Introduction

TMS booking is applicable only to Non-Exempt Associates in USA. Non-Exempt associates are
required to book their time in BOTH TMS and iTime. Time Management system (TMS) capture
the total working hours of Non-Exempt associates through Punch IN & OUT.

If there is any extra hour clocked, then the same will be shared to HRSS for payroll processing.
Non-Exempt associates are required to get prior written approval from their LTIM Manager
/Supervisor before extra hours working. All Punch IN & OUT should be approved by reporting
manager on daily basis or before the TMS lock.

Scope
➢ Allow all Non-exempt associates to capture Punch IN & Punch OUT
➢ Allow Non-exempt associates to Normalize their timecard details for the missed Punch
IN or OUT days
➢ Allow reporting manager to approve Punch-IN & OUT on daily basis
➢ For all approved Punch IN & OUT details, Overtime hours to be computed as per the
Federal & State guidelines and submit to HRSS

Login Instructions – Non-Exempt Associates

a) Login to iTime (https://itime.ltimindtree.com)

b) After successful login, iTime home screen will appear as below.

Click on TMS option in home screen.

Punch In/Out

a) Click on TMS option

b) To Punch in Click “IN” option


c) To Punch Out Click “OUT” option.

Note:
➢ Associates should take minimum 30 mins duty free meal break once in 5 hours/day
➢ TMS will NOT compute the hours for a day,
a) If the associates have not taken 30minutes mandatory break for work more than 5
hours in a day.
b) If the associates do not clock the IN - OUT sequentially.
c) If the associates leave the day without Clock OUT (i.e., Having only Clock IN).

View Clocking Details

a. You can view Clocking Details as shown below

It shows day wise Clocking Details and associates also has an option to normalize the
hours clocked in TMS. Normalization of hours can be done for modification of timesheet,
missed clocking timesheet.

Note:
a) Normalization of hours can be done for modification of timesheet, missed clocking the
timesheet.
b) Associates can normalize their timecard for both previous and current pay period.
c) 30 Minutes meal break should be in sequence (i.e., IN – OUT – “meal Break”- IN – OUT)

Normalize the timecards for current pay period

a) Associates can normalize their timecard till last day of the current pay period and before
the end of first day of next pay period.
Example:

Pay period From Date To date

Current Pay period 13-Sep-23 26-Sep-23


Next Pay period 27-Sep-19 10-Oct-23

i.e., For the current pay period (13 Sep to 26-Sep-23), normalization will be allowed till
the end of first date of following pay period (i.e. till 27-Sep-23). TMS will get locked on
28 Sep 2023 at 12:01AM PST, beyond which TMS timesheet cannot be booked or
normalized for the pay period 13 Sep to 26 Sep 2023

b) Timecards can be Normalized only for past dates (I.e., you cannot normalize timecard
for today’s date)
c) Timecard should be clocked in sequence (i.e.) (IN-OUT-IN-OUT)
d) Every day associates should enter two Punch IN and Two Punch OUT entries with
minimum 30 mins duty free meal break once every 5 hours/day.
e) Clock ‘IN’, without Clock ‘OUT’ in a day will not register the timecard for the day. Hence
it will have an impact on extra hours computation.
f) Once TMS gets locked, associate cannot book the timesheet or normalize the hours for
the ‘previous pay period’.
Steps to Normalize the TMS timesheet:

Following are the steps to normalize the timecards for current pay period.

a) In Clocking Details

b) Click on “Normalize”

c) Select IN Time & OUT Time


d) Click on “Save”
Steps to edit the Punch IN / OUT hours (before system lock)

a) Click on Normalize option.

b) To edit clock details, click on the action button shown below

c) Select IN & OUT time that needs to be normalized and click on Update button to save
the modified timecard.

Steps to approve / reject the users Timecard request.


Immediate Reporting Manager in HRMS is given the access in TMS to approve or reject the
timesheet.

Click on Action Menu in home screen.

Click on USA Clocking

Select the name from dropdown


Select the dates and click on “Approve”.

To reject, select the dates and click on “Reject”.

Give reason for rejection and click on “Ok”.

If Manager has not approved the associate’s timecard before the ‘TMS system lock’, then all
the pending timecards for that pay period, will be auto approved on Second day of the
following pay period.
