1 MS/Microsoft PowerPoint

It is a presentation graphics software that is used to present ideas effectively using diagrams, clip art, audio, video, designs, animated
special effects, etc. The Slide Layout contains various objects like text, media clips, tables, charts, and clipart.

Tables in PowerPoint are used to represent data in tabular form. Row is the horizontal line of a table and column is the vertical line of
a table. There are two ways to insert a table – by selecting rows and columns and by drawing a table. Charts in PowerPoint are used
to show comparisons, growth rates, and relationships among the values.

1.1 Applying Animation Effect


The ability to move objects, like text, graphics, charts, logos, etc., on the slide. It is beneficial when you wish to focus on important
points. It controls the sequence of the flow of information and helps in making information more impressive. You can add more than
one animation effect to the same objects or apply the same animation effect to multiple objects.

Entrance – it will cause the object or text to appear on the screen.

Emphasis- it will cause the object or text to get enhanced.

Motion Paths: It causes the object to move within the slide along a path, like a circle.

Exit – It will cause the object to disappear from the screen.

1.2 Applying Transitions Effect


Transitions appear when one slide changes to the other during the slide show. You can apply the transition effects to ta sine slide as
well as to all the slides.

1.3 Inserting Sound Clips


Music or sound effects can add a completely new dimension to a presentation. You can add sound in the form of background music
and special effects to give importance to specific content.

Sound files can be added from the files stored on your computer or a storage device. You can even record your own narration or
comment and then edit the audio to customize it for your presentation.

To continue playing a sound clip, select the Loop until Stopped checkbox in the Audio Option group on the
playback tab.

1.4 Inserting Video Clips


Video clips add liveliness to the presentation PowerPoint allows you to insert a video into a slide and play it during your presentation.
This is a wonderful feature to make your presentation more engaging for the audience.

You can resize a video by clicking and dragging the corner handles until the video is of the desired size.

To delete a video, select it and then press either the backspace or delete key.

1.5 Using Action Buttons


Action buttons are built-in shapes, which you can add to a presentation and set a link to another slide, player sound, or perform
some other action. You can also assign actions to the clip art, pictures, or the text in the smart art graphics when one clicks or
forward the mouse pointer on the button, the selected action occurs.

2 Working with Spreadsheets


Microsoft Excel is a powerful spreadsheet application that is perfect for maintaining long lists of data, budgets, sales figures, and
other data.

2.1 Entering Numbers as Text


To enter numbers as the text you must begin the entry with an apostrophe.

2.2 Entering Date and Time


The appearance of the date and time on a worksheet depends on the date format applied to the cell. You can separate date elements
with a slash (/) or hyphen (-) or use a format. Excel recognizes and supports a variety of date formats.
2.3 Changing Cell Contents
The characters and numbers typed in a worksheet can be seen both in a cell as well as on the formula bar. Enter the contents and
press the enter key to accept the entry. You can edit the cell contents directly and replace them with a new entry. The edit mode is
indicated on the left side of the status bar. Position the pointer at the desired place and change the content of the cell. Press the
enter key. The changes will be entered in the current cell. The overtype mode can be turned on by double-clicking the cell and
pressing the insert key. The cell contents can also be modified by using the F2 key. Ajay

2.4 Using Undo and Redo Features


After making modifications in a cell, you may wish to cancel the changes and retrieve the previous data. You can use the shortcut
keys Control + Z for the undo and Control +Y for the redo.

2.5 Inserting Cells, Columns, and Rows


At times, while entering the data, you may miss certain entries. In such a situation, you may have to insert some cells, columns, or
rows in a worksheet to accommodate the new data. Select the row or cell above which a new row is to be inserted and choose Insert
Sheet Rows from the option of Insert drop-down menu in the cells group. You can insert a column in the same way you have inserted
a row.

2.6 Deleting Cells, Columns, and Rows


By clicking on the row header and choosing to Delete Sheet Rows from the option of Delete drop-down button or right-click on the
row header and choose the Delete option. You can delete a row in the same way as you delete a column.

2.7 Changing Row Height and Column Width


To change the row height - Select the row. Click on the drop-down. Click on the Row Height option. The Row Height dialogue box
appears. Enter the desired value and click OK. The changes will be reflected. Similarly, the column width can be changed.

2.8 Copying and Moving Data


Copying data refers to duplicating the data, i.e., text, numbers, and formula, either in the same worksheet or any different one.
Moving data refers to changing the position of the data either in the same worksheet or a different one. Move or copy data is stored
temporarily in a location in the computer memory called a Clipboard.

The shortcut keys to perform cut, copy, and paste operations are Control + X, Control + C, and Control + V, respectively. To clear the
selection, press the Esc key.

2.9 Using Auto Fill and Flash Fill Features


Auto-fill is the easiest method to fill data in the cells automatically. Flash fill is a time-saving feature, which indicates the data fill
pattern that you use frequently in a worksheet and then fill the remaining freeze accordingly.
