MBENGWI FROM FEBRUARY 5st to the 3rd of MARCH

TYPING OF REPORT:

The report is written on one side of the paper (Recto), with a line spacing of 1.5 and using only one type
font (TIMES NEW ROMANS) with font size 12. Between paragraphs the Line spacing will be 2.

The left Margin must be 3cm, and the right margin 1.5cm. The top and bottom margins are 2cm. The text
will be justified to the left and rugged on the right.

All the words and expressions borrowed from foreign languages will have to be underlined or Italized
(regarded as foreign language other than that employed in the drafting of the report)

PAGINATION:

The parts, chapters and subdivisions of the chapters must be clearly indicated, by using the decimal
system preferably. Each chapter will have to start on a new page. The preliminary pages must be
numbered in Roman numerals while the rest of the text must be numbered in Arabic numerals.

DIFFUSION OF THE REPORT:

The student will turn inn 2 copies (one for the student and another for the school) of the report to the
College of Technology, at the Internship office, for dispatching to the various departments of the College
for evaluation.

The outline comprises of many headings arrange in succession as follows:

 Cover
 Title page
 Acknowledgements
 Dedication
 Table of content
 Froward
 List of Tables
 List of Figures, Maps, and photographs
 List of Abbreviations, symbols and Initials
 Body of the text
 Bibliography
 Appendices

1. Cover Page:

Use hard paper for the cover page and FOLLOW THE FORMAT GIVEN IN THIS GUIDE.

The color of the cover is Brown (year 1 only), Yellow (Year 2 only) and white (year 3) for the front and
back.

The page must show from top to bottom as shown on the cover of this guide:
 The name of the university and the establishment offering the training.
 The logos of the university and the establishment offering the training.
 The department
 The title of the report
 The name and registration number of the student
 Name of supervisor and
 Year of drafting of the report
NB: Students must follow this format for the schools report. If the enterprise/company requests
for a copy with her format, do it for the company following their format. The report for the school
must have the format of the school.

2. TITLE PAGE

This page contains exactly the same information as on the cover page.

However, this is given on ordinary A4 white paper.

3. ACKNOWLEDGEMENTS

It is courteous to acknowledge the assistance of anyone who has helped you in the study. This is
particularly so in the case of someone from outside the university who would not normally expect to be
involved in the university work.

4. DEDICATION

The student here chooses to whom the drafted report is dedicated.

5. TABLE OF CONTENT:

The table of content shows the list of all the parts, chapters and paragraphs of the document, including the
corresponding page numbers. It must contain details in its titles as those contained in the text.

The table of content fulfils two functions:

1. It provides a useful summary of the contents of the thesis for those who want to know whether or
not to spend time reading all of it.
2. It provides a guide to the rapid location of particular elements in the report.

The table of content should therefore, consist of at list the main headings, which should be descriptive
with the appropriate page numbers indicated. Sub-headings should be indented under the main headings,
again with the page numbers indicated.

6. FORWARD:

In the forward, the challenges and difficulties encountered during the internship period are elaborated.
This difficulties and challenges paten to the intern and his/her work, but not the problems of the enterprise
or the company.
7. List of Figures, Maps, and photographs
This is the list of figures (organogram, graph and chads), maps, and photographs found in then report.
The pages must be indicated like those on the headings of the table of content. In the report, the
figures and maps are numbered and titled bellow, while the tables are titled and numbered above.

All the abbreviations in the text must be listed here with their full meanings. List of abbreviations
must not indicate the different pages where the abbreviations are found

Define and briefly talk about the purpose of the internship; importance, and state your objectives for
internship (main and specific objectives).

TO EXPLAIN:

Foreword:

The forward is the personalized part of the report. It is in this part that the author must give a report on the
difficulties encountered during the execution of the work, from data collection in the field to the write up.

List of Tables, Figures, Maps, Photographs and a Appendices:

It is necessary to give the complete lists of tables, figures, maps, photographs and appendices contained in
the txt, with indication of the page where these documents appear in the text.

These lists are also intended to help the reader find his or her way to these elements in the report quickly
and easily. ALL tables and figures should be listed with page numbers indicated. These should be
separate lists for tables and figure with each starting on a new page.

Many writers find the devising of brief but accurate and descriptive titles for tables, and figures quite
difficult, so do not be discouraged if you do. You should be prepared to spend more time on this part of
the task than you might have expected.

List of Symbols, Abbreviations and Acronyms:

It is not necessary to produce a list of all the symbols and abbreviations used in your report. However,
when you have used symbols or abbreviations which are peculiar to your report, or where your use of
standard symbols or abbreviations has deviated from normal practice, you should list them and give an
interpretation of them as used in your work with the units.
General conclusion and Recommendations

Conclusion is the natural outcome of critical discussions and are an essential part of all theses even if the
possible conclusion, which can be reached, is that no conclusions can be drawn from the study.

There is a clear distinction between conclusions and comments on the significance of results such as one
might find under the critical discussion as outlined above. True conclusion: though they may have to be
followed by qualifying statements on the conditions under which they hold need no comment. The acid
test of whether a candidate has really learnt from his research work is whether or not he can separate out
the conclusions from the comment.

It is desirable to list the conclusions to correspond to the list of specific objectives in the introduction.
Every specific objective listed in the introduction must have at least one conclusion. There are two types
of recommendations;

 Recommendation on improving a system and


 Recommendation for further work.

Generalities:

This part is important because it helps the less specialized reader to understand your work. It should
contain information which is easy of everybody to access from elementary documents, duplicated notes,
general reviews, etc.

Bibliography: all citations in the text must appear in the bibliography and in alphabetical order. The style
for citation varies slightly depending on its nature using APA (American Psychological
Administration) format as follows:

 Published papers and journals

Name(s) of author, year, title, institute, place of publication, page(s)

 From a book

Name(s) of author, year, titlte of the book, place of publication, volume/edition, page(s)

 Etc
