GENERAL REPORT

TEAM: ANFHN
Date: 03 OCT 2024
Location: LIEN VIET LOGISTICS JOINT STOCK COMPANY - Lot CN2.4 & KB4.3, MP
Dinh Vu IZ, Dong Hai 2 Ward, Hai An District, Haiphong city, Vietnam
I/ Container yard
- Overview: Storage location for empty containers include refrigerated containers, with a total
area of 12 hectares.
- Arrangement: Containers are stacked to (e.g., 3-high, 4-high, 5-high) to optimize space. Aisles
are designed for easy movement of forklifts and trucks.
- Handling Equipment:
Reach Stackers: Lifting capacity (e.g., 45 tons) and stacking capability (e.g., up to 5-high).
Forklifts: Used for smaller or empty containers (e.g., side shifter forklifts with 8-ton capacity).
- Safety Protocols:
Access control: At security gate, drivers need to provide related documents such as Driver’s
name, ID card, truck sheet and some needed inquiries to be allowed entry. After entering the
warehouse, the driver will be assigned to a specific gate for delivery and must comply with all
regulations set by the warehouse to ensure safety and accuracy during the delivery process.
Worker: Must wear some personal protective equipments such as hard hats, safety vests, steel-
toed boots.
II/ Warehouse
1. Equipment and Technology
- The natural ventilation system allows the warehouse to maintain a temperature of 35 degrees
Celsius.
- Fire protection system: equipped with smoke detectors, an automatic sprinkler system, foam
extinguishers, and fire hoses.
-19 trained firefighting security staffs.
- Electrical lighting system.
- Surveillance camera system: High-resolution cameras are installed around the doors to monitor
activities continuously.
- a team for inspecting and certifying goods in the storage area.
2. Warehouse layout
2.1 CFS warehouse
The warehouse has an area of 9,400 square meters with a storage capacity of about 7,000
cubic meters.
The warehouse doors are arranged lengthwise and divided into two sides: the export side and
the import side.
The surveillance camera system is connected 24/7 to customs and is stored for a period of 6
months.
The CFS warehouse has an inside dock which to facilitate the efficient loading and unloading
of containers while providing a protected area for inspection, consolidation, and segregation of
import and export cargo. It ensures smooth handling and temporary storage of goods, aids in
customs checks, and organizes the transfer of shipments between containers and storage areas,
all while protecting cargo from weather conditions.
The cargoes on CFS WH import and export out of WH within a short time, even if on the
same day, cargoes will be handled easily if placed on the ground and it save time for the driver.

2.2 Two-sectioned warehouse

III/ CFS Warehouse Operations


1/ Receiving cargoes produres

Required Submit documents on time (Truck Sheet, LCL booking, Customer


documents Declaration, Packing List)

Check the appearance of the cartons (Carton intact, no deformed/wet/dirty/torn


cartons)
Check (if required by agreed procedure) the PO#, Style# between Booking note
& Shipping mark/ Label on cartons
Ensure the factory’s pre-sorting adapt with booking note’s requirements.
Tally the carton.
Check the cartons measurements. This important job requires re-measuring
Check cartons at its biggest dimensions. Re-measuring must be per carton size. For
actual example, a PO has 3 different sizes will require 3 re-measuring. It is not possible
cargoes to calculate just by the biggest carton size.
Take pictures of outter appearance of cargo by PO. If any abnormities found,
contact immediately with Forwarder. Send OSD Report (Overage – Shortage –
Damage report) with pictures to Forwarder within 24h after cargo receiving.
Do sorting per PO/ Item in accordance with forwarder’s requirement, if any.
Complete Cargo Receiving Notice by forwarder’s format (if required), which
shows Factory name, PO/Item, actual number of Carton/ Weight
Require the cargo delivery party to check and sign the Cargo Receiving Notice
after receiving is done; 1 copy shall be handed to the delivery party, and 1 copy
will be kept as record at warehouse.
2/ Loading cargoes produres

Pickup container Based on SO, Warehouse staff will arrange to pick up


container and stuffing cargoes on container

Load cargoes into container by PO sequence in


accordance with forwarder’s CLP. After finishing each
PO, take a picture of that stuffed PO. The set of pictures
Stuffing cargo shall also include different loading stages: empty, half-
loaded, full loaded.

and gate in CY at the nominated port

3/ Deconsolidation (import cargoes)


+ The warehouse, authorized by the freight forwarder (FWD), retrieves containers,
deconsolidates the cargo, and delivers the goods to the real cargo receivers (as designated by the
FWD). When the real cargo receivers arrive to collect their goods, they must pay any related fees
(such as storage fees, handling charges, etc.).
+ The container is brought to the import door area, where the cargo is deconsolidated. After
that, the goods are numbered and placed in the storage area, with their location recorded in the
warehouse management system. When a receiver presents the required documents, the
warehouse manager can look up the exact location of the goods in the system, and warehouse
staff will operate the equipment to retrieve and deliver the goods to the receiver.
4/ Consolidation (Export cargoes)
+ CDS sends the booking -> the transport company picks up the container -> -> transports the
goods for loading, and the tally clerk will list the orders to ensure that all orders are fully loaded.
When receiving goods, cross-check with the factory (booking number, PO number, truck sheet).
The truck sheet is a document that specifies which PO a particular truck is carrying and the
quantity, serving as a basis for receiving goods (when an order requires more than one truck,
the transport company always requires a truck sheet) to avoid time-consuming sorting of goods.
