Vietnam Green Diplomacy Week 2024

Call for Organizing Members

1. About EU-ASEAN Green Diplomacy Weeks 2024

Vietnam's journey towards a sustainable future is deeply intertwined with its commitment to green
transition. The country's ambitious targets of Net-zero by 2050, as outlined in the Paris Agreement,
underscore its determination to shift away from fossil fuels and embrace renewable energy
sources.

In collaboration between the Vietnam Youth Advisory Board (VYAB), the Youth Sounding Board for
the EU in ASEAN (YSEAN), Viet Nam Youth Parliament (VNYP), Youth Policy Working Group (YPWG),
and Lead The Change (LTC), we are planning to organize the "EU-ASEAN Green Diplomacy Weeks
2024 in Vietnam - Towards a Greener Youth Force" event. .

The event offers a unique opportunity to address green workforce challenges and empower young
people in Vietnam to become the main actors in the green transition. By fostering collaboration
between government agencies, educational institutions, businesses, and civil society
organizations, the event can help raise awareness of green job opportunities, provide access to
education and training programmes on green skills, and facilitate networking among young people
and experts.

● Tentative Date: November 30th, 2024


● Location & Format: Hybrid (Online & Offline in Hanoi, Vietnam)
● Goal: To strengthen the EU-ASEAN partnerships in building an inclusive youth network that
is well-equipped for the green transition, fostering collaboration and inspiring youth on
sustainable practices with relevant networks and experts.
● Objectives:
○ To promote the EU-ASEAN Green Diplomacy Week through an event advocating for
the rise in demand for green jobs and green skills among the Vietnamese youth
communities;
○ To highlight the regional engagement of the European Union in ASEAN and how
youths play a vital role in combating climate change and applying sustainability
practices;
○ To engage youths from a diverse background with the same interest in green jobs &
green skills to sharpen their knowledge and develop a sense of sustainability
mindset;
○ To advance/encourage a collective effort with other youth-led communities in
raising community awareness for the green sector of Viet Nam;
○ To connect youth with relevant networks and experts in green jobs and green skills
further development.
In order to implement this event, we are looking for young enthusiasts who are willing to join the
organizing board for this event.
2. Positions

2.1. Logistics Team Member (Number of Vacancy: 5)

a. Duty Location: Hanoi.

b. Tasks and Responsibilities

● Coordinate venue setup, including arranging seating, audio-visual equipment, and other
logistics.
● Prepare and manage on-site materials and supplies, including registration forms, name
tags, and attendee kits.
● Serve as on-site point of contact for troubleshooting during the event
● Work with venue staff to ensure proper layout for high-traffic areas like registration desks
and restrooms.
● Research vendors for materials.
● Conduct an inventory check before and after the event to account for all materials, ensuring
no shortages on event day.
● Regularly check and replenish supplies throughout the event.
● Perform regular checks to ensure that seating areas remain clean and orderly.
● Ensure trash bins are accessible and not overflowing.
● Help gather and account for all event materials, making sure they are stored or returned to
their respective owners.
● Check the venue for any items left behind and organize a lost and found station if
necessary.
● Note any issues, feedback, or improvements needed for future events, to be shared with
the logistics and event management team.

c. Eligibility Requirements
● Be available on the event date for the entire duration, including pre-event setup, event
support, and post-event wrap-up.
● Strong communication and interpersonal skills, comfortable interacting with diverse
groups.
● Detail-oriented and good organizational skills.
● Previous experience in event logistics, planning, or on-site coordination is a plus.
● Flexibility to adapt to different tasks as they arise.
● Good problem-solving skills to address on-site challenges as they arise.
● Capable of performing physical tasks, such as setting up seating and managing supplies,
throughout the event day.
● Ability to research and communicate with vendors regarding supplies and materials needed
for the event.
● Proficient in social media platforms to assist with pre-event promotion if needed.

d. Benefits

● Expand networks with event organizers, speakers, and other industry professionals.
● Members will receive a certificate from the organizer after completion.
● Volunteer support allowance of VND 550,000 to be paid by the end of the event after
completing the assigned duties.

2.2. Communication Team Member (Number of Vacancy: 4)

a. Duty Location: Online and/or Offline in Hanoi, Vietnam

b. Tasks and Responsibilities

Communication Team Members are divided into 02 roles: Content Member and Design Member

Content Member

● Coordinate with the team to outline a content calendar based on key postings and audience
engagement goals.
● Develop visually appealing and impactful posts across platforms, including Facebook.
● Assist in creating reels, stories, and engaging videos to highlight the event.
● Support drafting the interview postings of participants.
● Create wrap-up postings after the event.
● Research and utilize relevant hashtags to increase visibility and reach targeted audiences.
● Track engagement metrics for posts, such as likes, shares, comments, and reach.
● Assist in coordinating interactive activities including live streams on the event day.
● Provide clear briefs and collaborate on visual assets to ensure content is cohesive and
aligns with the event theme.

Design Member

● Design eye-catching graphics, reels, stories for social media platforms to promote the
event.
● Create standees, banners, posters, and other materials as needed to be used in the event.
● Create PowerPoint templates that align with the event’s branding, allowing speakers to
present materials consistently.
● Design small promotional items, such as tote bags, badges, featuring the event’s logo,
theme colors, as presents for attendees.
● Work with the Content team to align messaging and visual aesthetics for all content.

c. Eligibility Requirements

Content Member

● Previous experience or demonstrated interest in content creation, particularly on platforms


like Facebook.
● Proficiency in written Vietnamese and English.
● Capable of drafting and editing interview postings and event wrap-up summaries with
attention to tone and accuracy.
● Strong communication and interpersonal skills, comfortable interacting with diverse
groups.
● Detail-oriented and good organizational skills to manage content calendar.
● Capable of creating interactive posts and content that drive audience involvement.
● Understanding of popular and event-specific hashtags that can improve post visibility and
audience targeting.

Design Member

● Demonstrated experience in graphic design, including the creation of digital and print
materials is a plus.
● Proficiency in both written Vietnamese and English.
● Strong communication and interpersonal skills, comfortable interacting with diverse
groups.
● Detail-oriented and good organizational skills.
● Flexibility to adapt to different tasks as they arise.
● Prior experience in graphic design, visual design is a plus.
● Ability to work under pressure.
● Familiarity with design software such as Adobe Creative Suite (Photoshop, Illustrator) or
similar tools.

2.3. Program Development Team Member (Number of Vacancy: 3)

a. Duty Location: Online and/or Offline in Hanoi, Vietnam.

b. Tasks and Responsibilities

● Identify potential speakers who align with the event themes and goals.
● Draft and send invitation emails to speakers, providing event details and expectations.
● Collect biographies and session abstracts from speakers for marketing and event
materials.
● Research relevant topics to contribute insights and resources for session content.
● Update the schedule regularly, accommodating any last-minute speaker changes or
additions.
● Organize preparing sessions with facilitators to review session content, structure, and flow,
to ensure the program aligns with the event’s goals.
● Assist in planning event sessions, including coordinating speakers, developing content, and
creating schedules.
● Develop session handouts, guides tailored to each session’s goals.
● Create follow-up materials such as summaries, key takeaways, and resource lists for
participants to continue learning.
● Prepare email templates for post-session follow-up, encouraging ongoing engagement and
feedback.

c. Eligibility Requirements

● Proficiency in both Vietnamese and English.


● Strong communication and interpersonal skills, comfortable interacting with diverse
groups.
● Detail-oriented and good organizational skills to manage materials.
● Ability to conduct thorough research on relevant topics.
● Ability to create educational materials, such as session handouts, guides, and summaries.
● Flexibility to adapt to different tasks as they arise.
● Prior experience in program development is a plus.
