Project Description:
In a clinic, it is important to have well-defined processes that prioritize patient care and
workflow efficiency. By focusing on these areas, a clinic can ensure that all operations run smoothly and
effectively. However, in today's fast-paced healthcare landscape, this can only be achieved through
digitized systems and advanced technology. Traditional methods such as paper-based or manual
record-keeping, appointment scheduling, and billing are inconvenient, time-consuming, and prone to
errors. With a digitized system, a clinic can not only overcome these challenges but also improve the
experience of both their patients and staff.

The Web-Based Patient Management System with Appointment and Billing Integration for the
Sweet Tooth-Dental Clinic is an online platform that aims to streamline the administrative processes of
the clinic. The project aims to build a platform that will ease daily tasks, such as retrieving patient
information, scheduling appointments, and processing payments, to foster smoother transactions and
deliver higher-quality services. The system can be accessed online, allowing patients to schedule dental
appointments from their own devices and allowing staff to monitor patient records and make updates in
real time easily. By implementing this platform, the clinic can increase efficiency, reduce administrative
workload, and enhance overall satisfaction.

Objectives:
General Objective: To develop a Web-Based Patient Management System with Appointment and
Billing Integration for the Sweet Tooth-Dental Clinic that streamlines clinic operations such as
record-keeping, appointment scheduling, and billing for both patients and staff.

Specific Objectives:
1. To develop a system that has a user-friendly interface for the admin, staff, and patient.
2. To develop a system that allows admin and staff to monitor patient records.

3. To utilize a system that securely handles and stores patient records.

4. To develop a system that enables patients to schedule their own appointments and
avoid waiting room time.
5. To conceptualize a system that notifies patients of upcoming appointment schedules to
reduce no-shows.
6. To develop a system that allows admin and staff to process payments online.
7. To generate a system that enables admin and staff to view all patient transactions made
within the clinic.
8. To develop a system that provides basic patient reports and analytics for the admin.

Scope and Delimitation:

Scope:
1. The system has an intuitive user interface that allows for simple navigation by users.
2. The system allows admin and staff to view, update, sort, and search for patient
information, as well as check for upcoming appointments.
3. The system incorporates security protocols such as login mechanisms, multi-factor
authentication, and user authorization for admin and staff.
4. The system enables patients to pick their preferred date, time, branch, and attending
dentist when scheduling an appointment.
5. The system sends appointment details and reminders to patients via email once their
schedule has been confirmed.
6. The system can process payments and generate accurate e-invoices that contain the
patient’s name, contact information, and the list of dental services and treatments they
availed.
7. The system has a module that allows admin and staff to search for and view a patient’s
complete appointment and billing history within the clinic.
8. The system utilizes data visualization tools, such as charts and graphs, to help the admin
track daily, weekly, monthly, and yearly patient admissions.

Delimitations:
1. The system cannot be accessed without an internet connection.
2. The system does not serve as a comprehensive dental clinic management system that
handles tasks like payroll, pharmacy, and inventory management.
3. The system does not allow the printing of receipts.
4. The system does not offer advanced reporting features or in-depth financial analysis.
