 When will my Synchronize with Central operation finish?
 Has my request to borrow elements been granted?
 Are any issues interfering with my work on a Revit project?
• The Worksharing Monitor is available to Revit Architecture subscription customers.
• The Worksharing Monitor makes it easy when working in teams, by allowing members to
know when to synchronize with Central. If your team is small (1-3 people) you may not find
this utility necessary as you can simply communicate with each other about which Worksets
individuals will work on and let each other know when to save and synchronize.

To use the Worksharing Monitor:

a) Have your IT department Install the Worksharing Monitor.
b) Open your Revit project, and click Add-Ins tab > External panel > External Tools drop-down
> Worksharing Monitor.
c) In the Worksharing Monitor dialog, click Help to learn how to use the utility.

4. Modeling the Project

Before you start adding content to a Revit project, consider the following approaches to the
design process:
a) Begin the design process by defining levels and grids for the model. Remember to create
these on the 'Shared Levels and Grids' Workset.
• Note: 'Pin' your levels and grids to prevent them from being moved accidentally. Select
your items to be pinned, click the pin icon found on modify panel. You can always
'unpin' later to make changes.
b) Importing data: If you started the design process using another CAD program (such as
AutoCAD), you can import existing data. Revit Architecture imports various CAD formats,
including DWG, DXF, DGN, and ACIS SAT files. You can simply import the data or you can
link in the data (like an x-reference).
c) When the grids are in place, you can start modeling the structure. *Remember to set your
active Workset to Structure.
• Tip: Refer to your training notes, books or Revit help section to recall how columns can
be easily placed by using grids.
d) When adding the curtain walls, switch to a plan view and always remember to add the walls
in a CLOCKWISE direction as instructed in the training sessions. This will ensure that the
exterior of the curtain wall is on the correct side.
e) Curtain walls should be created in planes of straight runs, and should run the full height of
the curtain wall scope of the Project.
f) Use the Curtain Grid tool to subdivide the curtain wall into modular "Panels".
Typically, vertical grids represent the mullion centerline and horizontals grids coincide with
Floor Levels. This is critical as any module revisions or adjustments are easily resolved using
this configuration.
g) All curtain wall Base Constraints should be set to the Level at which the curtain wall begins
and the Top Constraints should be set to the Level at which the curtain wall ends.
h) The Base Offset should be set to 0.0 (zero) regardless of the actual Project condition, i.e.
curbs, upstands, cantilevers, etc.. These offsets will be accounted for in the frame family
creation portion of the project.

5. Controlling Visibility within the project

As you are working in the project, you may find it difficult to view things as more components
are added to the model. You will need to familiarize yourself with Visibility/Graphics. This is a
window in which you can control visibility of objects by category.
a) Type VG or VV to open the Visibility/Graphics window OR go to View tab > Graphics panel >
Visibility/Graphics icon. You will be able to turn elements on/off by checking/un-checking
the category.
• Note: this is view specific, for example: you are in a 3D view > type VG > under the
Model Categories tab, turn off columns > go to a floor plan view > the columns will still
be visible.
b) Within the Visibility/Graphics window, under the Worksets tab, you will be able to hide
entire Worksets. For example, you want to hide the Curtainwall Workset so you can clearly
see the Structure. Select the Curtainwall Workset listed > under Visibility Setting change
from Use Global Setting to Hide by selecting from the pull down menu. This will turn off all
Curtainwall in the current view.
c) The Annotation Categories tab allows you to control which notes, tags, and dimensions are
visible in the view.
d) The Imported Categories tab allows you to control the visibility of imported files such as
CAD links. Example: You have imported CAD floor plans into plan views but you see them in
3D view, go to 3D view > type VG > select Imported Categories tab > un-check the CAD
link > click OK.
e) Temporarily hiding or isolating elements or element categories may be useful when you
want to see or edit only a few elements of a certain category in a view. The Hide tool hides
the selected elements in the view, and the Isolate tool shows the selected elements and
hides all other elements in the view. The tool affects only the active view in the drawing
area.
• On the View Control Bar (bottom of the drawing area), click . Several options for
hiding or isolating become available.

• Element visibility reverts back to its original state when you close the project, unless you
make the changes permanent. Temporary Hide/Isolate also does not affect printing.

6. Applying Frame information within the Project

Once you have created your curtain wall panels, you are ready to locate your frame families
into your Project. Refer to the section "Frame Family Creation" for instructions on how to create
parametric frame families correctly.
a) Load your frame families into the Project and swap into appropriate locations.
b) Locate frames which are identical (in both family and size) and select them.
• Click Edit Type > Duplicate... > Name: F#### (Example: F1000) > click OK > under
"Type Mark" enter F#### > Click Apply and OK > Click Apply and OK. Number all your
frames in the project the same way.
• While the frame is still selected, under Text Properties enter the IDT Type. This
parameter is a "Type" parameter. Every Type on the Project will be updated when this
value is filled. (Refer to the im age 6.1 for IDT Type designation guidelines)
• Tip: Don't forget to duplicate! If you don't duplicate, you overwrite your work.
c) Select frames by Level. Example: select all frames on level 5, under Properties; enter 5 for
"Level".
d) Select frames by Release, under Text Properties enter the Release number for "Release".
• The Frame number, Level, and Release information entered will be used to manage
frame counts for your project.
[The above may need to change based on SolidCAD’s developments with mapping Revit
information to the Vault. Example: Level may need to be entered as Rel.01.Lev.01.]

7. Creating a Frame Schedule

If you have applied Frame Numbers to the frames within the project and filled in Level and
Release Properties, you can now run a Frame Schedule. This is where you will manage your
frame quantities for Releases.
a) Go to View tab > Create panel > Schedules pull down > Click Schedule/Quantities > Select
Curtain Panels > Name: *Frame Schedule (*rename) > Click OK.
b) Under Schedule Properties window, open the Fields Tab and add the following Fields to the
Frame Schedule:
• Select Type Mark > Click Add
• Select IDT Type > Click Add
• Select Level > Click Add
• Select Release > Click Add
• Select Count > Click Add
c) Open the Sorting/Grouping Tab. Sort by:
• Type Mark
• Release
• Level
• Check Grand totals at the bottom
• Un-check Itemize every instance.
d) Open the Formatting Tab. Select Type Mark > Under Heading: rename 'Type Mark' to
'Frame Number' > Click OK.
[The above section may need revision based on SolidCAD’s developments with mapping Revit
info to the Vault.]

• To create an insert schedule, it is similar to the frame schedule but done by selecting
MTO instead of Schedule/Quantities. The inserts would be categorized as Generic Models.
Select the system level field for this.

8. Exporting Frame Schedule to Vault for fabrication quantities

11. Linking in AutoCAD Detail Drawings

11.1 Setting line weights to linked CAD drawings

• Click Insert tab > on Import panel click the small arrow in the bottom right corner >
click Load... > browse to R:\Projects\importlineweight-dwg-shop.txt > click OK.
• This will match your Revit project line weights to your Shop Drawing line weights based
on the standard “shop.ctb” file used in AutoCAD. NOTE: When printing, have ‘Thin Lines’
(TL) disabled. Thin lines button is found under View tab > Graphics panel > thin lines.
Lines displayed on screen as they will be printed.

11.2 Adding AutoCAD details to a Drawing Set

• Click View tab > Create panel > Drafting View > in the New Drafting View dialog box,
enter a name and select your scale > click OK. Your drafting view will now appear in the
Project Browser under views.
• In your new drafting view > click Insert tab > Link panel > Link CAD > browse to your
CAD file and open it > your CAD drawing will be placed in the new drafting view.
• Create a new sheet and drag or place your drafting view onto it.

11.3 Setting line type styles for linked CAD drawings

• Type ‘VG’ or ‘VV’ to open Visibility Graphics window > click Imported Categories Tab >
Click Object Styles > Expand your linked CAD drawing listed under Category > change
your ‘Center’ layer Line pattern to center line type, change your ‘Hidden’ layer line
pattern to hidden. Do this for any layer that requires a different line type.
• *Tip: try to keep your layers organized when working in your AutoCAD drawings to
make this step easier.

11.4 Referencing a Drafting View

If you want to reference your linked CAD detail to a part of the building, for example a wall
section view, do the following:
• From the wall section view > View tab > Create panel > Callout > on the green options
bar, check reference other view and select the detail you want to reference from the
adjacent pull down menu > place callout on the section > the callout will auto-fill with
the proper reference information.
• You will notice the callout defaults to say "Sim". To remove this, click the callout, under
properties click Edit Type > Click Duplicate... > Create new type, name something like
Detail without 'Sim' > delete Sim from Reference Label > click OK.
• *Tip: To go from the callout directly to the detail view, simply right click on the callout
and click Go to view.

12. Dealing with large file sizes

• You can purge your Project by going to Manage tab > Settings panel > Purge Unused > in
the Purge unused dialog box you can see what is being purged > Click OK.
• Rather than modeling everything in the project file, you could make use of Revit links by
modeling some parts in separate files. The files can be linked into the project and made
visible, but will not take a long time to load.
• Example: on the Aura Tower project, the podium portion of the job was linked into
the tower project file. As changes were made to the podium file, they were updated
in the tower file.
• Import less CAD data. If you are going to import or link a CAD file: Insert tab > Link panel
> Link CAD > in Link CAD Formats window browse to your file and select it, at the bottom
of the window under Layers: pull down and click Specify..., select your other preferred
options > click Open > Select Layers/Levels to Import/Link window will open > select Check
None > then check only the necessary layers > click OK.
• Delete Imported Subcategories (Layers) that were imported with the CAD file.
Manage tab > Settings panel > Object Styles > Imported Objects tab. Select all
subcategories and delete. You must select each subcategory individually: you cannot select
a list at once.
• Tip: If your CAD drawing is for geometry purposes and will be deleted later, try to
put everything in your CAD drawing on as few layers as possible, the less layers
Revit has to import, the lighter the project file will be. Purging the CAD drawing
before linking is also a good idea.

13. Creating Tag drawings

a) First decide if you want to have Tag drawings as separate drawing sheets. If you do,
duplicate your views and rename them so you know they are for Tag Drawing purposes. If
you want to use your shop drawings as tag drawings, simply control the visibility of the tags
when you need to print tagged drawings.
b) To tag frames: Load a curtain panel tag family > Go to the view you want to tag > Click
Annotate tab > Tag panel > Tag All > select Curtain Panel category > click OK.
OR
c) Rather than Tag All, select Tag by Category and tag frames individually by clicking on them.
d) NOTE: The same is done for Inserts, but using the Generic model tag and selecting Generic
model category. The Tag will come from the Type Mark which was entered into each family
within the project.

14. Creating a Sheet List (Drawing Index)

1. In a project, click View tab > Create panel > Schedules drop-down > (Sheet List).
2. On the Fields tab of the Sheet List Properties dialog, select the fields to include in the sheet
list.
3. (Optional) To create user-defined fields, click Add Parameter. For further instructions, see
Parameters in the Revit help section.
4. In the Sheet List Properties, in the Fields tab, select Include elements in linked files to
associate any number of placeholder sheets with the Project Browser. Click OK.
5. Specify the remaining schedule properties using the Filter, Sorting/Grouping, Formatting,
and Appearance tabs.
6. Click OK.
7. The resulting sheet list displays in the drawing area. In the Project Browser, it displays
under Schedules/Quantities.
8. Rename the 'Sheet List' to 'Drawing Index'.
9. Create new sheet and drag/drop the drawing index onto the sheet.
10. Note: If your project contains Insert drawings as well as Curtainwall shop drawings, use the
filter to eliminate the Insert drawings from the list. Create a new sheet list for Insert
drawings and use the filter to eliminate the CW drawings.

15. Material Take-Off

Customizing a For Revit
Revit Project Architecture 2011

Tips To Consider In Revit:

• Use the filter at the bottom right side of the screen to select, deselect, and check
quantities.
• Use right click > Select all Instances in Entire Project to get project totals for any
items such as insert types, frame types, etc.
• To display your spandrel glass with a hatch pattern in your drawings, apply a surface
pattern to the spandrel glass within the project by editing the material. This will leave a
hatch on the elevations to identify the glass type. Make sure to use consistent naming of
materials when working in the families, for example; name the spandrel material the same
way in each family so you can easily edit the material in the project.

Creating Profiles for
Frame Families

Revit Architecture
Creating Profiles For For Revit
Frame Families Architecture

Purpose & Scope

This document outlines the procedure for creating and managing each Profile Component in one
secure, central location within the Project Folder for use in Frame Family Creation.

A. Procedure For Creating a Profile

The procedure below will require AutoCAD files prepared of the system details that are being
referenced in the Profiles. Create separate .dwg files of each known condition and place the Origin at
the intersection of the “Center of Mullion/Horizontal” and the “Face of Glass”. When drawing horizontal
details, orientation should be Exterior/Down and Top/Left.

1. Click File > New > Family.

Select the template
Metric Profile-Mullion.rft or
Profile-Mullion.rft (Imperial).

2. The reference planes preloaded in the

template by default represent the
Center of Mullion and the Front/Back of
the Curtain Panels. In most cases, the
Front reference plane is used and
typically represents the face of glass.

3. Click Insert > Import CAD > Browse to

the folder where you have saved the .dwg files and load in the appropriate file.

4. Before inserting the file, be sure to

adjust the settings as follows:
• Colors: Preserve
• Layers: Specify. When prompted,
deselect all Layers not required.
Typically, only DIES is needed.
• Import Units: Custom Factor. Set to
25.4 as the .dwg files are drawn in
Imperial.
• Positioning > Auto – Origin to Origin
• Place at: Ref. Level

5. Click Open

June 2012 2
Creating Profiles For For Revit
Frame Families Architecture

6. If the .dwg file was set up correctly, the imported detail will be placed at the intersection of the
reference planes, which is exactly where we want it to be.

7. Click Home > Detail > Line

8. Use the Pick Lines tool to select the

Profile outline as required. Simplify the
shape as the Profile does not require the
amount of detail that our extruded dies
typically have.
• Do not include the following:
raceways, v-grooves, small radii, nibs,
screw chases, etc… In addition, Revit
will not recognize small elements
(<1mm) so keep that in mind when
picking your lines.

9. Once you have picked your lines, you can delete the imported .dwg file. In some cases, you may
need to move the detail to the side until you have completed your closed loop.

10. Use the Trim/Extend to Corner Tool to join corners as the Profile must be a closed loop to
function in the 3D model.

11. Add dimension constraints to the Profile

to lock it to the reference planes.

12. Purge all unused items in the file. There

should be very little to purge but this
step is recommended as a general
practice.

13. Click Manage > Object Styles > Imported

Objects tab. Delete all Categories that
were imported with the .dwg file. This
step is recommended to reduce waste
and file sizes.

14. Save the file to R:\Projects\000...Project Name\Engineering\Drawings\Families\Profiles

Name the Profile using the Die # or Rolled Assembly #. Example: 10396.rfa or R10395-1.rfa

Creating Frame
Families

Revit Architecture
For Revit
Creating Frame Families
Architecture

Purpose & Scope

This document outlines the procedure for creating parametric frame families for use in a Revit Project.

A. Procedure For Creating the Skeleton

1. Click File > New > Family > select the template Metric Curtain Wall Panel.rft or Curtain Wall
Panel.rft (Imperial).
2. The reference planes preloaded in the template, by default, represent the Center of Mullion and
the Front/Back of the Curtain Panels as well as the Reference Levels that will be used to place
the panels. In most cases, the Front reference plane is used and represents the face of glass.
3. Create the “Skeleton” by adding Reference Planes as required which represent key element
sightlines of the system curtain wall panel. These reference planes and how they are
constrained are critical to the parametric capabilities of the frame family.
• Examples of horizontal reference planes are:
• Transom/Horizontal Centerline
• Daylight Opening Sightline
• Glass Edges
• Top/Bottom of Mullion
• Examples of vertical reference planes are:
• Mullion Centerline
• Daylight Opening Sightline
• Glass Edges
• Head Transom Extents
• Additional Reference Planes may be useful on a job by job basis, such as architectural
references, feature elements, etc.
• Tip: Select a Reference Plane > Properties Window > Identity Data > Name. Enter a
descriptive name. In this example, the Reference Plane was named “Glass Edge 4”,
indicating the 4th glass edge from the bottom. This will be helpful in the steps to come
where sweeps are placed in the skeleton. Do this for all Reference Planes in the family.

June 2012 2
For Revit
Creating Frame Families
Architecture

4. To add further flexibility to the family, add parameters to the dimensions locating the
intermediate horizontals. These should be Type parameters to allow for changes to all identical
types on a Project.
5. Text elements can be added to the family to further describe the skeleton configuration.
6. Pin your Ref. Level, all your dimensions and text elements. Do NOT pin your Reference Planes
as the frame will not “flex” in the Project if these are pinned.
7. The final skeleton should be similar to the image below:

June 2012 3
For Revit
Creating Frame Families
Architecture

B. Add Sweeps to the Skeleton

1. Before adding sweeps, Load the Project Profiles into the frame family.
• Insert > Load from Library > Load Family > Browse to the: R:\Projects\000...Project
Name\Engineering\Drawings\Families\Profiles folder and select all the Project Profiles.
• Click Open. You may be asked to overwrite existing Profiles if they already exist in the
family. Click Yes.
2. Use the Sweep tool to add model elements to the skeleton.
3. Click Home > Forms > Sweep Once selected, all Annotation Categories will become
halftone, making it easier to place your Sweep path.
4. Select Sketch Path from the Modify|Sweep options.
5. Use the Line tool to sketch the path of the Sweep.
• Hover over the intersection of the appropriate Reference Planes and look at the Status Bar
to ensure that the correct intersection is selected. Use the Tab key to cycle through any
other options that may exists at the cursor location.
Important Note:
 For all Horizontal Sweeps, draw the path from Left to Right
 For all Vertical Sweeps, draw the path from Bottom to Top

• Once you have the correct location, click on the intersection. You will be asked to “Enter line
end point”. Drag your mouse to the right to complete your Sweep. Use the same procedure
for selecting the end point of the Sweep. Click to Finish the path.
• Selecting the correct intersection is a critical aspect of the parametric frame family as all
model components are constrained to these reference planes.
6. Once the path is established, you will now need to
assign a Profile to the path.
• Select the Profile from the pull-down menu on the
Modify|Sweep panel. This list will have all the
Profiles that were loaded on Step 2a above. If the
Profile does not exist, use the Load Profile tool to load
the missing item.
• Once you have selected the Profile from the list,
Click to complete the Sweep operation.

June 2012 4
For Revit
Creating Frame Families
Architecture

C. Add Extrusions to the Skeleton

1. Using the same Reference Planes noted above, sketch your infills, i.e. glass, backpans, etc.
using the Extrusion tool (Sweeps are not required since we will not have Profiles for these
elements).
2. Once all your Sweeps and Extrusions are placed, select each Model element separately and
assign your material. Sweep material should be named after the die number, i.e. 10396 LH
Mullion which must match the Profile used for the Sweep.
[Review as SolidCAD is looking at eliminating the need to Name the material.]
3. The finished frame should look like the image below.

June 2012 5

D. Adding Shared Parameters to the Frame Family

1. Go to Home tab > Properties panel > Family Types button > Family Types window will open.
2. Under parameters, click Add..., The Parameter Properties window will open.
3. Select Shared Parameter > click Select... > a warning may appear stating that you don't have
any Shared Parameters > click Yes > shared parameters window will open, Edit... > Browse...
> navigate to R:\Projects\Oldcastle BuildingEnvelope Shared Parameters.txt > Select the file >
Open. "Frame Info" will appear under Parameter group. Parameters listed will be IDT Type,
Level and Release.
4. Select Level and click OK > Click OK > check Instance > Group parameter under: Text > click
OK. New Text parameter "Level (Default)" will appear in Family Types window. Do the same for
"Release".
5. Select IDT Type and click OK > Click OK > Do NOT check Instance > Group parameter under:
Text > click OK. New Text parameter "IDT Type (Default)" will appear in Family Types window.
6. Name your family file by describing the frame. Example: Frame Typical Cap Left.rfa

• Tip: Make sure your frame "flexes" by testing it out on the project.
• Tip: Try to use 'dimension parameters' to allow for flexibilities such as variable transom
locations.
• Tip: Try to apply your constraints in as few views as possible. Example: limit dimensional
constraints to plan, exterior, and left section views. This makes them easier for others to
find when editing the family.

June 2012 6
Creating an Insert
Family

Revit Architecture
Creating an For Revit
Insert Family Architecture

Purpose & Scope

This document outlines the procedures for creating parametric insert families for use in a Revit Project.

A. Procedure For Creating an Insert Family

1. Click File > New > Family > select the template Metric Generic Model face based.rft or Metric
Generic Model floor based.rft.
• Note: the floor based template limits you to placing the inserts only in floors, but the face
based template allows you to place inserts in curbs, floors, walls, etc. Decide which template
to use based on the nature of your project.
2. Go to the Left Elevation view; move the extrusion to the right so the edge lines up with the
reference plane. See im age 1.1

im age 1.1

3. Model your pocket and insert. You can use Void extrusion to make your pocket; you then "cut"
the void extrusion from the template extrusion (floor). Try to add dimension parameters for
things such as pocket width (allowing you to make your pocket any size later in the project).

4. Test your family by loading it into the project to make sure it works and flexes. Placing the
inserts can be done in plan view, elevation view, or 3D view. You might find them easier to
locate in plan view.
5. You may want to set your steel insert material to have a noticeable colour making them easy to
find in the model. See im age 1.2

Digital Prototype Creation

A. Purpose & Scope

This document outlines the procedure for creating and managing each digital prototype in one
secure, central location within the Project Vault for use in Inventor Modeling.

This procedure is based on the following conditions:

• Project curtain wall system has been through the design process and is considered in a
“final” or “ready to release” stage. *Please note that the digital prototype creation
process does not necessarily need to coincide with the actual die release.
• Final die profiles (.dwg) have been created in the G:\Design & Dies\Dies Library folder
under the appropriate subfolder.
• The Job Captain has assigned part numbers for any rolled assemblies and created the
assembly drawings (.dwg) for same.

If all three conditions above have been satisfied, the following steps are taken:

1. The Project Designer notifies both the Job Captain and “Die Tracker” (DT) via email that
the new profiles are ready for release.

2. The Job Captain will then provide the DT with a list of all existing profiles (aluminum,
gaskets, vinyls or plastics) that will need to be uploaded to the Vault.

3. Using the .dwg files located in the Dies

Library, the DT will create a matching
digital prototype (.ipt file) for each and
every profile required for the Project (new
or existing) in the Vault, including all
extrusions, gaskets, vinyls, plastics. The
extreme bottom left intersection of the
profile, including all nibs, will be placed at
the origin. The procedure is included at the
bottom of this document.

4. The DT will then send an email notification

to the BIM Manager and the Job Captain
advising the team that all relevant digital
prototypes have been created in the Vault.

5. In the event of die revisions during the release process, the DT will make the
appropriate changes to the digital prototype and will notify the BIM Manager and Job
Captain of the extent of changes. With the exception of a complete redesign, the
changes to the profile must be made within the existing digital prototype to maintain all
relationships in the assemblies. (Review if a note can be attached to prototype
describing the changes).

B. Procedure

This procedure outlines the steps required for creating the Digital Prototype in Inventor from
AutoCAD, and loading into the Project Vault.

In AutoCAD

a) Select: Edit / Copy (Ctrl+C) to copy the profile to the Clipboard.

• Ensure that the latest profile is copied from the G:\Design & Dies\Dies Library.
• The profile must be a closed polyline.
• Keep AutoCAD open in background after you have copied the profile to the Clipboard.

In Inventor

b) Select: Launch / New / OBE PART (in).ipt / OK.

• Note: All parts created for Inventor should be in
inches, regardless of the units used on the
project.
• The default view should be in the XY Plane.

c) Select: Tools / Clipboard / Paste (Ctrl+V) to paste

the profile from the Clipboard.
• By default, the insertion point will be at the bottom left extents of the profile.
• Place the profile anywhere on the screen near the Origin. You cannot snap to the Origin
at this time.
• Move the profile to the Origin by adding a working point at the bottom left extents of
the profile. Using this working point, relocate the profile to the Origin.

d) Select: Manage / Exit / Finish Sketch. The profile is now ready to be converted to a
block.

j) Open the Summary Tab. Under Category, enter "Dies"

and click OK. This is critical as the newly created digital
prototype will need to be categorized correctly. (Should
we change “Dies” to “Profiles” to reflect gaskets and/or
rolled assemblies?)

k) Open the Physical Tab. Under Material, select the

appropriate material from the pull-down menu.

January 2011 5

Process Release For Vault Pro 2012

Purpose & Scope

This document outlines the procedure for importing Release and Frame data from Revit into Vault and
assigning frame assemblies to the imported information, with the goal of generating a Bill of Materials.

A. Procedure For Generating Text File from Frame Schedule in Revit

1. In Revit, open the appropriate Frame Schedule for the release that is being processed. The
Frame Schedule should contain the following fields in the exact order shown below:
• Frame Number (ensure heading of first column is Frame Number, not Type)
• IDT Type
• Level
• Release
• Count
• Height
• Width

June 2012 3
Process Release For Vault Pro 2012

2. Select > Export > Reports > Schedule

June 2012 4
Process Release For Vault Pro 2012

3. Save the file under the Project Name in the R: Drive in the subfolder “Frame Schedule
Export Files”. By default, the file name will be whatever the schedule in Revit is named.
However, the proper format for this file name should be as follows:
• Frame Schedule – Release NW2-051.txt
Click Save.

4. In the Export Schedule settings, ensure that Export group headers, footers, and blank lines
is UNCHECKED. Click OK.

June 2012 5
Process Release For Vault Pro 2012

5. See below for the exported Text File which will be converted to Vault ready data:

June 2012 6
Process Release For Vault Pro 2012

B. Procedure For Converting Text File to Vault Ready Data

1. In Vault, Select Tools > OldCastleBE > Revit to Vault conversion

2. The Revit to Vault Conversion dialogue box will prompt you to select the Source file for
conversion as well as the Output File Location and Name. Select the ... button for each and
Browse to the Frame Schedule Export File folder where the Revit file was previously saved.
For the Output file, add “output” to the end of the file name.

June 2012 7

3. The Revit to Vault Conversion dialogue box should match the figure below. Click OK. The
Status bar should turn fully green once the conversion is completed. Click Close.

4. See below for converted Text File which contains Vault ready data:

June 2012 8
Process Release For Vault Pro 2012

C. Procedure For Setting Default Category Name in Item Master

1. Prior to Importing the Text File into the Item Master, preset the Default Category Name in
the Administration Settings. The Default Category Name should be set to the instance in the
text file which has the most occurrences.
• For example, if a Release has 4 floors but has 25 different frame types, we would set
the Default Category Name to Frame.
• Conversely, if a Release has only 6 different frame types but contains 20 floors, we
would set the Default Category Name to Floor.
2. In Vault, Select Tools > Administration > Vault Settings
3. Under the Behaviors Tab, Select Categories.

4. In the Configure Categories dialogue box, in the top left corner pull down menu, Select Item
Categories. The Category Name with the check mark is the Default Category. Double click
on the Category Name that will be set to the Default for the Text File import. Click Close on
all open windows and return to the Item Master.

June 2012 9

D. Procedure For Importing Text File into Vault

1. In Vault, go into Item Master.

2. Select File > Import Items. This will open the Import Wizard which will guide you through
the importing process.
3. Under Specify Source, select Other > Next.
4. Under Specify File, select TDL (Tab Separated Values .TXT)
5. Browse to the “Frame Schedule Export Files” folder where the text file is located. Select the
“output” file for the Release being processed. Click Open > Next.

June 2012 10
Process Release For Vault Pro 2012

6. Under Specify Mapping, CLICK and DRAG the Field Name in the Import File portion of the
window (left hand side) onto the appropriate Attribute on the Vault Professional portion of
the window (right hand side). Once completed, your mapping should look like the image
below. Please note that Height and Width should be mapped to Frame Height and Frame
Width respectively. Click Next.

June 2012 11
Process Release For Vault Pro 2012

7. Under Preview Results, depending on whether the Release being processed has existing
Items in the Item Master, there may or may not be Conflicts. If the Item being imported is a
new Frame Type or Level or Release, there should be no conflicts and new Items will be
created. See figure below. Click Import if this is the case.

8. However, if Conflicts exist, meaning the Items being imported already exist in the Item
Master, the Import Wizard will prompt you to Overwrite the existing Items with the
Imported data. This is NOT the desirable resolution as this will require you to re-assign all
previously assigned frames. The correct option is to double-click each Item with the
Overwrite Resolution Method and select Ignore instead. This will retain the information
already contained in the Item Master. Using this Resolution Method, the correct quantities
from the text file will still be imported and will be attached to the existing Items in the Item
Master. Once all Conflicts have been resolved, Click Import.

June 2012 12
Process Release For Vault Pro 2012

9. The image below shows the results of the Import process. You’ll notice that 23 new items
were imported into the Item Master.
10. In addition, you can see that all 23 items imported have a Category Name of “Frame”. This
is because we set the Default Category Name in a previous step to Frame. In the following
steps, we will change all Levels to Category Name “Floor” and the Release to Category
Name “Release”.

E. Procedure for Adding Release Information to the Vault (Admin)

1. This step can be done by an administrator well in advance of the Process Release, however,
it must be done prior to the next section.
2. In Vault, Select Tools > Administration > Vault Settings

3. Under the Behaviors Tab, select Properties. This will open the Property Definitions window.
4. Select the Release Name property. Click Edit....
5. In the Edit window for Release Name, click on the List Values under the Settings tab. A pull
down list of all Property Values created for Release Name will appear.
6. Click on the heading “List Values” to sort the Property values alphabetically.
7. Click in the top row just below the heading “List Values” and type the name of the Release
that needs to be added. Hit Enter when done typing. Ensure that the Release does not
already exist in this list. Follow the naming conventions of the Releases already created.
Click Close. Click OK.
8. Repeat this step for Release Number. Close all additional windows and return to the Vault.

June 2012 14

F. Procedure For Editing Incorrectly Categorized Items in Item Master

1. In Item Master, use the search function to find the Release that you just imported.
2. Select the Release and click on the Bill of Materials tab.
3. Ensure that you are in the Multi-Level view under Structure. You’ll see that the Levels and
Release are categorized as Frames.
4. Right click on each incorrect item and select Edit...

June 2012 15
Process Release For Vault Pro 2012

5. Change the Category from its current value to Release. Once this is done, you will see that
additional Properties are added to Properties window in the bottom right corner. These are
Release Name and Release Number. Click on each value and using the pull down menu,
select the appropriate value for each. This information is critical for creating the BOM and
for the interface with the Shipping System. Click Save and Close.

6. Do the same for the Levels, however, when changing the Category to Floor, no additional
Properties are added. Click Save and Close.

June 2012 16

G. Procedure For Assigning Items

CRITICAL NOTE: PRIOR TO ASSIGNING ITEMS, VERIFY THAT ALL USERS HAVE
CHECKED IN ANY PARTS, ASSEMBLIES, FRAMES, DRAWINGS, CONTENT CENTER
PARTS, ETC... ERRORS WILL OCCUR WHEN ITEMS ARE ASSIGNED WHILE BEING
CHECKED OUT.

1. In Vault Explorer, find the Frames (.IAM) that are to be assigned. Select the frame
assemblies. You can use Ctrl to select multiple frames. As a rule of thumb, avoid assigning
more than 30 items at a time as you will experience errors.
2. Right click on your selection and choose Assign Item... This will open the Assign Item
Wizard which will guide you through the assigning process.

June 2012 17
Process Release For Vault Pro 2012

3. In the Assign Item Wizard, review the assigned items in the Preview. This is a critical step in
the process as you will need to review the results for errors at this stage.
• All new or updated parts will have a black font colour; all existing parts will be grey.
• Under the Show pull down menu, you can change the view from Multi-Level to All
Items or New Items or Updated Items. This will help you assess the Preview based
on these criteria.
• All parts/assemblies/fasteners etc. should be attached to a frame assembly. If you
see a part/assembly/fastener that is orphaned (not attached to a frame), cancel the
assigning and review the assembly for possible problems. Contact the Vault
Administrator for help on troubleshooting this problem. Do not proceed with the
Assign Items process if you see this error.
• The first time a Frame (.IAM) is assigned, a generic number will appear in the
Preview Window, i.e. 100004. This is because the Frame Number already exists in
the Item Master from the Imported Text File and a duplicate number is not allowed.
Vault will assign a generic number for any duplicates. This will correct itself in the
next step so you can ignore this generic number for the time being.
• If you see any additional generic numbers, i.e. 100004, that are associated to a
part/assembly/fastener, cancel the assigning and review the assembly for possible
problems. Contact the Vault Administrator for help on troubleshooting this problem.
Do not proceed with the Assign Items process if you see this error.

4. Click Next if the Preview appears correct.

June 2012 18
Process Release For Vault Pro 2012

5. In the Find Duplicates Window, ensure that “Auto-select first duplicate” is checked. This
option allows the Assign Item Wizard to locate any duplicate items in the Item Master and
retain the information in that Item. Rather than create a new Item, it will simply assign the
existing Item. You can now see that the generic number, i.e. 100001 will be replaced with
the correct Frame Number F003. Click Finish.

6. In the View Results Window, you can see that the generic number is gone from the Frames.
However, you will also see that only the frames were assigned. All the
parts/assemblies/fasteners have not been attached to the Frame assembly. This is because
the first assign only created that Frame Item. No parts/assemblies/fasteners have been
attached to the Frame yet. Click Close and repeat the entire Assign Item process. This time,
all Frames and related parts/assemblies/fasteners will be properly assigned.

5. Browse to the Release folder in G:\WIP\JOB#\Engineering\Releases\REL#... Save the file

J. Procedure For Uploading Data to the Shipping System

CRITICAL NOTE: PRIOR TO UPDATING THE SHIPPING SYSTEM, VERIFY THAT THE
SHIPPING DEPARTMENT HAS NOT STARTED PACKING THE RELEASE. UPDATING THE
RELEASE WILL WIPE OUT ANY PACKING INFORMATION IN THE SYSTEM. SPEAK TO THE
PLANNING DEPARTMENT IF REVISIONS WILL AFFECT ALREADY PACKED ITEMS.

1. In Item Master, use the search function to find the Release that will be uploaded.
2. Select the Release and click on the Process Release tab. Enter your User Name and
Password. This is the same as your Novell information.

3. Click Options. Ensure that your Vault options match the image below. This setup is a one-
time only configuration.

June 2012 24
Process Release For Vault Pro 2012

4. Click the “Update Release” button. By selecting this button, your data will immediately be
uploaded to the shipping system. Once completed, you will get a notification window stating
the Shipping List was updated. Error Messages may appear in the Process Releases Status
window. These are typically related to Item discrepancies in Vault related to Shiploose
versus Satellite. Contact the Vault Administrator for help on troubleshooting this problem.

June 2012 2
Creating .SAT Files Using
For Vault Pro 2012
Task Scheduler

Purpose & Scope

This document outlines the procedure for downloading Inventor files (.IAM or .IPT) from Vault, and
converting these to a .SAT file using the Task Scheduler.

A. Procedure For Getting Inventor Files From Vault

1. Before beginning this procedure, it is HIGHLY recommended that you delete the contents of
the Projects folder in your Vault Workspace. This will ensure that the files you download will
be the most current.
2. In Windows Explorer, go to C:\Vault Workspace\Projects. Delete all data in this folder.

3. In Vault > Project Explorer > JOB# > PARTS... use the search function to find the Part(s)
that you need converted to a .SAT file.
4. Select the Part(s) targeted for conversion. Use Ctrl to select multiple Parts. Right click on the
selected parts and click Get / Checkout. Vault will gather all the related files for these
targeted parts, i.e. DRAWINGS, PARTS, SKELETONS, DIES.

June 2012 3
Creating .SAT Files Using
For Vault Pro 2012
Task Scheduler

5. The Get / Check Out window will provide a summary of all the files that will be downloaded
to your Vault Workspace. Ensure that in the bottom right hand corner, only “Include
Dependents” is checked. Checking this option will ensure that all dependent files are
downloaded to your Vault Workspace. In this example, 51 files will be downloaded. This is
critical as the Task Scheduler will fail to generate .SAT Files if assemblies have unresolved
references. Important Note: Content Center Files are not downloaded during this process.
These need to be downloaded separately. See Step B.

6. Click OK. File retrieval will begin. Once complete, this progress window will close
automatically and you will return to Vault Explorer. You can use Windows Explorer to verify
that all files have been downloaded to your Vault Workspace.

June 2012 4
Creating .SAT Files Using
For Vault Pro 2012
Task Scheduler

B. Procedure For Getting Content Center Files From Vault

1. Before beginning this procedure, it is HIGHLY recommended that you delete the Content
Center folder in your Vault Workspace. This will ensure that the files you download will be
the most current.
2. In Windows Explorer, go to C:\Vault Workspace and delete the Content Center folder.
3. In Vault > Project Explorer. Right click on Content Center Files and click Get / Checkout.

4. The Get / Check Out window

will provide a summary of all
the files that will be
downloaded to your Vault
Workspace. Since Content
Center files do not have
dependents, it is not
necessary to check that option
in the bottom right hand
corner. However, verify that
the button to the right
(Include Parents) is NOT
checked. Checking this box
would download all
parts/assemblies/frames that
reference the Content Center
File. This could be thousands
of parts. Click OK.

2. The Log In screen to the right will open. Before

entering the User name and Password, ensure you
have selected the correct Vault. You can do this by
clicking the Browse button and selecting the
appropriate Vault from a list.

3. Once you have selected the Vault you would like to

view, enter the Log In information to access the
Vault. A shop account has been set up so that
anyone with internet access can view the Vault.
 User name: shop user
 Password: drawings

4. After logging in, the first screen that pops up is the Items List. You will not be required to view this list. Select the Files
button. This will open a list of Inventor files that can be viewed in the Vault.

5. From the Files List screen on the left hand menu, select Projects > OldcastleBE New Curtain Wall System > DRAWINGS.

6. The DRAWINGS list contains all the fabrication drawings for the Project.
Inventor fabrication drawings have a file extension of (.idw) in lieu of the AutoCAD (.dwg).

7. To view the Frame Drawings, select FRAME DRAWINGS in the left hand menu.
8. Once you select the drawing to view, the Properties screen will open. Under the heading “General”, click on the File Name.
The file name should be underlined and blue in colour. This denotes a link to the visualization file.

9. After clicking the link, the visualization file will open a new Internet Explorer window. The drawing may not appear
immediately: if not, simply click your mouse on the screen to view the drawing.

10. Use the Markup&Measure tools to check dimensions for parts.

**Please note: As many views are truncated views of the full sized parts, only fixed dimensions from ends are accurate.
Midspan or intermittent dimensions cannot be measured in a dwf file.**
