CHAPTER ONE

1.1 History of the Organization


The University was founded through Harambee Spirit on 5th Jan 1992 as Western College of Arts
and applied Sciences (WECO) under the stewardship of the former ferry Mp. Masinde Muliro.
As chairman of the project executive committee, Muliro worked with Prof. Reuben .J> Olemo
(then head of Department of Botany University of Nairobi) as secretary.

The establishment of the college was in response to the need of the people of western province to
the college that would provide a training ground for technical manpower requirements for the
province and the nation. The college was also expected to inculpate a sense of active
participation of youth in national development.

The first batch of 24 students who were drawn from all parts of the county joined on March 24
1977 and enrolled for certificate and Diploma courses which included Mechanical and Motor
Vehicle, electric, electronic, Agriculture, water building, Architecture, Accounting, Finance etc.
In Dec 2002, WECO became WUCST (Western University College of Science and Technology)
After being elevated to a consistent college of Moi University, Early 2007, president Kibaki
Elevated WUCST to a full University Assenting to a bill which aslo changed the name to
MMUST (Masinde Muliro University of Science and Technology)

2.2 ICT DEPARTMENT ROLES


i. The ICT department is responsibl for the following activities.
ii. It is responsible for configuration, installation and learning and maintenance of ICT
Technologies in the University.
iii. It is tasked with providing technical support including security development of ICT
systems.
iv. Troubleshooting hardware and softwares in the University computer and other
technology of mass communication.
v. Maintaining and administration of Network systems, server environments and user back
up of all computers.

vi. Analysing of ICT requiremnets and processes.
vii. Responsible for database management, maintenance of the university system.
viii. Prepares and maintains technical systems documents and user manuals.
ix. Installation of software and updates releases and patches.
x. Manages local Area network (LAN) and Wide area Network (WAN)

CHAPTER THREE

3.1 Appointments
The employer makes an advertisement in this case Masinde Muliro University for a given
position. Applications for the advertised job positions are then submitted to the advertised job
positions are then submitted to the employer after which only shortlisted candidates are
welcomed for interviews.

For already employed staff, an employee can seek for promotions to higher positions that he/she
seems fit.

Through the Human Resource department, the staff submits relevant documents for the said
purpose and awaits for further communication from the University Management.

Background check on all can didafer is done and may affect the appointment of a person to a
given position given the weight of the collected information and whether it questions ones ethics
judgment or code of conduct.

All appointments done in the University are forwarded to the Ministry of Education in the
County level and documented as the University is a government body and governed by laws and
regulations.

3.2 Plans Description and Capacity


Masinde Muliro University is a high Volume tertiary Institution and also one of the most budget
universities in Kenya.

The University has a capacity of over five thousand students and an occupancy of 300 percent.

On average 3000-4000 students and workers per day. They pffer school based and regular
studies.

3.3 Technology Used


In my line of duty, I did observe the importance of the institute management information
systems. (IMIS) Funsoft.

Funsoft works in the Java environment. The IMIS system has logins for each user with
restrictions as defined by the system administrator. Funsoft is highly intergrated and captures all
data in the Institute.

Students data is kept well since there is strict login no each students portal at the university.
Controlling of staff is also easy using Funsoft.

With access to Faiba, the Institute has Unlimited net accessible to students and staff.

The ICT department has a clear workload of maintaining free flow of services that is Funsoft,
Net, CCTV surveillance, maintaining all hardware, advertisement and more so record keeping in
collaboration with the records department.

The database systems generate reports on patient data, revenue collection, stock inventory, staff
date etc.

3.4 Working Conditions


Working in the institute with a large capacity of people requires one to be generally principles as
you miught end up being a patient in the hands of students since they might see you as a fellow
students.

WORKING TIME

In a day to day activities in the intitute as an attachee, I was to report to work by 0800 hours and
exit by 1700 hours. There are constant breaks in between for lunch work fro attachee was within
the working days tht is Monday to Friday.

OFFICE

Each department has its office and specified locations. I was allocated at the Lab with several
computers where students used to attend their lessons.

Dressing code in the work place was to be by standard as stated by my firm supervisor.

Allocation of tasks and movement in and out of the ICT department was per the supervisors
control. Upon any given tasks, safety came first and one had to put on a badge or a name tag for
clear identification. Due to the Covid-19 pandaemic social distancing was key to avoid
congestion in limited spaces. In line with this, our supervisor would issue tasks in groups of four
students.

Departmental Correlation

Office etiquette was mandatory when performing our tasks as in most cases we would have to
interfere with normal operations in the institute. The tasks were to be completed with due
diligence of time for the normal operations to continue.

Fieldwork; required to climbing yo reach Ethernet cbles, CCtv cameras among others. We would
access these tools from the maintenance department and upon completion return the give tools.

3.5 Safety Measures
Wearing of rubber shoes or closed flat shoes in the work place for enhanced foot grip especially
during fieldwork. (Networking) Wearing gloves in the labs since one may come into contact with
areas touched by enterprise due to Corona pandemic.

Cleanliness in our work area ensued we are not prone to infection having exposure to many
operators in the labs.

A lab coat was mandatory especially during fieldwork to protect clothes from being damaged.

Keeping hair short and neat or plaited or tied while in the work place was another safety measure
while in the work place.

An insurance cover letter was mandatory as accidents do happen and may necessarily receive
refunds.

CHAPTER FOUR

4.1 Input to Firm


ICT Input

In my line of duty as an attachee, I did encounter data entry in excel worksheet software
package. We would compute averages, totals among other statistical analysis in excel.

SERVICE DELIVERY

I do believe in my strength to serve mentality that ensured there is a fast response in duty.

My passion is in doing what I love and within the given timeline. Teamwork has been an agenda
in work and we have been where we need to be at the stated time and ina professional manner.

4.2 Challenges Faced by the Firm


The ICT department office has limited office and is located in a not strategic position in the firm.

Delay in the acquisition of supplies from the suppliers thus creating lack of of enough materials
such as windows software to be installed made our work effective.

Most of the computers are not equitted with fansy services and other technologoies equipment
slowing down learning.

4.3 Gained Experience in the Firm


I managed to acquire the following skills;

Planning.

Planning is never an ending process.It is the beginning of managemet planning a deciding in


advance what will and will not be in the next minute, hour, day, month, or year.

Planning therefore is having a specific objective or purpose and mapping out a method
beforehand. When planning one needs to consider the seen and unseen factors and keep in mind
that all factors influence one another.

ORGANIZATION

Organization refers as the structure that designed to support organizational process. It is


important to design organizational structure that will respond to charges.

CONTROLLING

Means measuring and connecting the performance of employee to ensure that the planned
objectives of an organization are reached. Controlling involves the regulation of activities so that
some targeted cement of perfoemance remains within acceptable limits. It also guides activities
and assures certain minimum standards.

DELEGATING

Is the process through which responsibility and authority for performing task function or
decision is transferred to another individual who accepts that authority and responsibility
although the delagets remains accountable for the task, the delegate is also accountable to the
delegates for responsibility.

TECHNICALLY

Using Technology in the Institutes, incures many technical problems whioch require a quick fix
from someone with adequate technical skills.

PROFESSIONALISM

As an ICT student I did manage to put into practice most theories on networking as learnt in
class. Practical hands on skills on terminating Ethernet cables, setting up routers, server
operations, ODEL database management system among other that I have gained in the field.

CHAPTER FIVE

5.1 Conclusion
The period of industrial attachment within the University was an immesurable valuable
experience which natured me as a student into a more capable professional.

This training has helped me to gain enormous technical Knowledge and Insightful experiences in
a real working environment.

5.2 Recommendations
The Institute should realize that ICT is a major sector in its operation and shold allocate the
department with a larger room to house both the technical and Administrative aspect of ICT.

The institute shuld review the supppliers and select only those who work on a given timelineto
avoid unnecessary delays in delivery of ICT items among other items in the university.

The ICT Department should hold at least two days per month to offer general sensitization of
staff on the use of the ODEL services among other ICT related items in the Institute.
