How to setup MFA Authenticator on a new device.

You will need to authenticate using your old device to complete this process – do not reset your
device or reinstall the authenticator app as this will disable the MFA method.

Install the Microsoft Authenticator app on your new device before you begin. The app is available
from the App Store or Google Play.

1. Open your internet browser and go to: myaccount.microsoft.com


2. Login with your university email and password
3. You will receive an MFA notification on your old device; approve and enter the 2-digit code.

4. Tap the link under 'Security Info' and ‘Add sign-in method’.

5. From the dropdown list select ‘Authenticator app’ and tap the Add button.

6. Click on Next and Show QR code on the following screen.


7. A QR code will then appear on screen; you will need to scan this using the Authenticator app on
your new device.

8. Open the Microsoft Authenticator app on your new device.


9. Tap the + button to add an account and select ‘Work or school account'.

10. Select ‘Scan a QR code’ and scan the code on the other screen.

11. Select Next and you will receive an MFA notification on your new device. Approve and enter the
2-digit code.
12. You will see your new device added to the list of MFA methods in your Microsoft account - you
can now safely remove your old device from the list.

Add a phone number to your MFA methods


You can authenticate by SMS or a recorded phone call. We recommend having this setup as a back-
up method in the event you cannot authenticate through the authenticator app.

1. Open your internet browser and go to: myaccount.microsoft.com


2. Login with your university email and password and approve the authentication

3. Tap the link under 'Security Info' and ‘Add sign-in method’.

4. From the dropdown list select Phone and Add.


5. Select the country-code from drop-down list and enter your number without the leading zero.
Select Text me a code and tap on Next:

6. You will receive an SMS message containing a 6-digit code, enter the number on screen.

7. You will see your phone number added to the list of MFA methods in your Microsoft account.
Setup MFA on your mobile
If you have had your MFA reset or are setting up for the first time.

1. Open your internet browser and go to: aka.ms/mfasetup

2. Login with your university email address.

3. Enter your password and you should see a screen titled More information required; click Next.
(If you don’t see this page, go back to step 1 using a private browser)

4. If you have not installed the Authenticator app, use download now link to install the app. Then
click Next.
5. On the following screen, tap on the link Pair your account to the app.

6. The Authenticator will then open and your Newcastle University account will be added to the list
of accounts.

7. Switch back to your browser and lick on Next.


8. You will receive a notification to your phone, tap on approve and enter the 2-digit number
shown on your screen.

9. A message should appear confirming your Authenticator is working:

10. Select the option to stay signed.


11. Success! Click on Done.

12. Microsoft Authenticator should appear in the list of MFA methods and the name of your mobile
will appear under it.
Which devices can be used for MFA
You can authenticate through 3 different methods.:

• Notifications on the Authenticator app


• SMS text message
• Recorded phone call

Modern smartphones offer the highest security as they require unlocking with your biometric data.
The following is a list of alternative devices you can use if you don’t have access to a smartphone:

How does MFA work?


MFA is a process where you authenticate in 2 steps:

1. Something you know – inputting a username and password


2. Something you have – access to a personal device

Note: Receiving an email is not used in the second step of this process as it doesn’t represent
something different to your password.

Can I reset my password using MFA?
If you have forgotten your password and need to reset it, you can use one of your MFA methods to
reset your password:

1. Open your internet browser and go to: passwordreset.microsoftonline.com


2. Enter your university email address and the characters in the image.

3. Select 'I’ve forgotten my password' tap on Next.


4. You have the option to receive a code by a recorded phone call or SMS text message. In this
example, we are going to select the Authenticator app.

5. Open the Authenticator app, select your Newcastle University account and tap on the one-time
password code to copy it.
6. You will then be prompted to enter a new password for your account.
