Creating a Frequency and Relative

Frequency Table Using Excel


Watch the following videos and read the tutorials prior to class:

Open the DescriptiveStatistics_VFT Data.xlsx spreadsheet.

Creating a Frequency Table


1. Create a new worksheet
 Insert a new worksheet and change the name to Frequency Table.
 Return to the VFT Data worksheet

2. Create a Pivot Table


 Go to the VFT Data worksheet and click any cell in it
 Click on the Insert>Pivot Table menu item
 The Create Pivot Table window will pop up
o Click on the Existing Worksheet radio button
o Click on the tab of the Frequency Table worksheet you just created
o Click on the top left cell in the Frequency Table worksheet
o Click OK

3. Formatting the Pivot Table to Create a Frequency Table


The next step is formatting the Pivot Table on the Frequency Table worksheet.

 Find the list of Pivot Table Fields (top right)


 Click on Height
 Drag Height to the rows section
 A list of Row Labels appears in the top left of the worksheet and all of the values of heights are listed
 Right click on any of the height values under Row Labels
 Click Group and the Grouping Dialog Box appears and provides three options to adjust the classes (bins). Start
by entering these values
o Starting At: 57
o Ending At: 81
o By: 5
 Click OK.

There are now 5 rows in the pivot table

 Next you need to create the count of heights for each row. Return to the Pivot Table Fields on the top right (if
this sidebar is not present, right click on your pivot table and select Show Field Lists).
 Note: If the Pivot Table Fields window disappeared click on any cell underneath Row Labels in the top left
corner of the spreadsheet.
 Select Height and drag it down to the ∑ Values section. If Sum of Height or Count of Height is already in this
section, you may skip this step.
 Left click on Sum of Height or Count of Height and select Value Field Settings… and the Value Field Settings
dialog box appears.
 Click on the Summarize Values Field By tab and make sure the Count field is selected in the list box.
 In the Custom Name entry box type: Frequency
 Click OK.

The final product should look like this:

Creating a Relative Frequency Table


This step is a continuation of Steps 1 to 3. Complete them first.

4. Creating a Relative Frequency Table


 Find the list of Pivot Table Fields (top right)
 Select Height and drag it down to the ∑ Values section
 Left click on Count of Height and select Value Field Settings… and the Value Field Settings dialog box appears
 Click on the Summarize Values Field By tab and select Count in the list box
 In the Custom Name entry box type: Relative Frequency
 Click on the Show Values As tab and select % of Column Total in the drop down box
 Click OK.

The final product should look like this:

Creating a Relative Frequency Table by Gender
This step is a continuation of Steps 1 to 4. Complete them first.

5. Creating a Relative Frequency Table by Gender


 Find the list of Pivot Table Fields (top right)
 Select Gender and drag it down to the top of the list in the Columns section

The final product should look like this:
