5. Create a Word document, use print screen to take a screen shot of your
folder structure and save your file as both a docx and pdf file in a new
folder called File Formats.

6. Create a PowerPoint, use print screen to take a screen shot of a


webpage in both browser and HTML view and save your file as both a
pptx and pdf file format in the new folder File Formats.

7. Compress the new folder File Formats into a zip file format.

8. Complete the table to identify different file types and their use(s).

Generic file formats allow you to save files so that they can be opened on any
platform.

10. 10 Create a new folder called C11.


a. Locate the following files and store them in your C11 folder:
i. Arrangement.jpg
ii. Bouquet.jpg

iv. Handtied.jpg
v. Shop.jpg
vi. florist_stock.csv

b. Display how the contents of your C11 folder showing the folder
name, all file names, extensions, image dimensions and file sizes.

c. Take a screenshot of your C11 folder and place this in your


Evidence Document. Make sure that the folder name, all file
names, extensions, image dimensions and file sizes are clearly
visible.

Exercise 2 File sizes

1. Explain why a file would need to be reduced in size for storage or


transmission.

A:
Compression is useful for storing large files, as it can reduce the amount of hard disk
drive space required for the storage of the files. It is also useful for transmitting large
files or large amounts of files across the world wide web, as it can mean that multiple
files can be sent in one transmission, rather than a multitude of transmissions one
after another. Compression is important in this respect, because many transmission
methods such as email have a maximum file size. Emails sent with large
uncompressed files will probably be rejected by the protocol (rules) and returned to
the sender.

Exam style question

1. James has produced an assignment for college. He needs to send it to


his tutor but the file is too large. Describe two methods he could use to
reduce the size of the report.

A:
Compress the images individually within the document.
Zip the document/export as RAR.
Save the document as a PDF.
Remove the cropped elements in the images.
Reduce the resolution of the images.
Remove the images and send the documents and images separately.
