Purposive Communication

HOMEWORK:
1. Face-to-face Communication
ADVANTAGES:
1. Effective communication
Face-to-face communication is effective as it includes facial expressions also.
2. Instant feedback
Face-to-face communication gives instant feedback. Doubts and misunderstandings are cleared on the spot.
So immediate feedback.
3. Informal and direct
Face-to-face communication is simple, direct and informal. The impact of face-to-face communication
increases because of Participation and team spirit.
4. Confidential
In face-to-face communication, all secret and confidential matters are revealed to the trusted person
privately.
5. Delicate situations
Face-to-face communication is very useful to handle delicate situations like strikes by employees, rivalries in
groups, tensions in a family, etc.
6. Useful for interviews
Face-to-face communication is used to a good advantage in job interviews, general interviews of public
figures and also for on-job-training.
DISADVANTAGES:
1. Unsuitable for some people
Face-to-face communication may not be suitable for people who are nervous or poor communicators.
2. Unsuitable for large audiences
Face-to-face communication is not possible to establish a proper rapport with a large group, through face-to-
face communication.
3. Unsuitable for large organizations
Face-to-face communication is unsuitable for large organizations as they have branch offices located at
different places and even in different countries.
4. Not accountable
Face-to-face communication is difficult to hold someone responsible or accountable for something spoken
face-to-face.
5. Low legal and reference value
Face-to-face communication is oral; no written records are kept so it cannot be quoted in the court of law.
6. Poor retention by listener
In face-to-face, the communicator can speak at the rate of 100 to 200 words per minute, while the listener's
brain can process about 600 to 700 words per minute. The result is that the listener's mind wanders and he
does not grasp all the message of speaker.
2. Video Communication
ADVANTAGES:
1. Reduces travel costs
It’s no big news: traffic is terrible, especially during rush hour. This makes traveling time longer and more
expensive. Video conferencing greatly reduces your travel costs. With video conferencing, you don’t have to
leave the office to be able to talk to your clients, even overseas ones.
2. Improves communication and engagement
In the age of digital advancement and artificial intelligence, people crave the human touch. And while it’s not
as good as in-person communication, video conferencing still enables face-to-face interactions, giving a more
personal touch than just via phone or email.
The ability to share documents and other materials live is also one of the advantages of video conferencing.
This feature allows for more open discussions
3. It’s free
One of the best advantages of video conferencing? It’s free! There are a lot of video conferencing sites and
software that allow you to avail of their services for no cost at all. Should you wish for more features than
the free ones, these services also allow you to upgrade for a certain fee, depending on what you need.
Despite how many news and articles come out about how the rapid advancement of technology is
threatening, technology is also your friend. If you knew about a technology that can make your job easier
with little to no cost, why not use it? Video conferencing is exactly that.
DISADVANTAGES:
1. Technical issues
Video conferencing is dependent on internet connectivity and network, which can be hampered by issues
such as bandwidth limitations, connectivity issues, or hardware failures. Technical issues can disrupt or delay
the conference, causing participants to become frustrated.
2. Personal interaction
Video conferencing may lack some personal interaction and social cues that face-to-face meetings provide.
This can make it more difficult to establish relationships and build trust among participants.
3. Security concerns
Video conferencing can raise security concerns, especially when discussing sensitive or confidential
information. Implementing appropriate security measures, such as strong passwords and encryption, is
essential.
4. Cultural differences
These differences are seen in communication styles and expectations, making it difficult to establish rapport
and understanding between participants.
5. Costs of hardware and software
Video conferencing equipment and software can be costly, especially high-end systems with advanced
features like screen sharing and document collaboration.
6. Learning curve
For participants unfamiliar with the technology, video conferencing may necessitate some training or a
learning curve. This can be time-consuming and may have an immediate impact on productivity.
3. Audio Communication
ADVANTAGES:
It can reach more people since it relies mostly on telephone lines. It is easier to use
since it takes advantage of a technology that is relatively familiar to all of us.
Furthermore, we can enhance it by combining communication lines with other mediums
such as computers. Audio conferencing has a great potential for larger groups to
conference in and the technology used is fairly reliable. Audio conferencing is also very
accessible and consumes lesser time to set up.
DISADVANTAGES:
Audio conferencing transmission may be of poor quality at times since it relies on
phone lines. Noise can affect the conversation and may even cut the host out. Also, the
presence of a facilitator is needed especially when a conference consists of a large
number of people. This communication medium does not support visual images so the
participants of the conference do not actually see each other. This kind of setting may
be a little impersonal since you cannot see and understand the body language and
cues of the people you are talking to.
4. Text-Based Communication
ADVANTAGES:
Emails, social media (Facebook, Instagram, Snapchat, etc.), texting platforms like
iMessage, and even digital fliers and images, we don’t have to wait for the mail to get
our point across a town, state or country. If a fast response is required, texting is able
to speed up the process. We may no longer have to rely on the mail to tell the family
about important life events or emergencies. On the other hand, text messages can be
opened at the recipient's convenience without intruding on whatever they're doing
when they receive the message.
DISADVANTAGES:
Elementary students are now more comfortable with a keyboard than they are with
writing on paper. This is alarming because many physical documents still require a
written signature. Another concern when it comes to the lack of mailed letters is that
not everyone is able to communicate through text. Some older folks grew up sending
letters through the mail, so that is what they are most comfortable with. It can make
their day to receive a special handwritten card or letter, but young people don’t even
seem to consider this anymore. Another concern is that we tend to text even in
situations where we’d be better off calling or talking in person. Again, our older crowds
don’t always understand how to use a cell phone or computer. This limits the people
you’re able to talk to via text message. We’ve all been in a situation where we never
received the answers, we needed from someone via text message. Sometimes, it can
just be better to call. Hearing someone’s voice, tone and opinion in a live and more
engaging setting may contribute to your opinions on the conversation. Additionally,
sometimes it is better to call someone during an argument. Texting often lacks the
ability to show sarcasm and anger, and you may even find yourself thinking the person
is madder than they actually are.
