First of all, we would like to thank Allah S.W.T and prophet Nabi Muhammad S.A.W. It
was because of his blessing our group can finished the report successfully. We managed to finish
this group project with our blood, sweat and tears and honestly it is a good experience. We work
so hard and most of our time used to research about this all for the sake to completing this
project.
Therefore, we would like to give thousands of thanks for those who help us and guided us
through out this journey. Firstly, we would like to give gratitude to Sir Sulaiman Nawawi, our
Fundamental of Management lecturer. He always there to guide and help us. He always tried his
best to make sure all of his students understand and answer any of their doubt. Secondly, we
would like to thanked our parents respectively. They help us in many ways as well as our
emotional and physical needs.
In addition, we want to thanks our fellow friend and comrades because they always
support us and always help us when we need them. When we were confused and lost, they were

COMPANY BACKGROUND

The name of our company is La Vie En Rose which means Life in Pink. The initial name
was originally in French. We choose this name as our company name is because the whole
phrase holds such a comforting and lovable feelings that most customer seeks. Our company’s
theme for this café is Urban and our main mission is to make customer feels like there is a place
that they can escape from the hectic life in the city. La Vie En Rose company is an established
company that have a Chief Executive Officer (CEO), and 2 managers which is Manager Human
Resources and Manager Operating Department. La Vie En Rose café do not have any branch. We
just have one café at the moment and our long-life mission after 5 years of operating is to open
as many branches as possible in many places so many other people can visit our café too.

Our main menu that we served are various type of coffee and desserts. We usually used
Western menu as our dessert type. Our company operation time is around 9 a.m. to 6 p.m. The
employees usually arrive an hour prior before the café opening so that the operation on that day
can be smooth and successful. We train our employee to be responsible and diligent so that they
can be at their best performance and can improve their skills at the same time. Our employee
usually from culinary college which had many experiences when handling top tier cuisine. La
Vie En Rose café menus are varied type of coffee such as Latte, Espresso, Cappuccino, black,
Irish and many more. We served them hot every time but there also some customer wants their
coffee to be cold. For desserts, we served diverse type of sandwiches, cakes, pancakes,
macaroons and we also have many flavors of ice creams.

PLANNING

Planning is defined by the process of outlining the activities to achieve the goals of the
organization and determine the ways to achieve the goals. So, in short, our company will try our
hardest to meet our vision and mission while give satisfaction and good service quality to our
dear customer.

VISION

 To give sense of comfort and satisfaction in many people’s lives experience.

MISSION

 To open as many branches as possible in the country and wants to expand our company
outside of Malaysia.
 to create many unique and delicious food as possible so that we will hold a special place
in our customer’s heart.
 To serve food that is affordable and high quality to the customers so they can come to the
café as many times they want to.

This is our vision and mission of our company. We will try our best to make sure we will
achieve the vision and mission. We will make sure our company will be a high standard
and satisfy our customer’s need.

TYPES OF PLANNING

Our company used 3 types of type of planning which are Strategic Planning, Tactical Planning
and Operational Planning. Strategic Planning will determine where my organization wants to be
in the future. Meanwhile Tactical Planning will be used to implement all goals set in strategic
plan. Lastly is Operational Planning which designed to implement specific action steps to
support strategic and tactical plan.

STANDING PLAN

This is designed to deal with organizational issues or problems that recur frequently.

POLICIES

Each employee will be given proper reward and promotion based on their performance.
There will not be any bias or discrimination regarding their age and gender.

Employees need to follow the company rules such as attendance and time off policy and
dress code of our company.

PROCEDURE
The employee needs to go to an interview before they can start their service in the
company. They also need do verify their personal information to the person in charge of
hiring so that if anything happens, there should not be any bad consequences befall the
company.

our employees need to abide the rule and regulation. They also need to always wears the
café uniform along with their name tag when they are working so that the customer can
easily recognize our worker.

SINGLE USE PLAN

A one-time plan specifically designed to meet the goals that are not likely to be repeated in the
future.

PROGRAMS
La vie En Rose company wants to open our next branch in Johor.

PROJECTS
Before the company wants to open a new branch, we must make sure the main company
is stable and have strong foundation so that we can successfully open a new branch in the
future without any burden or problem that might occur in the future.

BUDGETS
The company need to identify the sufficient amount of cost to make sure the main
company can operate very well and the cost needed to open a new branch.

Organizing is defined as the process of determining the task to be done, who will do them and
how those tasks to be managed and coordinated.

Our company used 3 types of organization structure:

 CEO
A chief executive officer (CEO) is the highest-ranking executive in a
company, whose primary responsibilities include making major corporate
decisions, managing the overall operations and resources of a company, acting
as the main point of communication between the board of directors (the
board) and corporate operations and being the public face of the company.

 MANAGER OF HUMAN RESOURCES

Human resources managers plan, direct, and coordinate the administrative


functions of an organization. They oversee the recruiting, interviewing, and

hiring of new staff; consult with top executives on strategic planning; and
serve as a link between an organization’s management and its employees.

Human resources managers typically do the following:

-Plan and coordinate an organization’s workforce to best use employees’ talents

-Link an organization’s management with its employees

-Plan and oversee employee benefit programs

-Serve as a consultant with other managers advising them on human resources issues, such as
equal employment opportunity and sexual harassment

-Coordinate and supervise the work of specialists and support staff

-Oversee an organization’s recruitment, interview, selection, and hiring processes

-Handle staffing issues, such as mediating disputes and directing disciplinary procedures.

We used Functional Structure so that workers become experts in their job function , easier
supervision and easy to coordinates activities.

Product Structure

Product Structure is the grouping of employees and their activities/tasks on the basis of products
manufactured by the organization. By using Product Structure, each division within the
organization is dedicated to a particular product line. For example, each division in our company
handle food product and any other production respectively.

By using Product Structure, activities can be easily focus and coordinated, can enhance speed
and effectiveness of decision making and lastly easy to assess performance and identify
accountability/liability.

Customer Structure

it is a structure whereby organizations group and employees and their tasks/activities based on
the type of customer they served.

It is appropriate when the organization’s product or service needs to be tailored/targeted to


specific customers.

Advantage of Customer Structure: -

1) Encourage concentration on customers’ needs.


2) It gives the customers the feeling that they have an understanding supplier/provider.
3) It develops expertise in customer handling.

We used this Structure is because our sole and main purpose in this business is to make sure our
customer content and happy while receiving our service.

LOCUS OF DECISION MAKING

In every organization, there always going to be a decision to make every month,


sometimes everyday. So our organization are no different. There are two type of decision making
that we go through in making decision. There are program and non- program decision making.
These decision will effect us as an organization in day to day basis. So as an organization we
need to make the best decision that will satisfied both employee and employer. A programmed
decision are those that are traditionally made using standard operating procedures or other well
defined methods. These are the routine that we deal with frequently occurring situation, such as
request for leaves of absence by employee or even complaint from customers. In other words
thing that we have to deal everyday as an organization. In this routine situation , it is usually
much more desirable for managers to use programmed decision than to make new decision that
fits the situation.

In programmed decision, managers make a real decision only once, when the program is
created. Subsequently, the program itself specifies procedures to follow when similar
circumstances occur. The creation of these routine, resulting in formulation of rules, procedures
and policies. Programmed decision do not necessarily remain confined to simple issues, such as
vacation policies or similar thing. They also deal with very complex issues such as
experimenting with food to create new recipe to satisfied the customers need. These programmed
decision also include the standard operating procedures, such as what the employee need to wear
in order to handle food or drinks. The policies that we have will cover hand washing, first in, first
out (FIFO), dish washing, tables, sick employee and lastly temperature.

The most important policy that we really emphasize on is to proper hand washing
procedures. We also hang a handwashing poster over every sink, and ensure that all employee
follow it religiously. When storing food, we always follow the FIFO plan. Newer food is to be
stored or on the bottom of the stacks, leaving older food more likely to be used first. This is
because we want a quality control of food that came out of our cafe . This is also to ensure that
the products that we use will be use before it’s expiration date. We follow all state laws in
regards to dishwashing procedures. We use three sink method, utilizing wash, rinse and sanitize
procedures and we also keep test strips nearby to test sanitizer water frequently. All table must be
cleaned and clear after each customer. This will make sure other customers can sit and enjoy

their food immediately. Employee that are sick or take a leave of absence will be replace with
the employee on standby. Employee who take leave of absence more than a week straight will be
given first notice and so on. This is to ensure that our organization will run smoothly. While for
food, we always monitor the temperature of the food. We use a digital thermometers to test food
on display frequently throughout the day. Cold food should be below 4 degree Celsius and hot
food above 160 degree Celsius. Any food that is not within the range will be discarded
immediately. This is because we want our food to be in a good condition and to make sure it stay
fresh.

While non-programmed decisions are unique. They are often ill-structure and one time
use decision. This circumstances required good judgment, intuition and creativity. This is
because non-programmed decision related to a situation that have never happened ever. Decision
maker need to turned heuristic problem-solving approaches in which logic; common sense and
trial and error are used to deal with problem that are too large or too complex to be solve through
quantitative or computerized approach. In fact, our management training program on decision
making are designed to help manager to think through problem that are using logical thinking or
a non-programmed approach.

Giving with our current situation, with the outbreak of deadly virus; covid-19, our
management have follow every single SOP that the government provide and also came out with a
few solution. For example, we only allowed 5 customers in the premises at one time, a 1 meter
distance, also encourage the customers to use a cashless payment and every customers need to
scan a QR code before entering to make a trace of in and out customers. As our own solution we
encourage customers to not dine-in and also provide a delivery. We also check each and every
customers temperature and provide hand-sanitizer. We also taken care our employee by
providing a face shield and glove, so they can stay save at every time. Another alternative that
we provide to our employee is, providing a disinfection room, where our employee will be
disinfected from head to toe before entering the premises. These are some of the example of a
non-programmed decision that we make to make sure our organization and employee can keep
their job and also follow the government order.

Programmed decision usually relate to structured problems while non-programmed


decision are taken to solve unstructured problem. It is also to be noted that the programmed

decision are taken by lower level managers where’s the non-programmed decision are taken by
the higher lever managers.

MOTIVATION

Motivation is the process that initiates, guides and maintains goals- oriented behaviours.
It is what make you want to do something, either getting a glass of water to reduce thirsty or
even reading a book to gain knowledge or doing your assignment. A motivation involves the
biological, emotional, social and cognitive forces that will active the human behaviours. To
identify why a person does something, the word ‘motivation’ are thrown around frequently.
Motivation doesn’t just activate behaviours but also direct and maintain these goals actions. We
often have to infer the reasons why people do the thing that they do based on observable
behaviours.

What exactly lies behind these motivation? Psychologists have proposed different
theories of motivation, including the Maslow Hierarchy Of Needs, Herzberg’s Two Factor
Theory, Expectancy Theory, Equity Theory, Goal Setting Theory, and Reinforcement Theory.
Our organization practice the expectancy theory. Expectancy theory was proposed by Victor
Vroom in 1994. This theory suggests that motivation need to expend effort to do something that
is determined by three basic individual perception. That an effort and rewards will lead to a good
performance.

There are three component to this Expectancy Theory; which is expectancy,


instrumentality and valence. Expectancy is a belief that particular level of effort will be followed
by a particular level of performance. Instrumentality is a probability assigned by the individual
that a specific level of achieved task performance will lead to various work outcomes. Valance is
a value that the employee will received or and appreciation that once will get if he or she’s
exceed the performance level. An employee believe that effort will result in acceptable
performance and that acceptable performance will produce a desired rewards and the employee
values the rewards.

As we can see that this theory have explain how can we do to motivate our employee.
What we do based on this theory to motivate our employee are, we give a rewards to the
employee of the month. Where every month we choose the best employee that exceed our

expectation to received a rewards. Example of the rewards that we give are, extra bonus, a
holidays trip, a dinner treat and many more. We also dedicated a wall with a picture of the
employee of the month. We also make a special holiday every two month, where we will hold a
family day. We will gather our employee and their family on this day. We will have games, give
out gifts and this also will make the bond between employees and the managers stronger. We
believe by doing this, it can motivates more our employee to give the best performance. This
theory also prove that a person will achieved the goals that was set if at the end they will get a
rewards as a appreciation. These also will decrease a problems in the work place. A person will
be willingly do the task if they feel appreciated.

LEADING
Leading is the process of directing and influencing the task-related activities of group
members. Also, it is motivating and directing the members of the organization so that they
contribute to achievement of the goals of the organization.

LA VIEN ROSE café adopt some behaviors from the Ohio State University Studies.
Therefore, for initiate structure behavior, our leader must establish well-defined procedures that
the followers should adhere to in performing their jobs.

In organization, the leader should be enhancing and obtain cooperation among followers.
The leader should clarify the roles and responsibility of the employee. One of the greatest
barriers to effective teamwork is confusion about where each member’s duties begin and end.
Each person needs to understand what was expected of the employee, including specific tasks,
deadlines, and time commitments. They should make the employee feel in charge of a piece of
the organization and know why it matters in the big picture.

In the other hands, the leader should be considered in decision-making with all members
as this can generate elements of friendship, mutual trust, and respect from members between
leaders and followers.

The warmth and social support with subordinates clearly show the picture of how our
company working. Great bonding between leaders and followers could shift our position could
easy to set up the company together.

Based on our understandings, organizational control is the systematic process through


which business leaders regulate their organizational activities to make them consistent with the
expectations established in plans, targets, and standards of performance. We had set our missions
which is to launch new branch of our company as well as our company can achieve the profit we
have set.

Specifically, our types of control are feedforward control, which is we focus on material
we serve for customer. In addition, with customer satisfaction will attract them on our café. In
other hand, they will recommend to their fellows such as family, friends, and colleagues.
Besides, we also focus on our financial as because our mission is to enlarge our empire in this
business. Next, feedforward control is designed with preventative control because it is to ensure
that the quality of our products, and service is enough to prevent some problems while
transformation process.

After that, concurrent control which is to monitor ongoing activities to ensure that the
transformation process is functioning properly and achieving results. as example, we will provide
the comfortable and peaceful place, serve the products in affordable price and services to our
customer.

Moreover, we had chosen feedback control. When control focuses on the result phase, it
is referred to as feedback control because it is intended to discover undesirable result and
implement corrective action. In other words, through feedbacks we can up to date day by day,
also by feedback will give opportunity to fix deficiencies of our services or products. In addition,
feedback customers also give spirit on our café to shine.
