PROJECT OVERVIEW

Background of the Study

In this modern World, many system and application that exist in

our society. It may help every individuals to make their life easier and

better. Resort Reservation Management System nowadays are

prevalent unlike manuals, the use of technology makes everything

possible. The system can make everything easier to handle in

attracting customer and help the owner to manage their resort. The

developed project will benefit not just the resort owner but also the

customer using the system for faster accommodation. Usually the

reservation system that we know is for the customer who wants to

reserve a slot even if they are just at home. A system is for the admin

only whether the owner or the employee of the resort to make a faster

transaction, so the customers need to come to the resort itself to make

a reservation.

Rose (2021) Island resort industry's impact on the economy,

society, and environment looked at. Overall, it was determined that

resort management procedures were "moderate extent" in all

categories. However, it also supports the notion that the neighborhood

needs to be improved.

Aiman A., (2017) Rashid Beach Resort is a place where you can

relax with your family or friends. They also accept reservations for

Birthday Parties, Wedding Reception, and other events. It’s also

capable of viewing their features and promotions that can highly

recommend their resort. This system can also solve their problem

from the Manual reservation system which is consuming their time,

money, and effort. Rashid Beach Resort is not just focusing on its

social survey because it says that their Resort is not the same as other

Big Resorts.

Motiur, (2021) Development of Resort Reservation System for

Microcode's Information & Technologies. It is a system that gives less

time than manual work. Also provides the report of the resort

reservation in all aspects and can avail the current status of booking,

rooms, etc. The main objective of the system is to automate the resort

reservation process like creating a visitor id, assigning tickets, and so

on. And so the customer also can reserve or cancel the reservation any

time they want.

Bsc IT (2019) Resort Management System. This Resort

Management System's primary goal is to create and deploy a

Reservation and Billing System designed to support management with

bookings, payments, and other necessary processes the key Check-in,

check-out, and reservation system operations that are functionally

divided into several modules. Only a registered user that logs in to the

system can use it, and only the administrator can register a customer

for the system.

Ocean Palms Beach Resort (2022) Ocean Palm Resort has a

reservation system, where anyone can reserve their rooms, even the

disabled guest can also reserve accessible rooms during the same

hours and manners as individuals. Once the room or the date schedule

has already been booked it will automatically be blocked or removed

from the reservation system. The specific accessible guest room

reserved is held only for reserving guests even if others make

reservations. Their website is digital marketing developed after parsing

their particular guidelines and continuously enhanced to make their

technology more friendly-user.

Yi-Man (2022) they study a Five-Star Resort Hotel in Taiwan. In

order to reserve a resort, both online and offline channels are required.

Some guests are using traditional hotel booking methods such as walk-

ins, hotel phone calls, faxes, reservation centers, etc. Some clients rely

on online hotel booking resources like OTAs, the Internet, etc. Resorts

are able to offer rooms online and through direct distribution thanks to

online booking facilities.

Company Profile

Gil Rose Villa Resort is located in Oloybuaya, Gerona, Tarlac. G.R.

families and friends who want to hang out and chill. Also they build the

resort for the events and gatherings.

A company profile is actually a summary of all the relevant

elements of an entity. It is in the form of a statement that describes

important information about the business. A company profile is a

marketing material that serves several purposes (Hitesh Bhasin 2020).

Vision

The vision of G.R. Villa Resort is to be the premier resort

destination, renowned for providing exceptional experiences,

unparalleled relaxation, and unforgettable memories, while fostering a

deep connection with nature and our community.

Project Overview| 7

Importance of the Study

This study aims to help the owner to run the business resort and

also employee for the easier and better accommodations. Another

reason is to remind us that there is a resort named G.R. Villa Resort

located in Oloybuaya, Gerona, Tarlac.

Aiman A., (2017) Rashid Resort is a place where you can relax with

your family or friends. They also accept reservations for Birthday

Parties, Wedding Reception, and other events. It’s also capable of

viewing their features and promotions that can highly recommend their

resort. This system can also solve their problem from the Manual

reservation system which is consuming their time, money, and effort.

Rashid Resort is not just focusing on its social survey because it says

that their Resort is not the same as other Big Resorts.

Benefiting the study are the various sectors as follows:

To G.R. Villa Resort. The implementation of the system

shall result to have a better accommodation to their customers in

terms of improving the Resort by implementing the reservation

management system and help the owner of the resort to run the

business.

To G.R. Villa Resort Employee. The proposed system will help the

personnel in collecting information of the customer in easiest way and

NAME OF THE PROJECT

Project Overview| 8

computing the total cost of reservation. Furthermore, they will help

them to keep the record data of the customer if they needed.

To customer of G.R. Villa Resort. The proposed system will help

the customers to have a time management. Also to give them a better

accommodation when it comes to reservation.

To Researchers. This study will also serve as a guide for

researchers to expand and enhance their system development

capabilities with the same concept or related title. It serves as their

basis for their system.

To Future Researchers. The proposed system serves as a reference for

future researchers with the same concept or title and a basis for them

to create and it is also open-source for them to improve more and to

enhance more features.

Scope and Delimitations

The proposed system aims to design and developed a system for

G.R. Villa Resort. It focuses on updating the current instructional

method used by the G.R. Villa Resort, to help them to improve their

customer service.

The main focus of the study is on reservation. The reservation

that we propose is not online, so the customer needs to travel in G.R.

Villa Resort to make a reservation. The system compute the total

amount of reservation of the customer but the payment is only in cash

NAME OF THE PROJECT

Project Overview| 9

to cash basis, we can edit the price if the owner wants to change the

price of the specific services and products. The system have a record

list of reservation and walk in process. The system is for the admin

only whether the owner of the resort or the employee. The system is

not a typically reservation that we know which is online, the

reservation we proposed is for the admin only whether the owner of

the resort or the employee that can help the resort for the better

accommodation.

Definition of Terms

Here are the lists of terms to clarify some of the words or

terminologies used in the system:

Qualitative. Qualitative research Qualitative research methods

are utilized for gathering non-numerical data. It is used to determine

the underlying reasons, views, or meanings from study participants or

subjects. Under the qualitative research design, empirical studies had

evolved to test the conventional concepts of evidence and truth while

still observing the fundamental principles of recognizing the subjects

beings studied as empirical (Powner, 2015).

Empirical. Empirical research is defined as any study whose

conclusions are exclusively derived from concrete, verifiable evidence.

The term empirical basically means that it is guided by scientific

NAME OF THE PROJECT

Project Overview| 10

experimentation and/or evidence. Likewise, a study is empirical when

it uses real-world evidence in investigating its assertions.

Adequate. Adequate means sufficient, enough, or satisfactory

for a particular purpose. It suggests that something meets a minimum

standard, but doesn’t necessarily exceed it. It implies a level of

competency or sufficiency, but not necessarily excellence or

superiority. Explanation It describes something that’s just good

enough, meeting the minimum requirements without being exceptional

or outstanding. It’s a neutral term; it neither praises nor criticizes,

simply stating that something is sufficient.

Prevalent is a term that is used to describe something that is

common or widespread. For example, the proportion of a population at

a particular point in time that possesses a particular trait is referred to

as the prevalence of that characteristic and it shows how much

prevalent that particular trait is.

System is a group of interacting or interrelated elements that act

according to a set of rules to form a unified whole. A system,

surrounded and influenced by its environment, is described by its

boundaries, structure and purpose and is expressed in its functioning.

Enthusiasm comes from the Greek word enthousiasmos, from

enthous, meaning “possessed by a god, inspired.” It was originally

used in a derogatory sense to describe excessive religious zeal. Today

NAME OF THE PROJECT

Project Overview| 11

both the religious and derogatory connotations are gone from

enthusiasm, but the zeal has survived. Use it to describe great

excitement or interest, like what you feel when you’re doing something

that you really, really enjoy.

Fostering refers to the act of encouraging the development or growth

of something. It implies nurturing, promoting, and supporting

something to help it flourish. It’s an active process of creating a

favorable environment for something to thrive.

METHODOLOGY

Research Design

The research design is intended to provide an appropriate

framework for a study. A very significant decision in the research

design process is the choice to be made regarding the research

approach since it determines how relevant information for a study will

be obtained; however, the research design process involves many

interrelated decisions (Kassu Jilcha Sileyew, 2019).

The research methodology is the path through which researchers

need to conduct their research. It shows the path through which these

researchers formulate their problem and objective and present their

results from the data obtained during the study period. This research

design and methodology chapter also show how the research outcome

at the end will be obtained in line with meeting the objective of the

study. This chapter hence discusses the research methods that were

used during the research process. It includes the research

methodology of the study from the research strategy to the result

dissemination. The research design is intended to provide an

appropriate framework for a study. A very significant decision in the

research design process is the choice to be made regarding the

research approach since it determines how relevant information for a

Methodology| 13

study will be obtained; however, the research design process involves

many interrelated decisions (KJ Sileyew 2019).

RAD refers to a development life cycle designed to give much

faster development and higher quality systems than the traditional life

cycle. It is designed to take advantage of powerful development

software like CASE tools, prototyping tools, and code generators. The

key objectives of RAD are High Speed, High Quality, and Low Cost.

Rapid Application Development (RAD) is a people-centered and

incremental development approach. Active user involvement, as well

as collaboration and co-operation between all stakeholders, are

imperative. Testing is integrated throughout the development life cycle

so that the system is tested and reviewed by both developers and

users incrementally. RAD as "an approach to building computer

systems which combine Computer-Assisted Software Engineering

(CASE) tools and techniques, user-driven prototyping, and stringent

project delivery time limits into a potent, tested, reliable formula for

top-notch quality and productivity. RAD drastically raises the quality of

finished systems while reducing the time it takes to build them."

Online Knowledge defines Rapid Application Development as "a

methodology that enables organizations to develop strategically

important systems faster while reducing development costs and

maintaining quality. This is achieved by using a series of proven

NAME OF THE PROJECT

Methodology| 14

application development techniques, within a well-defined

methodology."

In short, RAD is exactly that. It is a process through which the

development cycle of an application is expedited. Rapid Application

Development thus enables quality products to be developed faster,

saving valuable resources. A software development methodology is a

way of managing a software development project. This typically

addresses issues like selecting features for inclusion in the current

version, when the software will be released, who works on what, and

what testing is done. RAD is a form of agile software

development methodology that prioritizes rapid prototype releases and

iterations. Unlike the Waterfall method, RAD emphasizes the use of

software and user feedback over strict planning and requirements

recording. (Ankita Singh, 2019)

The key benefit of a RAD approach is fast project turnaround,

making it an attractive choice for developers working in a fast-paced

environment like software development. This rapid pace is made

possible by RAD's focus on minimizing the planning stage and

maximizing prototype development.

Methodology| 15

Figure 2.1 Rapid Application Development model

Define and Finalize Project Requirements. During this step,

stakeholders sit together to define and finalize project requirements

such as project goals, expectations, timelines, and budget. When you

have clearly defined and scoped out each aspect of the project's

requirements, you can seek management approvals (Ankita Singh,

2019).

In this phase, the researchers went to G.R. Villa Resort to

observed and interviewed to gather the necessary information as well

as discussing the main objective for the proposed system.

The researchers ask about the important details of the resort

observe how employees accommodate their customers. Then the

researchers prepared all the needed components or items in making

the system.

Building/Development. As soon as you finish scoping the project,

you can begin development. Designers and developers will work

closely with clients to create and improve upon working prototypes

until the final product is ready (Ankita Singh, 2019).

During this stage, the programmer/designer created a

system. The researchers started creating the system with an exact

information provided in the system.

Gather User Feedback. In this step, prototypes

and beta systems are converted into working models. Developers then

NAME OF THE PROJECT

Methodology| 16

gather feedback from users to tweak and improve prototypes and

create the best possible product (Ankita Singh, 2019).

The researchers went to G.R. Villa

Resort as their client to check the created system as well as gathering

necessary feedbacks by using the system. The researchers will take

down every single details coming from the users.

Testing. This step requires you to test your software product and

ensure that all its moving parts work together as per client

expectations. Continue incorporating client feedback as the code is

tested and retested for its smooth functioning (Ankita Singh, 2019).

The researchers tested the running

system to check if it has some bugs and errors to fix. If bugs were

found, the coordination from the client will continue as if they give

some feedback in testing the system. Implementation. This is the

final step before the finished product goes to launch. It involves data

conversion and user training (Ankita Singh, 2019).

The researchers showed the running system to the client. The

researchers taught the users how they can fully operate the proposed

system.

Data Gathering Techniques

Gathering data methods must be followed to collect all the data

needed for the proposed system. The researchers used the following

NAME OF THE PROJECT

Methodology| 17

method to answer the problem encountered in the study and to

identify the misconception of the system.

Interview. The interview is one of the data collection techniques

for qualitative researchers. Distinct from other methods, interviews

have unique features that make them superior. As such, the current

study explores relevant issues that are linked to interviews, especially

aspects that make them central to qualitative data collection. Besides

the historical appeal, the discussion covers the advantages a

researcher experiences while using interviews to collect data. They

require a personal commitment of both the participant and researcher.

Significantly, time and resource allocation are also required. With the

emerging technology, implementation of the interview process is

becoming flexible thus moving away from the rigid face-to-face mode

(Blash, 2017).

The researchers conduct an interview to the owner of the resort

and their employee the way how they manage their reservation and

walk in customers. So, we the researchers decided to make a system

that can help the resort.

Observation. Observation is an empirical research method used

in quantitative and qualitative naturalistic studies focused on

understanding behavior and interactions as they unfold in real‐time,

which makes it particularly salient for examining the processes

NAME OF THE PROJECT

Methodology| 18

associated with the generation and adoption of creative ideas.

However, observation remains underutilized in the field of creativity

studies, partly because data collection can be time and resource-

intensive, but also because there are a lack of protocols and

recommended research practices for observing creative thinking and

problem-solving in an educational environment that covers all phases

of design, collection, analysis, and reporting (Ross, 2018).

The researcher observed the existing process of the resort the

way how they manage the customers in reservation and walk in

process. So, we the researchers decided to create a project to help the

owner and the employee to give the customer a better

accommodation.

Literature Review. A literature review is a survey of scholarly

sources on a specific topic. It provides an overview of current

knowledge, allowing you to identify relevant theories, methods, and

gaps in the existing research. Writing a literature review involves

finding relevant publications (such as books and journal articles),

critically analyzing them, and explaining what you found (McCobes,

2019).

The researchers conduct a literature review for the resort

reservation for the support of the project. So, we the researchers find a

solution to make an accommodation of resort better.

NAME OF THE PROJECT

Methodology| 19

Sources of Data

The primary source of data came from the G.R. Villa Resort

owner and the employee, in which the researchers conducted an

interview and observations to provide the needed data for the systems

requirement. The researchers gathered the data for the improvement

of the system. In that way, the programmer has the idea of how to

improve the system. Also, the researchers prepared and showed the

unfinished system just to gather all the data we needed. Likewise, the

researchers provided a survey to gain more information about the

system to further our goal for the system.

Table 2.1. Table of Respondents

Respondent Frequency
Resort Owner 1
Employee 3
Customers 36
Total 40

The table shows the number of respondents in the survey. It is

noted that there are forty (40) respondents in the study. Thirty six (36)

of them are customer of the resort, three (3) are employee and only

one (1) is an owner of the resort. The results of the study were

indicated that these respondents agreed to the implementation of the

system to have a better accommodation services for G.R. Villa Resort.

Tools for Data Analysis

The systematic application of statistical and logical techniques to

describe the data scope, modularize the data structure, condense the

NAME OF THE PROJECT

Methodology| 20

data representation, illustrate via images, tables, and graphs, and

evaluate statistical inclinations, probability data, to derive meaningful

conclusions, is known as Data Analysis. These analytical procedures

enable us to induce the underlying inference from data by eliminating

the unnecessary chaos created by the rest of it. The generation of data

is a continual process; this makes data analysis a continuous, iterative

process where the collection and performing data analysis

simultaneously. Ensuring data integrity is one of the essential

components of data analysis (Arora, 2020).

Entity Relationship Diagram. ER diagrams constitute a very

useful framework for creating and manipulating databases. First, ER

diagrams are easy to understand and do not require a person to

undergo extensive training to be able to work with them efficiently and

accurately. This means that designers can use ER diagrams to easily

communicate with developers, customers, and end-users, regardless of

their IT proficiency. Second, ER diagrams are readily translatable into

relational tables which can be used to quickly build databases. Besides,

ER diagrams can directly be used by database developers as the

blueprint for implementing data in specific software applications.

Lastly, ER diagrams may be applied in other contexts such as

describing the different relationships and operations within an

organization (Derbinsky 2018).

NAME OF THE PROJECT

Methodology| 21

The researchers used the Entity-Relationship Diagram as a tool

to visualize the representation of the proposed system. The

researchers understand the structure of the system and information for

strategies and efficiency development with the help of Entity-

Relationship Diagrams.

Data Flow Diagram (DFD). A data flow diagram shows the way

information flows through a process or system. It includes data inputs

and outputs, data stores, and the various subprocesses the data

moves through. DFDs are built using standardized symbols and

notation to describe various entities and their relationships. Data flow

diagrams visually represent systems and processes that would be hard

to describe in a chunk of text. You can use these diagrams to map out

an existing system and make it better or to plan out a new system for

implementation. Visualizing each element makes it easy to identify

inefficiencies and produce the best possible system (Bangerter, 2019).

The researchers used the data flow diagram to display the

function model of the system. The Model interacts with the focus on

data and exchanges between processes among functions.

Use Case Diagram. It is basically for a system's high-

level requirement analysis. The functionalities are captured in use

cases during the system requirement phase (Khurana et al., 2015).

NAME OF THE PROJECT

Methodology| 22

The researchers used the use case diagram as the visual

representation of the system, which includes the stories, scenarios,

and the whole scope and process of the system. It shows the external

DISCUSSION OF FINDINGS

Current processes in G.R. Villa Resort.

The Discussion section is an important part of the research

manuscript that allows the authors to showcase the study. It is used to

interpret the results for readers, describes the virtues and limitations

of the study, discuss the theoretical and practical implications of the

research work done, and provide an important "take-home" message

(Sandeep, 2015).

Based on the data gathered from the interview, survey, and

observation to G.R. Villa Resort in Oloybuaya, Gerona, Tarlac, Mrs.

Rosemarie Inocencio, the owner of G.R. Villa Resort, explained the

current procedure on how they manage their customer in reservation.

The researchers determined the current procedure of G.R. Villa

Resort, especially to the reservation of the resort. The process of G.R.

Villa Resort is listed below:

Manual Computing fees. Fees charged to cover the cost of

computing services and infrastructure, or to support the quality of

computing programs. The employee or the owner compute all the fees

by manually ask the customers what is the amenities they want in the

resort. So, they total all the customer fees using calculator.

Figure 3.1 Current processes of computing fees in walk in

customer.

Reservation. To make a reservation, you select the time you

wish to reserve. To take a reservation, you reserve the time for

someone else. The customer who wants to reserve must go to the

resort itself to reserve the day and time they want. After the down

payment transaction with 20% of the total fees of reservation, the

resort give you a receipt to be shown on the day of reservation.

Walk-in customers. A person who visits a business without an

appointment, reservation, or account. The walk-in is the day of

reservation in the resort before the customer let in, the owner or

employee asked the customer regarding the receipt and pay the 100%

of their fees before they let-in the resort.

Problem encountered in existing process of the G.R. Villa

Resort

Based on the interview, observe, and data gathered by the

researchers, the following are the problems that are being

encountered and experienced by the G.R Villa Resort.

Manual Computing fees. The problem when it comes to

computing fees of the customer is that time consuming because they

type manually the price of the amenities and total the whole fees using

calculator.

Reservation. In this case, the problem that we observed and

interviewed is that they have no record list about their reservation. It

possible that the reservation of the customer will not remembered

because of not record at all especially if the reservation date is far

away in the current date.

Based on the data that the researcher has gathered information

from the interviewed and observed the G.R. Villa Resort about their

customer record. The problem encountering at the G.R. Villa Resort is

the lack of record. They have no record at all.

Figure 3.4 Cause-and-Effect Diagram of the existing System.

In the case of computing fees and reservation, the primary

purpose of the fishbone diagram or diagram is a cadefect. This study

suggests the fishbone diagram for technological analysis. Fishbone

diagram (also called Ishikawa diagrams or cause-and-effect diagrams)

is a graphical technique to show the several causes of a specific event

or phenomenon. In particular, a fishbone diagram (the shape is similar

to a fish skeleton) is a common tool used for a cause-and-effect

analysis to identify a complex interplay of causes for a specific problem

or event. The fishbone diagram can be a comprehensive theoretical

framework to represent and analyze the sources of innovation.

Fishbone diagram is applied here as a novel graphical representation

to identify, explore and analyze whenever possible, the potential root

causes of the source and evolution of General-Purpose Technologies

(GPTs). Overall, then, the fishbone diagram seems to be an appropriate

and general technique of graphical representation to explore and

categorize, clearly and simply, the potential root causes of the

evolution of technological innovations for appropriate management of

Technology (Coccia, 2018).

Functional Requirements

A functional requirement is characterized as a function of a

system or its component that is specified by a behavior specification

between outputs and inputs. Calculations, technical information, data

manipulation and processing, and other features that determine what

a system can do may be included.

Calculation fee. The system can calculate the total reservation

fee of their customer. This feature of the system can help the resort to

have faster and better accommodation

Reservation Form. In this module, the system will display a

reservation dashboard in their device. The admin needs to ask the

information of the customer to have a reservation record in the resort.

Search Bar. A search bar allows you to quickly find the specific

person by typing their name. The admin can search the various

information of their customer.

Login. This feature helps the administrator to have an access to

the system. Logging is both valuable components to maintaining

optimal system performance. Using a logging tools helps to improve

the access control of a system.

Non-Functional Requirements

Non-Functional Requirements identify and define those aspects

of the anticipated "To-Be" solution that, while not directly affecting the

functionality as seen by the users, have a profound effect on how it

was accepted by both the users and the people responsible for the

support. Moreover, Crespo & Piero stated that Non-functional

requirements define the criteria that are used to judge the operation of

a system, in contrast to functional that defines specific behavior or

functions. Table 3.4 shows the Acceptability Test for Non-Functional

Requirements.

User's Acceptability

User Acceptance Testing (UAT) is a type of testing performed by

the end-user or the client to verify/accept the software system before

moving the software application to the production environment. UAT is

done in the final phase of testing after functional, integration, and

system testing are done (Guru, 2021).

The researchers gathered information on the acceptability of the

user by using the acceptability questionnaires. This user's acceptability

includes Performance, Maintainability, Usability, and Reliability which

can help the researcher to make better of the proposal system. Table

3.1 shows the average weighted mean and description of the proposed
