Letters are of two types –

1. Formal Letter
2. Informal Letter

What is an Informal Letter?


What is an Informal Letter - An informal letter, also referred to as
a friendly letter, is a personal letter written to friends or relatives
(Informal letter to a friend).
What is a Formal Letter – A formal letter, also referred to as official
letter, Business letter.

Difference between Formal letter and Informal

Formal Letter And Informal Letter - The formal letter is written for
business or professional purposes with a specific objective in mind. It
uses simple language, which is easy to read and interpret. On the
contrary, informal letters are written to friends and relatives for
personal communication and require a casual or emotional tone.
The size of a formal letter should be concise; that does not include
irrelevant matters. In contrast, the informal letter can be lengthier.
Formal letters are used for writing letters to business contacts, i.e.
partners, suppliers, customers, clients, etc. , college or institute,
employer, professionals, etc. As against this, we write informal letters
to friends, relatives, acquaintances, etc.

Types of Informal letter

Informal Letter Format
Informal Letter Format - There is no set format for an informal
letters. But there is a general pattern, some conventions that people
usually follow. We will be looking at this pattern and certain tips on
how to write effective and attractive informal letters. These can act
as guidelines when you are drafting a letter; they are not hard and fast
rules. Let us begin

Informal Letter Format - Address


The first thing to write is your address, i.e. the address of the writer
(basically, the sender’s address). We usually write the address on
the left-hand side of the page at the very top. The address should be
accurate and complete.

Informal Letter Format - Date


Next just below the address we write the date. This allows the reader
to have a reference as to when the informal letter was written. He can
then relate better to the contents of the letter. The date, preferably,
should be in expanded form.

Informal Letter Format - Greeting


Now since you know the person you are writing to, the greeting can
be informal as well. If it is a friend or someone close to your age you
can greet them by their first name, like “Dear Alex”.
If you are writing to your relative like your mother/father/aunt/uncle
etc, you may greet them as such, for example, “Dear Mom”. And if
you are writing to an elder person, someone you respect greatly you
can address them as Mr or Mrs. Like say for example you were
writing a congratulatory letter to your teacher, it can be addressed
as “Dear Mrs. Alex”.

Informal Letter Format - Introductory Paragraph


And now we begin writing the actual letter. The introductory
paragraph sets the tone for the whole letter. You might begin by
asking the recipient about their well being. Or you may say that you
hope the letter finds them in good health and great spirits. The
opening of informal letters should be casual and comforting. It must
not be formal and direct as in business letters.

Body of the Letter


The letter overall should maintain a friendly tone. But you have to
adjust the language and the wordings according to who you are
writing to. With a friend, you can afford to be very casual and flippant
even. But if you are writing to an elder relative, you must be extremely
respectful and considerate.
One way to determine the tonality of your letter is to remember how
you talk to the person in a conversation. And then apply the same
syntax and sentiments to the letter.

Informal Letter Format - Conclusion


In the conclusive paragraph sum up the reason for writing the letter,
i.e. summarize the letter. Say a meaningful and affectionate goodbye
to the reader. And do not forget to invite the reader to write back or
reply to your letter. It shows an intention to keep the conversation
going.

Signature
There is no one way to sign off informal letters. Since they do not
follow a strict format, you may sign off as you please. Some
commonly used phrases are

v. Kindly,

Pick the one that best suits the occasion and then simply signs your
name below the greeting.

Informal Letter Format


The following points need to be followed while writing an Informal
letter-
a) An Informal Letter does not strictly follow the prescribed Format.
b) The language of an Informal Letter must be friendly and casual.
c) An Informal Letter can have extra information.
d) The Subject line is not required in an Informal Letter.
The Informal Letter Format is as follows –
1. Address: The address of the sender is followed by that of the
receiver.
2. Date: The date is written below the address after leaving one line.
3. Salutation / Greeting (Dear / Hi / Hello)
4. Body: The matter of the letter is written here. It is divided into 3
paragraphs as follows -
a) Paragraph 1: beginning
b) Paragraph 2: Main content.
c) Paragraph 3: ending
5. Sender’s name and signature.

should be restricted while Formal Letter Writing.

d. The Subject line is very important in a Formal Letter.

1. Sender’s address: The address and contact details of the sender
are written here. Include email and phone number, if required or if
mentioned in the question.
2. Date: The date is written below the sender’s address after Leaving
one space or line.
3. Receiver’s address: The address of the recipient of the mail (the
officer/principal / Editor) is written here.
4. The subject of the letter: The main purpose of the Letter forms the
subject. It must be written in one line. It must convey the matter for
which the letter is written.
5. Salutation (Sir / Respected Sir / Madam)
6. Body: The matter of the letter is written here. It is divided into 3
paragraphs as follows -
Paragraph 1: Introduce yourself and the purpose of writing the letter
in brief.
Paragraph 2: Give detail of the matter.
Paragraph 3: Conclude by mentioning what you expect. (For
example, a solution to your problem, to highlight an issue in the
newspaper, etc).

Complaint Letter Format


SENDER’s ADDRESS- The sender’s address is usually put on the
top left-hand corner of the page.
DATE- The sender’s address is followed by the date just below it, i.e.
on the left side of the page. This is the date at which the letter is being
written. It is to be written in expanded form.
RECEIVER’s ADDRESS- Whether to write “To” above the address
depends on the writer’s preference. Make sure you write the
title/name/position etc of the receiving official, as the first line of the
address.
SALUTATIONS- This is where you greet the person you are
addressing the letter to. Bear in mind that it is a formal letter, so the
greeting must be respectful and not too personal. The general
greetings used in formal letters are “Sir” or “Madam”.
SUBJECT- Then we sum up the purpose of writing the letter in one
line. This helps the receiver focus on the subject of the letter in one
glance. It is important to underline the subject.
BODY- This is the main content of the letter. It is either divided into
three paragraphs or two paragraphs if the letter is briefer. The tone of
the content should be formal. Do not use any offensive language.
Another point to be kept in mind is that the letter should be concise
and to the point. And always be respectful and considerate in your
language. It should include-

i. Short introduction paragraph- Provide details about the product


or service that is the subject of the complaint. Include dates,
location, and the specifications about the item or service.
ii. State the issue with item or service. Provide details as to the
cause. This may include malfunction, billing issues, details that
were not disclosed, etc.
iii. Indicate how you would like them to resolve your problem.
Provide specifics about what you’re seeking.
iv. Indicate you are including copies of the transaction document.
v. Indicate you look forward to their reply within a specific time
period.

Indicate that they can contact you about the issue and provide
your contact details

COMPLIMENTARY CLOSE- At the end of your letter, we write a


complimentary closing. The words “Yours Faithfully” or “Yours
Sincerely” are used.
SIGNATURE- Here finally you sign your name. And then write your
name in block letters beneath the signature followed by your
designation. This is how the recipient will know who is sending the
letter.

Tips for Complaint Letter Writing


i. Although the motive of the complaint letter is to vent out your
grievance and frustration, it is imperative that you use a tone
that is polite and simple. Try to be formal and avoid using
offensive and disrespectful words.
ii. Make sure that you introduce yourself properly.
iii. The purpose of writing should be loud and clear.
iv. Do not deviate from the topic and write to-the-point.
v. Make sure you adhere to the format as it carries marks.
vi. Underline the subject of the letter with a pencil. Also, underlining
the main points is very important, but it is advisable that you do it
after finishing your exam. Use a pencil and scale for underlining.
vii. Make sure you double-check for grammatical accuracy and
spellings. They carry marks.
viii. Leave an adequate number of lines between paragraphs to
make it look clean.
ix. The presentation is very important.

problem in our area.

We have complained multiple times regarding fused street


lights but to no avail. People are facing a lot of difficulties
because of it. Road signs become completely invisible at night.
Speed breakers, potholes and manholes are not clearly visible
which makes our area more prone to lethal accidents. This
poses a huge risk to the life of citizens. It becomes very dark
and unsafe after evenings. Women and children are afraid to
step out of their house after it gets dark. CCTV cameras are
totally ineffective. Incidence of thefts are increasing
proportionately. Unsocial elements are encouraged to carry out
their activities and get away unnoticed. This is really increasing
a sense of fear among citizens. Kidnappers find such dark areas

It needs immediate action to curb this menace. This is a


request to take cognisance of this grave problem before it
takes a toll on the law and order of the society completely.

My ATM did not undergo any transaction for five months from
January 2024 to May 2024. Due to which it got blocked and

authorities in bank and they advised me to to file an application
for re-issuing new ATM card under same details. I filed my
application and submitted it to the relevant counter from where
I was asked to wait for a 3-4 weeks. After the given period I
visited bank again and they asked to re-file the application. I
have filed two applications regarding the same but to no avail.
Neither I have received my ATM card nor any response.

Please inform me how long it is going to take to get my ATM


card reissued. If there is some other process to be followed,
kindly instruct me about it. I have visited bank in person
several times but it is not getting me anywhere. This is really
causing me difficulties sir. Kindly acknowledge the matter as
soon as possible.

Many young people are running online business. Charging their


appliances is the main issue they face. People running mother
dairies and bakeries are totally clueless about how to keep their
refrigerators cool for so long without electricity. In summer,
high temperature makes our lives hell without fans and coolers
working. It has now become totally unbearable to live in such
unacceptable conditions. People have complained about it

would like to draw your kind attention towards the problem of
water shortage and polluted water in our area.

We have been facing water shortage since last two weeks.


Construction and repair work of pipelines is going on in our
locality. Labour indulged in maintenance work took a gap of
three days in mid delaying it even further. It has taken such a
long time that we are forced to order water tankers to meet our
daily requirements. It is creating an extra financial burden on
us. This out of the pocket expenditure cannot be bore for so
long.

Where repair work of pipelines has been finished, there people


are facing problem of polluted water supply. The water odour
and colour has made it imputable. Water of poor quality has
made people ill adding to our problems. People have
complained about it but quick action is nowhere to be seen. We
are worried as to how long it is going to take to normalise. Our
lives have been disturbed to an unbearable extent. This needs
to get acknowledged by the concerned authorities.

would like to draw your kind attention towards increasing
number of crimes in our locality.

People are feeling a sense of fear as unsocial elements are in


very high spirits now a days. There is a kind of lawlessness in
our area. Women and children find it unsafe to step out of the
their house once it gets dark. Girls and women have to be
escorted with a male member of their family. Chain snatchers
and phone snatchers are roaming freely on bikes in broad
daylight.

Number of threats have increased proportionately and eve


teasers have no fear of law and order. Street lights are also not
in good working conditions which is only helping those who are
destroying the peace in our area. CCTV cameras have not been
installed by the government. It boosts their morale to execute
crime and get away unnoticed. Such situation is affecting our
lives immensely. A sense of insecurity has already creeped in
innocent minds of young children. Immediate attention is
required to prevent it to develop into a state of anarchy.

19 sep 2024 with product id 1236789. I switched it on after
reading all the instructions carefully. Initially it was working

have ran out of battery but it is not getting switched on.
