Conditional Formatting
Conditional formatting applies formats, such as fill with yellow or use a red
font, to a selected range when conditions you choose are met. There are built-
in conditions (rules), such as format blank cells or cells with values greater than
zero. You can also create custom rules. The formatting changes automatically if
the cell values change.
For example, L12:M15 uses conditional formatting to fill a range with light blue
for any cell values that are greater than 10. M13 is currently the only value
greater than 10, but if you enter a value greater than 10 in another cell in the
range, you will see the format appear - try it out!. If you enter a number equal
or smaller than 10 in M13, you will see the conditional formatting disappear -
give it a try!
Exercise 1
Format the cells in L25:M31 in the Top 25% with Light Red Rill. To do this, you
will first choose Top 10% from the Top/Bottom Rules, then change 10% to 25%
and choose the format from the dropdown menu. Note that Light Red Fill is a
standard option that differs from Light Red Fill with Dark Red Text.
Combine Rules
You apply multiple conditional formatting rules to the same range by adding
each one in turn. A typical use of conditional formatting is to color all "high"
values one color and all "low" values another color.
Exercise 2
The data to the right show the total base hits achieved in the 2022 baseball
season by 14 professional baseball players. Format the highest 3 values in
M39:M52 with green fill and dark green text, and lowest 3 values in the same
range with red fill and dark red text.
Exercise 3
Apply conditional formatting to P39:P52 to format the value greater than S38
to have green fill with dark green text, and the values less than S39 to have
light red fill with dark red text.
The data to the right show titles, release year, Rotton Tomatoes scores, IMBD
scores and box office earning for 30 movies. The box office earnings in Column
P are an obvious place to add some formatting that will make the higher and
lower revenues easy to identify. Data Bars will do this nicely. They are
essentially a bar chart overlaying the data.
Exercise 4
Apply Data Bars to the range P57:P86, using any color you wish. First select the
data range, then on the Conditional Formatting menu, choose Data Bars and
then a color from either the gradient or solid fill options.
Apply any other conditional formatting you like to the Year and Score fields in
Columns M, N and O.
