2. Complete
a. All necessary information is included.
b. Does it answer all questions?
c. Make sure about others know.
d. Ask yourself the WH questions.
e. Highlight on the action (clear about action no interpretation).
f. Have it idiotproof (ask someone to read through it).
3. Concise (to the point, crisp, fewer number of words)
a. Least words delivered in less time.
b. Simpler words and sentences.
c. Meaningless words (Due to the fact(because), feel free to, I’m
writing to inform (note that), I’m happy to inform you).
d. Stock phrases
i. “If have any further clarifications, reach out to me/ don’t
hesitate to contact me” – no need to write this sentence.
e. Smothered verbs – convert verb into noun, used to lose
conciseness.
f. Fillers
i. Adding unnecessary phrases.
g. “Imagine that you’re being charged for every word you use.”
4. Clear (Message makes sense for both side)
a. Jargons- technical terms, avoid using it.
b. Logically
c. Metaphorical
d. PAC- purpose action consequence (why how what)
5. Conversational
a. Common language is used.
b. Would I say this if I was face to face.
c. Can’t be casual about it.
6. Correct
a. Is the info being accurate is clear or clarified the data.
b. Accurate and professional
i. Name
ii. Mechanism (please add you are (you’re) name).
iii. Punctuations
7. Coherent (ideas and points are connect)
a. Transitional word (if it so, there is so etc)
b. Connective story (starting and ending should make sense)
c. Cause and effect
8. Credible
a. Is the source correct? – source should be identified.
b. Size should be correct.
c. Validity
d. Biasedness
e. Relevancy (Is data relevant to the question?)
9. Concrete (specifics to the topic)
a. Unspecific word
b. Multiple meaning
c. Vague word (solid and clear)
