REPORT WRITING

Learning Objectives-
• to apply the correct format while drafting a report
• to examine a topic and convey ideas
• to produce a clear and coherent piece of writing

Report writing is an attempt to gather information about an event, incident or


accident from the persons concerned, the parties involved, the victims and
authorities. The third person point of view ensures objectivity in report.

Generally, two types of reports are asked in the CBSE exam, namely, newspaper report or a
magazine report.
A well written report will must possess the following traits:
• adherence to the specifications of report brief;
• analysis of relevant information;
• structuring material in a logical and coherent order;
• presentation in a consistent manner according to the instructions of the report brief;
• making appropriate conclusions that are supported by the evidence and analysis of the report;

FORMAT OF A MAGAZINE REPORT

Heading– A descriptive title which is expressive of the contents of the report.


By line– Name of the person writing the report. It is generally given in the question.
Remember, you are not supposed to mention your personal details in your answer.
Opening paragraph (introduction) – It may include the ‘5 Ws’ namely, WHAT, WHY,
WHEN and WHERE along with WHO was invited as the chief guest.
Middle paragraph/s- Account of the event in detail– The proper sequence of events that
occurred along with their description. It is the main paragraph and can be split into two short
paragraphs if required.
Conclusion- This will include the description of how the event ended. It may include quote
excerpts from the Chief Guest’s speech or how did the event wind up.

FORMAT OF A NEWSPAPER REPORT


Headline- A descriptive title which is expressive of the contents of the report.
By line- Name of the person writing the report along with the designation. It is generally
given in the question. Remember, you are not supposed to mention your personal details in
your answer.
Place and date of reporting- It is generally not mentioned in a magazine report separately,
but here, it is.
Opening paragraph- It includes expansion of the headline. It needs to be short as it is a general
overview of the report.
Middle paragraph/s - Account of the event in detail– It is generally written in two parts:
First, complete account of what happened in it’s chronological sequence (preferably) and
second, the witness remarks.
Concluding paragraph- This will include the action that has been taken so far or that will be
taken. It is the last paragraph.

Samples

The Environment Club of your school organized a campaign to celebrate cracker-free Diwali.
Posters, placards and banners were prepared. Then a long march was organized. Write a
report in 150-200 words for publication in your school magazine about the campaign
describing the efforts put in by staff and students to make tire campaign successful. You are

CAMPAIGN AGAINST CRACKERS

The Environment Club is fairly active in our school. It organized a campaign to celebrate
cracker-free Diwali on the 7th of September 2019.

Posters, placards and banners were prepared. Posters were displayed at prominent places. Then
a long march was organized from the school to the sports stadium and back to school . Teachers
and students assembled at 9.00 a.m. All the students were in their school uniform. They carried
banners and placards in their hands. The aim was to create awareness among the public in
general and the young children in particular. Crackers create air and sound pollution. Being
expensive, they are a wasteful luxury. Moreover, child labour is involved in the cracker
industry.

Through this activity, awareness on a cleaner environment and child labour was brought about
effectively. The response of the general public was good.
You are Rahul/Rashmi, a staff reporter of The Hindustan Times. You have been asked to
cover the incident of a daylight robbery when the inmates were watching television in their
house. Write a report in 150-200 words.

A BROAD DAY LIGHT ROBBERY

Three unidentified armed youths robbed a businessman’s house in Sundar Nagar yesterday at
about 2 p.m. when the family was watching television in their drawing room.

It was learnt that they entered from the back door, cut off the telephone wires and bolted the
doors of the drawing room from outside. Then they entered the bed rooms, broke the locks of
chests, safes and almirahs and carried away cash and jewellery. The maid servant, who was
cleaning the kitchen, noticed strangers moving about suspiciously. As she opened her mouth
to shout, one of the robbers hit her on the temple with the butt of his revolver. She fell down
unconscious. In the meanwhile, the robbers drove away in the Ford Ikon car of the
businessman.

The maid servant is the only eyewitness in this case of broad day light robbery. The police is
investigating the case.

Assignment

1. You are Sweety/Suresh of L.M. Jain School, Ajmer. As Secretary of your School Co-
curricular Activities Club, you visited a slum area in your city where the people suffered
a great loss of life and property in a massive fire. The students of your school rendered
their services and material help to the victims. Write a report in 100-125 words for your
school magazine.

2. Rishikesh is popular in India for its river rafting. A well-known rafting guide gets
drowned in the river after saving six Delhi tourists. As a reporter for a local daily, write
a report covering this rafting mishap using the hints given below. (120-150 words)

Raft carrying 6 tourists, turned turtle- all six saved by Kumar Pathak, well-known
rafting guide with 20 years of experience- managed to reach the river bank- rushed to
government hospital- declared dead on arrival- asphyxiation- government announced
bravery award
