1 Organization Charts in SAP SuccessFactors

Organization charts provide hierarchical views of the reporting relationships of people or positions in your
organization.

SAP SuccessFactors offers four types of organization charts: Company Org Chart, Succession Org Chart, Position
Org Chart, and Calibration Org Chart.

2 Company Organization Chart

Company Organization Chart is a hierarchical view of the reporting relationships of people in your organization. It’s
the most basic and widely used type of organization charts that SAP SuccessFactors offers.

Supported Features

• It displays the direct and matrix manager reporting relationships. It can display up to 1,000 reports.

 Note

The Company Organization Chart doesn’t show HR relationships. Users can see their managers and matrix
managers, but not their HR managers.

• Users can navigate up in the hierarchy by clicking the Up One Level button. The button is above the topmost
node being displayed.
• Users can navigate down the hierarchy by clicking on the team size number. The team size is at the bottom of
the organization chart node of any user who has direct or matrix reports.
• If a manager has matrix reports and you’re viewing the organization chart for the manager, the matrix reports
are connected to the matrix manager with dotted lines.
• If an employee has a matrix manager and you’re viewing the organization chart for the employee, you can view
the matrix manager after clicking the +1 matrix manager button.
• Future new hires are shown as the direct reports of managers.
• Users can choose to display direct reports only, matrix reports only, or both.
• You can choose to display contingent workers in the Company Organization Chart.
• Users can export the Company Organization Chart and save it as a PDF file or an image.
• Users can print the Company Organization Chart.
• The Company Organization Chart can display more than one language. For example, the Company
Organization Chart can display names in Korean and titles in English.

Follow this process to enable and set up the Company Organization Chart.

Administrators and users require different sets of role-based permissions to the Company Organization
Chart. Users want to access the Company Organization Chart and search for other users in the
orgnaization chart. Administrators also require access to configuration tools of the Company Organization
Chart.

Admin Center.

3.1 Permissions for the Company Organization Chart

Administrators and users require different sets of role-based permissions to the Company Organization Chart.
Users want to access the Company Organization Chart and search for other users in the orgnaization chart.
Administrators also require access to configuration tools of the Company Organization Chart.

Administrator Permissions

Administrators configure the Company Organization Chart with the Org Chart Configuration admin tool. To
access the admin tool, administrators must have the Org Chart Configuration permission through Administrator
Permissions Manage System Properties Org Chart Configuration .

User Permissions

Learn about the permissions required to use the Company Organization Chart.

6 PUBLIC Setting Up the Company Organization Chart
 Permission Description

User Permissions General User Permission Company This permission gives users access to the Company Info page,
where they can access the Org Chart and Employee Directory.
Info Access

User Permissions General User Permission This permission enables a user to access and navigate the

3.2 Enabling Photos for the Company Organization Chart

If you want to show employee photos in the Company Organization Chart, you can enable the feature in Admin
Center.

Prerequisites

• You have the Org Chart Configuration permission.

• The Enable photos in autocompletion find in the UI option is enabled in Provisioning.

As a customer, you don't have access to Provisioning. To complete tasks in Provisioning, contact
your implementation partner or Account Executive. For any non-implementation tasks, contact Product
Support.

Procedure

1. Go to Admin Center Org Chart Configuration .

2. Go to the Basic org chart tab.
3. Select the Display Photo option.
4. Save your changes.

Results

You can now see photos on the Company Organization Chart.

3.3 Setting Matrix Report Threshold for Company

Organization Chart

You can set a limit to the number of matrix reports to be displayed in the Company Organization Chart.

Context

If a matrix or custom manager has matrix or custom reports that exceed this threshold you set, then zero matrix or
custom reports are shown. We don’t truncate the list of matrix or custom reports, we hide them entirely.

Procedure

1. Go to Admin Center Company System and Logo Settings Matrix Report Threshold: This is used to limit
the number of persons displayed in the org chart.
2. Fill in a number.
3. Save your changes.

3.4 Limiting Company Organization Chart Access to

Succession Org Chart Users

If you want to align the access of Company Organization Chart and Succession Org Chart, you can do so by limiting
the Company Organization Chart access to only Succession Org Chart users.

Prerequisites

• The user has the Succession Org Chart Permission.

• You have access to Provisioning.

 Remember

As a customer, you don't have access to Provisioning. To complete tasks in Provisioning, contact your
implementation partner or Account Executive. For any non-implementation tasks, contact Product Support.

Procedure

1. Go to Provisioning Company Settings .

2. Select the Limit org chart access to succession org chart users. option.
3. Save your changes.

Results

You've successfully limited Company Organization Chart access to only Succession Org Chart users.

3.5 Enabling Mobile Org Chart

Enable Org Chart for mobile users so that they can browse the company organization chart and search for
colleagues in mobile applications.

Context

As a system administrator, you can enable Org Chart for mobile users. Mobile Org Chart allows users to browse the
basic company organization chart including direct reports, matrix reports, and reporting relationships of contingent
workers. Please note that contingent worker information is only available if you have enabled Employee Central in
your system.

Procedure

1. Go to Admin Center Enable Mobile Features Mobile Specific and enable option Org Chart under Mobile
Features.
2. Optionally, you can enable these options:

Option Description

Disable peer This option allows you to turn off the display of peers in Mobile Org Chart. We recommend that you
display in Org enable the option if you're experiencing performance issues with Mobile Org Chart.

Disable matrix Enable this option to hide matrix reporting lines (dotted lines) from Mobile Org Chart.

In Mobile Org Chart, matrix reports are displayed in dotted lines. However, in the desktop version,
you use the +n Matrix Managers button to expand the matrix managers of an employee.

3. Optionally, you can also hide contingent workers in Mobile Org Chart. For more information about configuring
or hiding contingent workers in Org Chart, see the Related Information section.

Results

Org Chart is now available for mobile users.

 Note

It can take up to 48 hours for the changes to be effective.

After you’ve finished setting up the default Company Organization Chart, consider these other configuration
options to customize your Company Organization Chart.

Showing Rectangular Photos on the Company Organization Chart [page 13]

If you've enabled the displaying of photos in the Company Organization Chart, photos are displayed in a
square frame. It can cause the photos to be cropped. Choose to show rectangular photos on the Company
Organization Chart to prevent cropping.

Removing the Link to Matrix Managers [page 14]

If an employee has a matrix manager and you're viewing the organization chart for the employee, you can
view the matrix manager after clicking the +1 Matrix Manager link. You can also hide the link.

Showing Custom Relationships in Company Organization Chart [page 14]

You can show custom relationships in the Company Organization Chart.

Showing Employees with Multiple Employments [page 15]

If an employee has multiple employments, for example, a global assignment or concurrent employment,
the primary employment is displayed in Org Chart by default. To display active secondary employments,
follow the instructions in this task.

You can use the name format that you have been using in People Profile. For example, you can use formal
name format of first name, middle name, and last name combination. If you use customized name format
in People Profile, you can also use it in the Company Organization Chart.

Hide the job title information in People Search results and organization charts if you don't want it to be
displayed.

You can customize the display order of direct reports under the same manager in Company Organization

4.1 Showing Rectangular Photos on the Company
Organization Chart

If you've enabled the displaying of photos in the Company Organization Chart, photos are displayed in a square
frame. It can cause the photos to be cropped. Choose to show rectangular photos on the Company Organization
Chart to prevent cropping.

• You have the Org Chart Configuration permission.

4.2 Removing the Link to Matrix Managers

If an employee has a matrix manager and you're viewing the organization chart for the employee, you can view the
matrix manager after clicking the +1 Matrix Manager link. You can also hide the link.

Prerequisites

You have the Org Chart Configuration permission.

Procedure

1. Go to Admin Center Company Settings Org Chart Configuration .

Three tabs display: Basic org chart, Succession org chart, and Position Organization Chart.
2. Go to the Basic org chart tab.
3. Select the Hide matrix manager info in V12 Org Chart option.
4. Save your changes.

Results

You've successfully hidden the links to matrix managers on the Company Organization Chart.

4.3 Showing Custom Relationships in Company Organization

Chart

You can show custom relationships in the Company Organization Chart.

Prerequisites

You've set "ORG_CHART_DISPLAY" to "TRUE" for custom managers when importing matrix or custom managers.

Procedure

1. Go to Admin Center Company Settings Company System and Logo Settings .

2. Select the Show Custom Relationships in Company Organization Chart (for Company Organization Chart, Home
Page, and Mobile People Profile) option.
3. Save your changes.

Results

You can now see custom relationships in the Company Organization Chart. Please note that when you search for
a custom manager in the Company Organization Chart, his or her custom reports display. However, if you search
directly for a custom report, his or her custom manager doesn't display in the Company Organization Chart.

4.4 Showing Employees with Multiple Employments

If an employee has multiple employments, for example, a global assignment or concurrent employment, the
primary employment is displayed in Org Chart by default. To display active secondary employments, follow the
instructions in this task.

Procedure

1. Go to Admin Center Company Settings Company System and Logo Settings .

2. Go to the Company System Setting section.
3. Select the Show all active employments (for Global Assignment and Concurrent Employment) on Quickcard, Org
Chart, and Global Search results option.

4. Save your changes.

Results

You can now view the secondary employment information in Org Chart.

4.5 Hiding Contingent Workers on the Company Organization

Chart

You can hide contingent workers on the Company Organization Chart.

Prerequisites

You have the Org Chart Configuration permission.

Procedure

1. Go to Admin Center Company Settings Org Chart Configuration .

2. Go to the Basic org chart tab.
3. Select the Hide Contingent Workers in the V12 Org Chart option.
4. Save your changes.

 Note

If contingent workers are hidden on the Company Organization Chart, the total number of direct reports of
a manager doesn’t include the contingent workers.

Results

You have successfully hidden contingent workers from the Company Organization Chart.

4.6 Showing Customized Name Format in the Company
Organization Chart

You can use the name format that you have been using in People Profile. For example, you can use formal name
format of first name, middle name, and last name combination. If you use customized name format in People
Profile, you can also use it in the Company Organization Chart.

Prerequisites

• Employee Central is enabled in your instance.

• A name format is configured.
• You have the Company System and Logo Settings permission.

Procedure

1. Go to Admin Center Employee Files Configure People Profile .

2. Click General Settings and select a name format in the Choose Name Format field.
3. Save your changes.

4. Go to Admin Center Company Settings Company System and Logo Settings .

5. Select the Enable the name format selected in Configure People Profile to apply globally option.
6. Save your changes.

Results

You've successfully adopted the name format of People Profile in the Company Organization Chart.

4.7 Hiding Job Title in People Search and Organization Charts

Hide the job title information in People Search results and organization charts if you don't want it to be displayed.

Prerequisites

You have the Administrator Manage System Properties Company System and Logo Settings permission.

Context

You can use option Hide job title in People Search and org charts (Company Org Chart, Calibration Org Chart, and
Succession Org Chart) under Admin Center Company System and Logo Settings to hide job title information
for People Search and Organization Charts.

 Note

This option doesn't impact Position Organization Chart.

Procedure

1. Go to Admin Center Company System and Logo Settings .

2. In the Company System Settings section, check option Hide job title in People Search and org charts (Company
Org Chart, Calibration Org Chart, and Succession Org Chart).
3. Save your change.

Results

The job title field is hidden in People Search results, Company Organization Chart, Calibration Organization Chart,
and Succession Organization Chart.

4.8 Customizing the Display Order of Direct Reports

You can customize the display order of direct reports under the same manager in Company Organization Chart and
Calibration Organization Chart.

Prerequisites

You have the following permissions:

• Administrator Permissions Metadata Framework Manage Data , select View, Edit, and Import/Export.
• Under User Permissions Miscellaneous Permissions Org Chart Display Overrides , select View, Edit, and
Import/Export.
• Under User Permissions Miscellaneous Permissions Org Chart Display Overrides.Direct Reports (Org
Chart Report) , select View, Correct, Create, Adjust Order, and Delete.

Context

 Note

Custom display order applies only to org charts in the desktop version.

Procedure

1. Go to Admin Center Company System and Logo Settings Company System Settings , and enable
option Allow overrides of default display in organization charts (Company Organization Chart and Calibration
Organization Chart).

2. Go to Admin Center Manage Data and create a new record for object Org Chart Display Overrides.
3. Enter the manager and the direct reports that you want to customize the order for. Use the arrows to adjust
display orders of direct reports.
4. Save the changes.

Results

The custom order now displays in the Company Organization Chart and Calibration Organization Chart.

5 Using the Company Organization Chart

You can navigate, export, and print the Company Organization Chart. You can access the Company Organization
Chart through the Org Chart option in the Home menu. There are also two tiles for the Company Organization Chart
on the Home Page.

In addition to the main navigation menu, you can also access the Company Organization Chart through
action search, the employee quickcard, and Home Page tiles.

5.1 Ways to Access the Company Organization Chart

In addition to the main navigation menu, you can also access the Company Organization Chart through action
search, the employee quickcard, and Home Page tiles.

Type a few key words in the action search field like org or org chart and select View Org Chart from the search
results.

You can also access the Company Organization Chart through an employee quickcard.

Home Page Tiles

• If the Org Chart tile is enabled for the My Info section in the Manage Home Page admin tool, employees can
access the Org Chart tile under the My Info section on Home Page.
• If the Org Chart tile is enabled for the My Team section in the Manage Home Page admin tool, managers,
including direct managers and matrix managers, can access the Org Chart tile under the My Team section on
Home Page.

5.3 Navigating the Company Organization Chart

You can navigate up or down in the Company Organization Chart. You can also choose to display direct reports,
matrix report, or both in the Company organization Chart.

Prerequisites

You have the Company Info Access, Organization Chart Navigation Permission, and User Search permissions.

Procedure

1. Navigate to the Company Organization Chart.

2. Search for your target employee in the Search Org Chart field.

If the employee is a manager, the direct reports and matrix reports of the manager also displays.
3. You can navigate up the Company Organization Chart by clicking the Up One Level button.
4. You can navigate down the hierarchy by clicking on the team size. The team size is at the bottom of the
organization chart node of any user who has direct or matrix reports.
5. You can also click the  Display Options icon to choose from three display options: All Reports, Direct Reports
Only, and Matrix Reports Only.

System remembers your chosen display option when you log in the next time.

 Note

If the employee you're searching has no matrix managers or matrix reports, the Up One Level button
disappears when you choose the Matrix Reports Only view. You can change to the All Reports display option
to navigate.

5.4 Exporting and Printing the Company Organization Chart

You can export and print the Company Organization Chart and save it as a PDF file or an image.

Procedure

1. Go to Home Org Chart .

2. Search for your target employee in the Search Org Chart field.

3. Click the  Export icon on the upper right side.

 Note

If your Company Organization Chart contains sensitive information, be cautious when you share the export
file with others. The  Export icon cannot be deactivated.

4. Choose Save Org Chart as PDF or Save Org Chart as Image/ipg.

Results

You've successfully exported the Company Organization Chart.
