1 Introduction
These Release Notes provide an overview of Extended ECM CE 22.2, including new features,
delivery information, and supported platforms.
OpenText recommends that you read these Release Notes in conjunction with the documentation
included with the software package. If any conflicts exist, the Release Notes supersede the other
documentation.
We also recommend that you check OpenText My Support (https://support.opentext.com) for any
patches or documentation updates that may have been posted after the initial release of this product.

2 About Extended ECM CE 22.2
This section provides an overview of Extended ECM CE 22.2.
The product family of Extended ECM is a leading Enterprise Content Management (ECM) system,
managing the information lifecycle across the enterprise, from capture to archiving and disposition.
It can be integrated into various business applications such as SAP S/4HANA, SAP SuccessFactors,
or Salesforce, has deep integration into the Microsoft 365 collaboration suite and supports many
different business processes with out-of-the-box Business Scenarios as well as tailor-made
applications that can be developed or customized with Extended ECM.
Extended ECM offers different deployment options, ranging from installation directly on physical
hardware, virtual machines to modern, cloud-native deployments using Docker images and Helm
charts on Kubernetes platforms such as Microsoft Azure, Google Cloud Platform, and AWS.
OpenText Extended ECM Cloud Edition is the equivalent private cloud service offering which can be
considered as an alternative to customer-managed deployments.

2.1 Simplified software delivery


With release Extended ECM CE 22.2, we have simplified software delivery and installation. What was
previously installed separately has now been consolidated for Content Server. Independently, whether
you have licensed Content Server, Content Suite Platform, Extended ECM Platform, Extended ECM
for Microsoft Office 365, Extended ECM for SAP Solutions, Extended ECM for SAP SuccessFactors,
Extended ECM for Salesforce, Extended ECM for Engineering, or Extended ECM for Government,
you get the same Content Server.

Content Server combines related products, modules, and components in one installable software
package. There is no need to identify, check compatibility, check availability, and install modules
individually.
By consolidating and simplifying our Content Server delivery, we expect to provide a clearer view of
all the capabilities and opportunities Extended ECM can bring to you and your business.
You will find these capabilities as structural elements in this Release Notes document, as well as in

Extended ECM for Government
License term for the AppWorks Platform Dynamic Workflow.
The use right of the AppWorks Platform with Extended ECM for Government is limited to the dynamic
workflow. The compliant use of the limited AppWorks Platform license can be checked by verifying the
deployed solutions. For this, the AppWorks solutions “OpenText Dynamic Workflow,
OpenTextEntityIdentifyComponents, OpenTextInboxTaskManagement” must be deployed. Other
workflows except the deployed solutions require a full-use AppWorks license.
The use of external REST API from AppWorks (e.g. to integrate 3rd party applications) requires a full-
use AppWorks license. Customers are licensed to use the internal REST API from AIB (AppWorks
Integration Bridge) within Extended ECM for Government (e.g. to create WebReports).
Configuration changes to the AppWorks Dynamic Workflow like adding additional task types,
additional attributes for tasks or workflow can only be fulfilled through the OpenText Professional
Services team.
Documentation.

What has changed for you? After installing Extended ECM – or upgrading your system to CE 22.2 –
your installation is a complete Extended ECM system. For a complete list see Packaging and
documentation.
What does it mean for your license agreements?
Your license agreements and license keys will determine the allowed use of the software. Additional
functionality may be accessible to you. However, your license agreement with OpenText remains
applicable and you are eligible to use only the features that are part of your license plan. For more
details see Note on the End User License Agreement.

Document management
2.3.1.1 Accessibility
Support Windows Operating System - High Contrast Mode settings: Windows Operating System
provides High Contrast Mode settings. This is now supported in Smart View for dark and light themes.
High Contrast Mode is supported by many Standard widgets and pages in Smart View, for example,
the Favorites widget, Recently Accessed widget, Application header, Nodes Table Browse View.
Application Header Icons, Header Menu, Inline action toolbar, Mime type icons etc also support
rending in dark mode.

2.3.1.2 Efficiently work with Versions


Create Generation for a specific Version of an Item: It is now possible to create a Generation of a
specific Version of an item. Generations are used to make certain Versions of an item more visible
and accessible. Like a Shortcut, a Generation points to a particular Version of an item, usually a
previous Version.

2.3.1.3 Mobile App


Automatic Document Numbering (ADN): Improved handling of ADN Category Attributes on mobile
devices.

2.3.1.4 Permission management


User selection: Improved type-ahead search for the Smart View user lookup field.

2.3.1.5 Restructure content


Restructure: When responsibilities among departments have changed, use Restructure on selected
content such as eFiles and eCases to schedule a batch-process to efficiently move content to a new
hierarchy and manipulate metadata and permissions. Notification Center informs users about the
current process state. Grouped exceptions help users to remediate issues.
If Records Management is enabled, a “Records Management Status Codes” setting is available on
the Restructure Configuration Settings page. The “Records Management Status Codes” setting
prevents restructure on managed objects with a specific RM Status. For more information see the
Restructure help.
The inheritance of Records Management metadata for the Restructure action can be configured on
the Metadata Inheritance tab in Records Management System Settings. For more information see the
Configure Records Management Inheritance Rules help.

Note
Restructure is an experimental feature in 22.2. To use it, you must
enable it on the Deprecated and Experimental Features administration
page. For more information see the Restructure help.

2.3.1.6 Search
Manage Document Conversion settings without restart: To reduce the time needed to adjust
Document Conversion settings, you can now update Document Conversion settings without restarting
all the Document Conversion processes. The changes will take effect after they are saved. This
includes settings on the Configure Indexing Document Conversion page and the Document
Conversion Server for Admin Server page.

Business Workspaces
2.3.2.1 Document types
Outdated documents: Documents can be assigned a validity which is used to identify out-of-date
documents and display them in the header of a Business Workspace. This provides users with an
easy overview of what is missing and calls to action. The validity of a document is based on the
attribute “Date of Origin” in the document type details category. For more information see the
OpenText Extended ECM Platform: Integration and Configuration Guide.
Document Upload widget: A new Document Upload widget has been introduced to automate the
upload using document types. During upload, the widget provides a preview of the document as well
as a prompt to select a document type. As a prerequisite, this widget requires a Document Type Rule
configuration on the Business Workspace template. Single or multiple documents can be uploaded
into a Business Workspace using drag and drop. For more information see the OpenText Extended

2.3.2.2 Business Workspace creation


Business Workspace Template icon: To quickly find the desired Workspace Template, the
Workspace Type specific icon is shown before the template name in the side panel that can be used
to create new Business Workspaces.

Business Workspace name generation: When creating Business Workspaces, administrators can
form a pattern based on Attributes and texts to define a path where the Workspaces are located.
Attributes containing square brackets are now supported. This removes a restriction for business
application integration.

2.3.2.3 Related Business Workspaces


Related Business Workspace in Metadata widget: To make better use of the space in the
workspace Perspective, you can now show single Business Workspaces with a parent relationship
inside the Metadata widget instead of using the Related Workspaces widget. For instance, if you have
a sales order for a specific business partner you can show the business partner workspace in the
Metadata widget of the sales order workspace.

2.3.2.4 Transport of Business Workspace Smart View Perspective


Simplified transport of Business Workspace Smart View Perspective: If you import a Business
Workspace Perspective, the manual mapping of a Workspace Perspective to a Workspace

Perspective Folder is not required anymore because the Workspace Type ID was removed from the
Workspace Perspective Folder name. This simplifies the transport of Business Scenarios. For more
information see the OpenText Business Workspaces: Configuration Guide.

2.3.2.5 Business Workspace Perspective administration


Manage Global Perspectives: The new “Workspace Type” column on the Manage Global
Perspectives administration page simplifies configuration.

Business Process Library


2.3.3.1 Agreements Business Scenario
Completeness check: You can see when documents of predefined document types are missing. For
both Master Contract and Contract, the document types “Contract document” is checked.

Document Generation: You can create a contract document using Document Generation. A contract
document in the respective folder is also considered a mandatory document, which if not present is
indicated as a missing document in the workspace header. For more information see the OpenText
Extended ECM Platform: Integration and Configuration Guide.

2.3.3.2 SAP Enterprise Asset Management Business Scenario


Completeness check: You can see when documents of predefined document types are missing. The
following document types are checked:
• Equipment: Manuals, technical drawings, and warranties.
• Maintenance Order: Work instruction, analysis results.
• Maintenance Notification: Notification.
Metadata widget: You can now see important metadata in the collapsed view of all related
workspaces widgets on the Workspace Perspectives. To preview additional metadata without opening
the Workspace you can use the preview pane (flyout view) when hovering over any Workspace in the
Related Workspace widget.
You can see more information about documents in the Manuals tab in all Maintenance Order and
Operation Workspaces.
Team widget: To know who is responsible for specific assets or operating workspaces, the Team
widget was added to all workspace perspectives. To fill the Team widget with the right groups and
people you need to use the example coding and follow the instructions in the Customizing Guide. To
work with roles in already existing workspaces, you can use the function Update Roles at the
workspace instances.
Related Business Workspaces: You can see specific single related Business Workspaces in the
Metadata widget. To save space the Related Workspaces widget that previously showed these single
related Business Workspaces are removed from all Workspace Perspectives. You can see the related
workspaces in Metadata widgets of following workspace types:
• Equipment: Superior function location and equipment.
• Functional Location: Superior function location.
• Maintenance Order: Equipment, functional location, notification, task list.
• Maintenance Operation.
• Maintenance Notification: Equipment and functional location.

Viewing and transformation


2.3.4.1 Intelligent Viewing - complimentary features
Legacy annotation conversion: Users can convert legacy Brava! & Blazon annotations upon
viewing or transforming a document with Intelligent Viewing for Extended ECM. If a legacy annotation
had permission restrictions applied, security will be maintained by having the converted annotation
initially available only to the owner of the legacy annotation. This new functionality removes a critical
upgrade barrier for customers seeking to upgrade from legacy viewing and transformation solutions.
Annotation Tags: Annotations created with Intelligent Viewing for Extended ECM now have
three different classification options available for users to apply at the time of creating the
annotation entity. The tag type applied will determine what users are able to see and interact
with the annotation. “Public” is the default tag selection and makes the annotation available
for all users to see. Users can also select “Private” so that only the annotation creator can see
the annotation or restrict visibility to only specified Extended ECM groups.
Enhanced Annotation Details Dialog: The Annotations Details Dialog, which is presented
when a user creates an annotation entity with Intelligent Viewing, is now displayed as an
overlay which is centered relative to the workspace window rather than within the viewer
itself. This allows improved visibility of content while interacting with threaded comments
and annotation details. The Smart View modal design of the dialog prevents scaling conflicts
when working with various viewer sizes and provides the new options for application of
Annotation Tags.

2.3.4.2 Intelligent Viewing - premium features


Enhanced Multi-File Viewing error messaging: Improved error messages have been implemented
for scenarios where selected documents are not included as part of a Multi-File Viewing session. This
will help users identify which documents were not included and provide a detailed reason for each
individual excluded document.

Document Generation
Document Generation functionality is licensed only with Extended ECM for SAP SuccessFactors.
Document Generation can now be used with Business Workspaces as a data source. For each
Business Workspace Template you can extract the workspace-specific Attributes and map them to the
PowerDocs Attribute Structure. In PowerDocs, you design your documents, enrich them with the
metadata of the Business Workspace instance and save them into the dedicated folder of that
Business Workspace.

Integration with Microsoft Office 365
2.3.6.1 Microsoft Teams
Microsoft Teams integration functionality is only licensed with Extended ECM for Microsoft Office 365.
Existing Application Governance and Archiving (AGA) licensees will have access to newer AGA
component versions (AGA is a subset of Extended ECM for Microsoft Office 365) but will have to
upgrade to the Integration Service component and abandon legacy AGA components and web parts.
AGA licensees will need to upgrade to Extended ECM for Microsoft Office 365 to legally use any
integrations with Microsoft Teams and Microsoft Information Protection (MIP).

Content synchronization: The regular synchronization of files and folders between a Microsoft Team
and its connected Extended ECM Business Workspace allows internal and external users to
collaborate on the same content.

2.3.6.2 Archival Reporting for Teams and SharePoint (Integration Service)


The Integration Service component is licensed only with Extended ECM for Microsoft Office 365.
Database indexes have been added for the Integration Service to improve reporting performance on
archiving jobs for both Microsoft Teams and SharePoint.

2.3.6.3 Office Editor


A setting was added in Smart View to change the default priority of “Open documents as read-only
with a promoted editor handler, such as Office Editor” when clicking a document name. For more
information see the Enterprise Connect and Office Editor Installation Guide.

Workflow and automation


2.3.7.1 Notification Center
Email Delivery channel for Notification Center: Notification Center has added an email delivery
channel. Users can now configure email delivery for messages they receive in Notification Center.

2.3.7.2 WebReports and LiveReports


Version comparison in WebReports and ActiveView editor: The WebReports and ActiveView
online editors now include Diff functionality to compare versions. You can use Diff mode to compare
side-by-side versions of the same WebReport or ActiveView template. For more information see
Compare Versions of an ActiveView Template using the Diff Mode in the ActiveView User Help and
Compare Versions of a WebReports Reportview Using the Diff Mode in the WebReports User Help.

Additional WebReports improvements:


• Improved Email Destination to handle high volumes of email attachments.
• Improved WebReports output over REST API by focusing permission checks for email, server,
and FTP external destinations.
• Added Linux support to RUNSHELL.

• WebReport tags and subtags have the following improvements:
• Performance has been improved when retrieving attributes and other information from
multiple workflow instances through a new Workflow API for the WFATTR and WFINFO
subtags.
• The WFINFO tag’s USECACHE argument which allows the Workflow Title and
Attachment Folder ID to be accessed before the Workflow is initiated was added to the
Tag Guide.
• The USERINFO:PRIVILEGES subtag now returns information for a given user‘s
eDiscovery privilege.
• The NODEACTION:CREATE tag’s UNIQUEONLY argument now has the following Tag
guide note: “If a Node ID is returned it will be hidden by default, but can be revealed by
appending the SHOW subtag.”

WebReports Applications improved efficiency: To improve performance a global variable now


stores the Content Server Applications Volume DataID, so the database lookup only needs to run

WebReports Applications - Initialize Component: The View Application page for an application
now includes an Initialize Component section to identify an initialize component which will run
immediately after the application is installed. For more information see Defining a Special Component
for an Application in the WebReports Admin Help.

LiveReports with parameters: When executing LiveReports with parameters bind variables are now
supported for parameters to optimize performance.

2.3.7.3 XML Workflow Extensions


XML Workflow Extensions is now a Content Server standard module and is no longer an optional
module with a separate installer. The license model remains unchanged.

Information governance and protection


2.3.8.1 Records Management
Permissions on Managed Objects: Permissions on Managed Objects can be downgraded based on
the RM Status as follows: When a Managed Object's RM status is changed to a specific RM Status
code, users and groups on the Managed Objects Access Control List will have their permissions
downgraded to the selected permission levels if Downgrade Owner, Downgrade Owner Group,
Downgrade Public Access, Downgrade Roles and/or Downgrade Assigned Access are selected. For
more information see the Records Management - Maintaining Codes help.

2.3.8.2 Security Clearance


Content Manager and Security Clearance: Users with the new Content Manager privilege are still
subject to the restrictions imposed by any Security Clearance settings. A user with Content Manager
rights and in Content Manager mode can access any content with the Security Clearance Level or
lower on their profile and any content with matching Supplemental Markings on the content and their
profile. The “Enforce Security Clearance for System Administrators” setting does not apply to users
with Content Manager rights. For more information see Content Manager Role.

Security Clearance and Information Protection Administration: Prior to deleting Security
Clearance Levels a new check is performed to ensure they are not in use by Information Protection
Administration.

2.3.8.3 Physical Objects


Physical Objects Solution Accelerator: The Physical Objects Solution Accelerator provides a
Physical Objects Records Center Perspective and a sample set of physical object types to import and
transport to quickly start working with OpenText Physical Objects. For more information see Solution
Accelerators for Extended ECM.

Physical Object Locators: Multiple locators can be selected and deleted using the multi-select
action. For more information see Working with Storage Locators.

2.3.8.4 Information Governance Reports

Records Management, Physical Objects, and Security Clearance Reports: The Records
Management, Physical Objects, and Security Clearance Reports have been upgraded to
accommodate the new Content Manager role, remove unnecessary license checks, and improve
legends and filtering. The Reports can be installed or upgraded on the Application Management page
for Content Server Applications.

2.3.9.1 SAP S/4HANA
Add SAP DMS folder to existing Business Workspace instances: An SAP DMS folder can be
added to existing Business Workspace instances to show SAP DMS documents. Configuration is
done with the scheduled processing job Document Template Synchronization.

SAP Activator: This module has been repackaged and is now part of Extended ECM for SAP
Solutions to simplify installation, updates, and patching.

2.3.9.2 Salesforce
Salesforce functionality is licensed only with Extended ECM for Salesforce.
Salesforce Native Attachments accelerated: Performance enhancements to the Salesforce native
attachments synchronization feature, which moves Salesforce notes and attachments into Extended
ECM, has been optimized and performance improved. The overall rate of ingestion of documents has
been increased significantly and the overhead has been reduced.
Salesforce Native Attachments enhanced: The Salesforce Native Attachments feature has been
augmented with rules-based document migration and synchronization. Using metadata on the
Salesforce Objects, like Account, Case, and Opportunity for criteria, the Object documents can be
migrated into the workspace using business-specific rules. For example, a rule like move documents
from Case when Case Status = Closed and Close Date > 60 days can be configured. This allows for
Salesforce native document related functionality while applying records management capabilities with
OpenText.

2.3.9.3 SAP SuccessFactors
SAP SuccessFactors functionality is licensed only with Extended ECM for SAP SuccessFactors.
Central Workspaces: It is recommended that you use the new Central Workspace concept for new
and existing deployments. Administrators can control the cutover manually, but to simplify the
configuration change, the deprecated Workspace Creation/Update jobs can now be migrated to the
Central Workspace job using the new Migrate context menu function.

Approvers in Delete Workflow are automatically identified: When initiating the document Delete
Workflow, a preview of the result is shown during Workflow initiation. Reviews are automatically
assigned based on the document type review option and its members.

2.3.10.1 Intelligent Filing
Intelligent Filing functionality requires a Core Capture license.
Improved exception handling of documents
If Intelligent Filing cannot automatically file a document into the related Business Workspace an
infinite scrolling function has been added to the Business Workspace picker that now shows more
than 30 Business Workspaces, making it easier to find the right Business Workspace.

2.3.12.1 Installation and upgrade
Simplified installation of Extended ECM: Extended ECM includes more modules that will be
automatically available after installation or update to CE 22.2. See section 3.1 Packaging and delivery
information and the installation and upgrade notes in this document for details.

2.3.12.2 Kubernetes deployment


Support for Red Hat OpenShift: As part of the “Run Everywhere” strategy OpenText supports Red
Hat OpenShift, a Kubernetes platform that allows the deployment of OpenText Extended ECM in the
cloud or on-premises. For more information about all supported platforms see Kubernetes.
Add-on Modules and Language Packs deployment automation: Added support for “Init”
containers, allowing more flexibility in deployments.
OpenText Directory Services scaling: The Extended ECM Helm chart deploys the latest OpenText
Directory Services architecture which supports scaling.

Business Administrator User: The Extended ECM Helm chart can create a “bizadmin” user as part
of the deployment automation. When the feature is enabled from the Helm chart the user is
automatically assigned to the “Business Administration” group where the necessary privileges are
granted for immediate management of the solution in the cloud related to the settings that are not
intended for System Administrators. This user is also assigned to the new Content Manager rights.

Monitor User: The Helm chart provides the option to create a new user to be used by monitoring
tools/scripts allowing a dedicated user to be created for immediate use. When enabled the
deployment automation will create a user named “appmonitor”.
Business Scenarios: Ability to select and install the Extended ECM Business Scenarios based on
organizational requirements. This option can be enabled and configured from the Extended ECM
Helm chart.

2.3.12.3 System Monitoring

System Monitoring has been extended by the following events:


• When a patch or hotfix is added to an environment but does not load properly.
• When the default Admin Server and/or Web Admin passwords are configured.
• When a module install returns an error from database initialization.

2.3.12.4 Logging
Security logs enhancement: Two new fields, UTC Timestamp and Thread ID are added into the
security logs. The UTC timestamp provides a standardized way to represent time in the logs. The
thread ID is useful for advanced troubleshooting.
Additional log levels for Admin Server: The new Admin Server levels are added to improve
granularity. The new log levels are Error, Info, Verbose, Debug, and Trace.

Developer
Integrated Development Environment (CSIDE):
• Improved CSIDE stability when used with a VPN client.
• Improved CSIDE logging readability by moving some log lines from DEBUG to TRACE.
• Improved OSpace filtering in OUnit view.
• Improved CSIDE performance by caching INI files for modules and Content Server configuration.
• Improved auto formatter capabilities by allowing the @format:on/off tags.
• The value column in the Variable View includes the object name for Object References.
• A new refactoring command has been added to CSIDE to automatically remove unnecessary line
continuation characters (\) from OScript source files.

Extended ECM for Engineering


Engineering functionality is licensed only with Extended ECM for Engineering.
Engineering Connect: Engineering Connect now supports working on files without extension by
picking up Mime Type information from the nodes info and populating the extension while creating the

placeholder. This support will be implemented for docx, dwg, dgn, xlsx, pdf, txt. For more information

Enhanced My Assignment Widget: Ability to add custom columns on Project Workspace and the
Project Workspace template is available from this release. Custom columns specified on the Project
Workspace template will be inherited to the Workspace instance and shall be updated at the instance
level. The custom columns configured on the Workspace instance will be available on My Assignment
widget facilitating customer’s preferences.

Extended ECM for Government


Government functionality is licensed only with Extended ECM for Government.

2.3.15.1 Seamless integration of the Dynamic Workflow from AppWorks


The AppWorks Dynamic Workflow has been integrated into Extended ECM for Government. For more
information see Extended ECM for Government User Guide.
Content Server Mobile App: Use the Content Server Mobile app to navigate the group and personal
inboxes. Users can also view, open, claim, reject, and approve assignments.
Prevent content from moving outside the file area: The Move operation prevents content from
moving outside the file-plan into another folder area or into the user’s personal workspace.

2.4 Discontinued and deprecated features


When software components of Extended ECM are reaching the end of their lifecycle, OpenText is
taking a phased approach.
In a first step, features are marked as deprecated to make customers aware of upcoming changes.
Deprecated features should not be used in new implementations. The functionality is yet not removed
from the software but customers are encouraged to consider alternatives to prepare for a future
change. Deprecated features remain in this state for several updates, providing the opportunity to
plan and adapt.
After a certain period, functionality is officially discontinued. It is removed from the product and certain
cross-product compatibility is no longer maintained. OpenText offers either automatic conversion to
newer functionality, or if not possible for technical or commercial reasons, gives advance notice by
announcing the deprecation of the feature in the Release Notes.

The following features have been discontinued in this release:

2.4.1.1 Document management
Internet Explorer 11 Support: Accessing Extended ECM 22.2 from Internet Explorer 11 is no longer
supported. However, there are certain Enterprise Connect and Office Editor use cases that use the
Internet Explorer based HTML Control.
ActiveView Perspectives: Support for ActiveView Perspectives has ended. A new Perspective node
type was introduced with release CE 20.2. All legacy ActiveView Perspectives need to be converted to
use the new Perspective node type using the conversion tool provided. For information about how to
convert ActiveView Perspectives to use the new Perspective node type see Converting ActiveView
Perspectives to Use the New Perspective Type help.

2.4.1.2 Viewing and transformation


Both OpenText Imaging Windows Viewer and OpenText Imaging Web Viewer include the functionality
of OpenText Imaging PDF Extensions. Therefore, OpenText Extended ECM for SAP SuccessFactors
does not include OpenText Imaging PDF Extensions as a standalone component.

2.4.1.3 Enterprise Application Integration - SAP SuccessFactors

SAP SuccessFactors Permission Synchronization: The previous job for role-based permission
synchronization provided by versions 20.2 and earlier is discontinued and has been removed from the
product. Existing jobs of this type will automatically be migrated to the new jobs for group and
permission synchronization.
SAP SuccessFactors Event Subscription: The event support using Integration Center to Extended
ECM now listens to events triggered by the Integration Center and the support for SAP
SuccessFactors using event subscription is not supported. Existing action plans must be reconfigured
in Extended ECM. For more information see Chapter 17 – Configuring action plans in Event Action
Center.

2.4.1.4 Capturing and ingestion


The following Imaging Enterprise Scan 20.4 features have been discontinued in this release:

• Fax/email input from HCL (IBM or Lotus) Notes.


• Fax/email input from Microsoft Outlook x86.
• Export to JPEG2000 binary or color palette images.
• Scanning from VRS.
Starting with version CE 21.2 OpenText Extended ECM no longer supports OpenText NotesLink.

2.4.1.5 System administration and operations


Enterprise Library including Enterprise Library CMIS is discontinued.

Enterprise Library Data Sources are discontinued. They must not be used for new installations and
existing usage needs to be converted to Enterprise Data Sources. There are search features that do
not work with Enterprise Library Data Sources and search queries are generally slower when
Enterprise Library Data Sources were configured.

2.4.1.6 Developer
Starting with CE 21.1 only the jQuery 3 plug-in is available.

Deprecated
The following features are deprecated and will be discontinued in the future.

2.4.2.1 Remote Cache


Remote Cache is deprecated and should not be used for new installations. Syndication should be
explored as a replacement.

2.4.2.2 Document management


Server Platform: Windows Server: Windows 2012 support is deprecated as of 22.1.
Database:
• SQL Server Clients prior to version 17 are deprecated as of 22.2.
• Oracle Enterprise Database 12.2.0.1 will be deprecated in 22.4.
• SQL Server 2016 will be deprecated in 22.4.
HCL Notes and Enterprise Connect: HCL Notes (previously known as IBM or Lotus Notes) will be
discontinued in the CE 22.3 release of Enterprise Connect.

2.4.2.3 Business Workspaces


The Import Configuration for Workspace Types, Unique Names, and Business Object Types with an
XML file has been deprecated since CE 21.4. As alternative, please use the Transport Warehouse.

Binders and Cases object types have been replaced by Business Workspaces and are no longer
recommended for new implementation since 2017 (release 16.2.0). OpenText is planning to
discontinue Binders and Cases in the fourth quarter of 2022 (release CE 22.4). Customers need to
convert existing Binders and Cases into Business Workspaces using the migration utilities available
with Extended ECM.

Project and Community object types have been replaced by Business Workspaces and are no
longer recommended for new implementations. OpenText is planning to discontinue these object
types in a future release and is recommending converting existing Projects and Communities into
Business Workspaces using the migration utilities available with Extended ECM.

2.4.2.4 Viewing and transformation


Imaging Review and Notes has been deprecated as of CE 21.3. It should not be used for any new
deployments, although it continues to be supported for existing deployments.

2.4.2.5 Workflow and automation


The My Mailbox feature has been deprecated. The feature can be enabled but it will be removed from
Extended ECM in a future release.

2.4.2.6 Enterprise Application Integration - Salesforce


Extended ECM for Salesforce App support of Salesforce Classic UI

After October 31, 2022, OpenText Extended ECM application running in the Salesforce Classic user
interface will be retired and will no longer be supported. Additional capabilities and feature
configuration will only be available in the Extended ECM by OpenText Lightning application going
forward. If you are using Salesforce Classic, you will need to switch to Salesforce Lightning mode to
make configuration changes in the new Extended ECM by OpenText Lightning application. For more

2.4.2.7 Enterprise Application Integration - SAP SuccessFactors

Document Self Service widget/Upload widget: Starting with release CE 22.2, this widget is
deprecated and is replaced by the File Upload widget in the platform. To avoid confusion the Upload
widget has been renamed to the Self Service widget.

SAP SuccessFactors Workspace Creation/Update (starting with CE 22.1): The previous job for
creating/updating Workspaces provided by versions CE 21.4 and earlier is now deprecated and is no
longer being enhanced. Existing jobs of this type will continue to work but this feature will be
discontinued in future updates.

Document Generation for Candidates (starting with CE 22.1): Document Generation for
candidates using the Employee Workspaces widget is no longer recommended. It is recommended
that you use the new Document Generation action from the Documents tab. For more information see
the User Guide.

2.4.2.8 System administration and operations

The Owner ID setting is deprecated as of CE 20.4.

3.1 Packaging and delivery information


Extended ECM can be deployed in different ways:
• Deployment using Docker images on Kubernetes platforms (recommended).
• Deployment using OpenText System Center Manager (recommended).
• Deployment using individual installers available on OpenText My Support (not
recommended).
SAP customers: SAP customers can download Extended ECM CE 21.4 from the SAP Software
Download Center of the SAP Support Portal. At the SAP Software Download Center, the software is
listed under SAP EXTENDED ECM BY OPEN TEXT, SAP EXTENDED ECM BY OT 21.4. A
temporary license key is provided on the SAP Support Portal under the name “Content Server
License Key”.

Docker images on Kubernetes platforms


Extended ECM is cloud native and deployed using Helm charts on any of the supported Kubernetes
platforms. See Kubernetes for the complete list.

3.3.2.3 Usage of Searchable PDF DocTool


The Searchable PDF DocTool allows rendering of scanned documents to searchable PDF/A. The
DocTool usage is strictly restricted to scan pipelines together with Enterprise Scan, which means it is
only for documents manually scanned in with Enterprise Scan. Batch conversion of imported images
is expressively not a legitimate use of the software.

Content Suite Platform


3.3.3.1 Usage of WebReports
WebReports functionality is not included in Content Suite Platform licenses. Using WebReports
requires Extended ECM, WebReports, or Content Intelligence licenses.
WebReports is deployed but not enabled by default. If your organization has licensed Extended ECM,
WebReports, or Content Intelligence you are entitled to enable WebReports and confirm the number
of licensed seats for your organization.

3.3.3.2 Usage of Automatic Document Numbering and Table Key Lookup attributes
Automatic Document Numbering and ADN Table Key Lookup attributes are not included in Content
Suite Platform licenses. Using Automatic Document Numbering and ADN Table Key Lookup attributes
require Extended ECM licenses.

3.3.3.3 Usage of Object Importer


Object Importer is not included in Content Suite Platform licenses. Using Object Importer requires
Extended ECM or Object Importer licenses.

Extended ECM for Government
License term for the AppWorks Platform Dynamic Workflow.
The use right of the AppWorks Platform with Extended ECM for Government is limited to the dynamic
workflow. The compliant use of the limited AppWorks Platform license can be checked by verifying the
deployed solutions. For this, the AppWorks solutions “OpenText Dynamic Workflow,
OpenTextEntityIdentifyComponents, OpenTextInboxTaskManagement” must be deployed. Other
workflows except the deployed solutions require a full-use AppWorks license.
The use of external REST API from AppWorks (e.g. to integrate 3rd party applications) requires a full-
use AppWorks license. Customers are licensed to use the internal REST API from AIB (AppWorks
Integration Bridge) within Extended ECM for Government (e.g. to create WebReports).
Configuration changes to the AppWorks Dynamic Workflow like adding additional task types,
additional attributes for tasks or workflow can only be fulfilled through the OpenText Professional
Services team.

4 Supported environments and compatibility
This section provides details about supported platforms, systems, and versions.

Caution
Operating systems, databases, browsers, and other platforms advance on
independent schedules. OpenText identifies the version tested where applicable,
and if a version is not identified, testing is typically performed on the platform
software available approximately one month before the release date of Extended
ECM.

OpenText relies on the platform vendor to maintain backwards compatibility. If the


platform vendor makes a change that affects compatibility, there may be a period
where the platform is not fully functional while OpenText makes appropriate
changes. Depending on the severity of the changes, an update to the latest or next
quarterly update of Extended ECM may be required.

The section provides details about which versions of other OpenText products are compatible with this
release of Extended ECM CE 22.2.

creating and managing their own containers or use traditional methods of

4.4 Virtual machines


Extended ECM is supported for use with the server operating systems listed in the previous sections.
The supported server operating systems may be installed on physical or virtual hosts, including cloud
environments such as Google Cloud, Amazon Web Service (AWS), and Microsoft Azure.

Customers that choose to use a virtual environment are encouraged to select a virtualization platform
intended for production systems and known to be fully supported by the server operating system
vendor.
Microsoft Azure, Google Cloud, and AWS are supported virtualization environments †.
Note that Extended ECM is a resource intensive application and will require at least the same amount
of resources in a virtual environment as it would in a physical environment. Therefore, additional
resource scaling may be required to maintain the same level of performance in a virtual environment
as observed in a physical environment. Static or committed resources within a Virtual Environment
are typically needed for performance-sensitive scenarios.

4.5 File formats

File format support


Extended ECM supports indexing, viewing, and thumbnail generation of Office documents and other
various formats in the following table.

All file types are supported on Windows and Linux except where indicated.
MIME type extraction is supported for all file types except CDR.
On Linux operating systems, only Western languages are supported for View as Web Page and
Thumbnails.

Extended ECM leverages the SuccessFactors’s developed Document Management and Attachment
Storage interface. This interface is based on Content Management Interoperability Services (CMIS).
Instead of using SuccessFactors’s built-in basic document storage, Extended ECM can be used as

the document storage repository. When new documents are uploaded, modified, or deleted in
SuccessFactors, the document is routed to Extended ECM and immediately reflected. Extended ECM
can receive uploaded documents from any SuccessFactors module that supports the Document
Management interface.
The CMIS attribute type Document Category is treated as an external document type. For this
release, the following table lists supported entities, workspaces, and corresponding SAP
SuccessFactors document categories. Business administrators can create corresponding Extended
ECM document types (Classification) to control the storage logic of SAP SuccessFactors’s Document
categories. Documents which are uploaded for SuccessFactors entities that do not have
corresponding workspace definitions will be stored in the technical repository (CMIS volume) and can
only be accessed by Extended ECM’s System Administrators. Employees or HR Business partners
can only access these documents from SAP SuccessFactors’s user interface. Please note, the
Document Categories might vary from SAP SuccessFactors tenant to tenant. The following table only

Workspaces once they are uploaded from SuccessFactors. This integration does not
wait for or detect HR document review approval workflows in Employee Central.
• SAP SuccessFactors Recruitment:
o A resume or cover letter document deleted in Recruiting is not deleted from Extended
ECM’s document repository.
o SAP SuccessFactors Recruitment does not pass Business Object information for
Interview Notes or Interview Emails. These documents will not be stored in
corresponding Candidate Workspaces.
• SAP SuccessFactors Onboarding 2.0:
o SAP SuccessFactors Onboarding 2.0 does not pass business object information to
identify the external candidate. These documents will not be stored in corresponding
candidate workspaces.
• SAP SuccessFactors Performance Management:
o If a manager uploads a document for an employee from the performance management
form, then it is wrongly stored in the managers’ workspace.
• SAP SuccessFactors Mobile:

SuccessFactors module portlets.
o Extended ECM’s Upload Control (such as MIME type control, document approval
workflow) does not apply for uploading documents from SuccessFactors module’s
portlets.
• No Support of “Instance refresh” and “Instance synchronization”: When Extended ECM is
configured as storage vendor in SAP SuccessFactors’s document management interface,
attachments stored in OpenText are not transferred into the target instance. Please refer to
detailed information in the SAP Help: Instance Refresh: Things to Know Before Refreshing
the Target Instance.

These critical issues are known to SAP SuccessFactors’s Document Management Product
Management Team. Customers intending to use Extended ECM for SAP SuccessFactors as
their document repository might be affected by these critical defects and limitations. OpenText
strongly recommends customers use the SAP influence program for the latest update
regarding the resolution of these issues.

The Extended ECM for Salesforce App advances quickly and it is important to match the OpenText
Extended ECM versions with the matching Extended ECM for Salesforce App Package. For example,
Extended ECM for Salesforce App Package 22.2 is tested and certified with Extended ECM 22.2.
While it might be possible to run misaligned versions, it is not recommended nor supported officially
by OpenText Support.

4.8.1.1 Business workspace compatibility


The Salesforce App Extended ECM Files Lightning component (also known as the Create Complete
widget or Business Workspace widget option) is not working when invoked from Salesforce Enabler
App in the Salesforce Lightning applications. The component shows the header and seems to
momentarily show some scroll bars, which then disappears, and the screen goes blank. The
resolution is to uncheck the Enabler Business Workspace widget checkbox setting on the
Administration/Environment/Workspace Widget section of the Salesforce Extended ECM App.
The Enable Business Workspace widget setting is not supported in this release and must be
unchecked.

A patch is a piece of software that is designed to fix or improve a computer program or its supporting
data. These may include repairs to security vulnerabilities or resolution of bugs and may also improve
usability or performance.

6 Upgrade notes

Configuring the Internal OpenText Directory Services

Note
If you are using the OpenText Directory Services bundled with Extended ECM
(Internal OTDS) and upgrading your Extended ECM family product from an earlier
version than the 22.1 release, after the upgrade operation you must execute the
following steps to complete the new OTDS database configuration:
• Login into Extended ECM by adding ?func=admin.adminuserlogin at
the end of the URL.

• Access the OTDS configuration page by adding ?func=admin.otds at the
end of URL.
• Complete the required database information and continue.
• In the next page, uncheck the parameter Migrate users and groups from the
Content Server database and continue.

The above steps also apply when using System Center to perform the upgrade.

Upgrade notes for xECM for Microsoft Office 365


Before upgrade, review these Release Notes instructions and refer to the OpenText Extended ECM
for Microsoft Office 365 Installation and Administration Guide and OpenText Content Server
Administering Information Protection Administration Guide. For more information, see the

If you are upgrading to OpenText™ Extended ECM for Microsoft® Office 365®
20.4 from an earlier version and you are running an Office 365 Group/Team
Membership scheduled job, then you need to update the job definition. To update,
click the job from the Extended ECM Scheduled Processing list to edit it, and then
click the Save Changes button.

Note
There is no major release planned for OpenText Application Governance and
Archiving for Microsoft SharePoint 20.2 through to 22.1. This is due to changes in
the architecture and license structure. The next Major release for AGA customers
is version 22.2 and involves an upgrade fee for customers that purchased the
OpenText Application Governance and Archiving for Microsoft SharePoint Full
Bundle. This upgrade fee unlocks all Content Server Platform features for all
users, changing it from Limited use to Full use. Customers that bought the
OpenText Application Governance and Archiving for Microsoft SharePoint Add-On
Bundle are not asked for an upgrade fee but can upgrade to the new version as
part of their current maintenance program.

If you currently own the OpenText Application Governance and Archiving for
Microsoft SharePoint Full Bundle, the current 16.2.12 version is supported until
April 2025 after which you will be required to upgrade or continue unsupported.
Alternatively, you can upgrade the OpenText Application Governance and
Archiving for Microsoft SharePoint Full Bundle to a full use of Content Server and
upgrade Content Server to version 20.3. or 20.4. Contact your OpenText Account
Manager for the options and investment details or contact OpenText Support.
If you currently own Content Server Platform + the OpenText Application
Governance and Archiving for Microsoft SharePoint Add-On Bundle, you can
upgrade Content Server to version 20.3 or 20.4 and use it with your current
OpenText Application Governance and Archiving for Microsoft SharePoint Add-On

Bundle 16.2.12. Post 20.4 release, the OpenText Application Governance and
Archiving for Microsoft SharePoint modules (not legacy modules and only
Integration Service based deployments) subset can be made available to
OpenText Application Governance and Archiving for Microsoft SharePoint
customers to complete their upgrades.

The next major upgrade will be version CE 22.2 when OpenText Application
Governance and Archiving for Microsoft SharePoint licensing will be merged with
Extended ECM platform including Extended ECM for Office 365 licensing. There
may be an upgrade fee depending on your existing Content Server/ Extended
ECM licensing.

Architecture Changes between OpenText Application Governance and


Archiving for Microsoft SharePoint 16.2.12 and CE 22.1
SharePoint On-Premises is not supported as a deployment platform anymore. We
replaced this with a standalone service called the “Integration Service”. It has all
the features of OpenText Application Governance and Archiving for Microsoft
SharePoint but does not support the SharePoint Site Deployment Wizard nor the
ability to use the SharePoint index to index Content Server.
Impact
Customers need to deploy the Integration Service (you can do this in parallel) and
recreate the archiving rules in the Integration Service.
Customizations built on the OpenText Application Governance and Archiving for
Microsoft SharePoint APIs or the SharePoint Native APIs that interact with the
OpenText Application Governance and Archiving for Microsoft SharePoint solution
may not be fully functional and must be reviewed. OpenText Professional
Services can help you with an impact analysis and provide advice to see if the
necessary functionality has been replaced by standard functionality or if you are
able to rebuild it for the Integration Service.
There is no impact on the Web Parts or the Outlook Add-In. You must update
them to CE 22.1 but functionality stays the same.
Upgrade to Extended ECM for Microsoft Office 365
Customers who would like to upgrade to Extended ECM for Microsoft Office 365
can upgrade SKU’s for the OpenText Application Governance and Archiving for
Microsoft SharePoint Full Bundle and the OpenText Application Governance and
Archiving for Microsoft SharePoint Add-On. Contact your OpenText Account
Manager for the options and investment details.

The Azure Active Directory Graph API will be deprecated in June 2022. This API

Note
Extended ECM CE 22.2 is a rewrite of the existing Extended ECM for Engineering
16.3.x solution. Updates to this new software are released in parallel to the
updates of the existing Extended ECM 16.3.x. Both versions can co-exist in the
same Content Server instance. The existing instances of Extended ECM 16.3.x
cannot directly upgrade to Extended ECM CE 22.2 or subsequent Extended ECM
CE versions because the architecture and design differs from that of Extended
ECM 16.3.x. However, the new projects can be configured to start using Extended
ECM CE 22.2 capabilities.

6.1.4.1 Upgrade to 22.2 or higher


The XENG module folder in <OTHOME>/module is not deleted during the upgrade because the JAR
files in the folder are in use. To avoid issues with these JAR files, stop Content Server and delete
these folders manually after the upgrade.

6.1.4.2 Version-specific relationships

Extended ECM for Engineering CE has been enhanced to support version-specific relationships to
retain the relationships on older versions of the documents for auditing purposes.

A new relationship model with the following relationship types is implemented in the Extended ECM
for Engineering - CAD Manager module:
• Dynamic
• Static
• Node Specific

Records Management cross-references are supported only at the node level. Therefore, OpenText
recommends converting the existing CAD document relationships created using Records
Management cross-references to CAD document relationships.
To convert the relationships:
1. Navigate to Content Server Administration > Database Administration > Test or Repair
Known Database Issues > Convert RM Cross References to CAD References
Note: Records Management cross-references relationships stored in the KIni table are
considered for conversion. OpenText recommends validating the entries in the KIni table
before initiating the conversion.
2. Run the following SQL Query to fetch the existing Records Management cross-reference
types from the database:

'Static', 'Node Specific')
3. Modify the entries in the KIni table to add or drop any Records Management cross-
reference type from the conversion process.

The following known issues exist in this release.

ECCS-315 If a particular volume is not accessible, any search results that originate
from that volume will be filtered by the Enterprise Connect Module for
Content Server. Accessible volumes are defined as any volume that is
not in the Available Items list in the Server section of the Enterprise
Connect Module Configure Display Settings administration page.

Business Workspaces

CWS-12132 Workspace Perspectives packaged in Transport packages before


version CE 22.2 need to be updated manually in the Transport
Workbench after Extended ECM is updated to CE 22.2 or higher to
reflect the dependency of the Perspective to the Perspective folder that
has no Workspace ID in the name.
Integration with Microsoft 365

IPA-464 Information Protection Administration is not supported with Syndication


(Document synchronization will fail).

OTOWA-802 Editing using Office Online is not supported for content with AIP
Sensitivity Labels. This is a limitation of the WOPI Protocol from
Microsoft. If this is a requirement please open a support case with
Microsoft and file a Design Change Request (DCR).

IPA-792 The Microsoft Information Protection SDK doesn’t support the


application or removal of content markings associated to the AIP
Sensitivity Labels (reference article). This may have undesired results
such as conflicting markings and labels. If this is a requirement please
open a support case with Microsoft and file a Design Change Request
(DCR).

CPS-314 OpenText Viewing and Intelligent Viewing for Content Suite cannot
open encrypted content. To maintain appropriate security open the
content with a compatible application.

Workflow and automation

XECMPF-7727 Event Action Center is currently not able to execute a second action.
The first action runs as expected but the second does not.

XECMPF-8475 Document upload is not working for a document which is deleted and
added again using File Upload widget.

Documents (subtype 145), the Managed Objects page must have the
Document (subtype 144) checked for User Hold.
LPAD-35560, LPU- Records Management: When RM metadata fields are required on the
5344 Add Item page and the items are dragged and dropped in Content
Server Classic View the user is not prompted to fill in the RM required
fields. The content will be uploaded and the next time the user
accesses the Records Detail tab the user will be prompted to fill in the
required fields.
LPAD-47804, LPU- Records Management: Deleted Category information of purged children
7335 is not captured. Category/Attribute information in the Audit Deletion
Logs was added in Records Management 16.0. However, when items
are sent to the Recycle Bin and later purged, the purged children’s
Category/Attribute information is not captured.
LPU-9960 Records Management: The Disposition Search Results Export creates
an HTML page that allows it to be displayed in Excel with an XLS
extension so that it is recognized as a spreadsheet. When opening this
exported file in Microsoft Office an error occurs. However, the file can
be opened in Excel and the converted file saved to Excel.
LPU-9257 Records Management: When a Disposition Review Assignment from
the Advanced Review Workflow Assignment is reassigned the RM
Disposition Review link displays in the Workflow Assignment. However,
no search results are displayed when accessing the RM Disposition
Review snapshot.
Records Management: Retention Schedules using Category Attributes
as time or event-based criteria may seem to export and import to other
systems but they will not be recognized in the destination system.
Schedules using Category Attributes as criteria need to be manually
edited after import.
LPU-6732 Records Management: When a Physical Object label is generated on
LPU-10042 item creation the RM Accession code and Automatic Document Number
do not display on the label. Once the Physical Object is created
regenerating the label displays the Records Detail fields.

The scheduled job for group synchronization doesn’t detect the
following group modifications in incremental mode (sync from last run):
• A group is renamed in SAP SuccessFactors.
• A role is renamed in SAP SuccessFactors.
• A group in SAP SuccessFactors uses dynamically calculated
group members (for example all users from a certain country)
and the group membership changes.
In all the cases above the group synchronization must be executed
once in Full Sync mode. If a role has been renamed the HR Functional
Rights must be adjusted accordingly prior to the sync.

SAPSSF-8516 Using OAuth for the SuccessFactors integration is not supported for the
following scenarios:
• Workspace creation using the former Workspace
Creation/Update job.
• Manual Workspace creation using the Take Action menu using
objaction=workspace (see 12.2 Configuring Take Action
menu for creating/updating/viewing workspaces).
Use the new Central Workspace creation instead.

SAPSSF-8826 Distributed Agent configurations which run worker processes on


multiple Content Server instances are not supported for the Extended
ECM for SuccessFactors jobs such as the Central Workspace Creation,
Group or Permission Sync job.
This may prevent the job reports from being created or uploaded
correctly.

SAPSSF-9124 SuccessFactors inbox functionality uses Oracle triggers. Turning off the
triggers in Oracle is not recommended.

SAPSSF-6216 If the CMIS connection is removed and the user tries to create the
Candidate Workspace using Fast Bulk method an error is thrown
stating “Unable to move the document since it already exists”.

SAPSSF-6130 SAP SuccessFactors User Synchronization job does not generate an


error if there is an empty SuccessFactors property such as email
address.

SAPSSF-6016 There is no error message displayed if Container supported widgets are


configured as part of a Landing Page.

SAPSSF-6008 Permission propagation: Template Group is not replaced with the actual
group when the condition is Default=True.
