Specification for the Revision of
PIP Practices
PURPOSE AND USE OF PROCESS INDUSTRY PRACTICES

In an effort to minimize the cost of process industry facilities, this Practice has
been prepared from the technical requirements in the existing standards of major
industrial users, contractors, or standards organizations. By harmonizing these technical
requirements into a single set of Practices, administrative, application, and engineering
costs to both the purchaser and the manufacturer should be reduced. While this Practice
is expected to incorporate the majority of requirements of most users, individual
applications may involve requirements that will be appended to and take precedence
over this Practice. Determinations concerning fitness for purpose and particular matters
or application of the Practice to particular project or engineering situations should not
be made solely on information contained in these materials. The use of trade names
from time to time should not be viewed as an expression of preference but rather
recognized as normal usage in the trade. Other brands having the same specifications
are equally correct and may be substituted for those named. All Practices or guidelines
are intended to be consistent with applicable laws and regulations including OSHA
requirements. To the extent these Practices or guidelines should conflict with OSHA or
other applicable laws or regulations, such laws or regulations must be followed.
Consult an appropriate professional before applying or acting on any material
contained in or suggested by the Practice.

This Practice is subject to revision at any time by the responsible Function Team and will
be reviewed every 5 years. This Practice will be revised, reaffirmed, or withdrawn.
Information on whether this Practice has been revised may be found at www.pip.org.

1. Introduction

1.1 Purpose
This Practice provides the procedures for making revisions and updates to existing
PIP Practices.

1.2 Scope
This Practice describes all types of revisions to existing Practices, including the
handling and solicitation of comments, the revision cycle, the numbering, the
formatting of revisions, and the balloting and approval process for revisions, as well
as notification and distribution of revisions.
This document is a complete revision of PIP ADG006, and therefore, revision
markings are not provided.

2. References
Applicable requirements in the latest edition, revision, or addendum of the following codes,
standards, and references shall be considered an integral part of this Practice. Short titles are
used herein where appropriate.

3. Definitions
For the purposes of this Practice the following definitions apply:

complete revision: An existing Practice shall be considered to have undergone a complete


revision if the responsible Function Team determines that 25 percent or more of the content
within a Practice has been altered by the revision.

editorial revision: An existing Practice shall be considered to have a change to the content if
required because of a typographical error, syntax, grammar, or for any other reason that is
editorial in nature.

reaffirmation: An existing Practice that requires no changes whatsoever. The reaffirmation of


the Practice is noted in the printing history and the header of the Practice.

technical correction: A change to the content of an existing Practice to correct a technical


error

technical revision: A change to the content of an existing Practice that modifies the technical
intent of the content, process, or details of the Practice

withdrawal: The removal of an existing Practice from publication

4. Requirements

4.1 Invitation for Comments


4.1.1 Revision Paragraph Included in Each Practice
4.1.1.1 Practices shall contain a paragraph on the verso of the cover sheet to
define the revision cycle. See Appendix A.
4.1.1.2 The revision paragraph shall state the following:
“This Practice is subject to revision at any time by the
responsible Function Team and shall be reviewed every 5 years.
The Practice shall be revised, reaffirmed, or withdrawn.
Information on whether this Practice has been revised can be
found at http://www.pip.org .”
4.1.2 Information Included on Website
4.1.2.1 The PIP website providing information on revision and submission
guidelines and the web page indicating Practices that have been
revised shall be made available to all users, including nonmember
companies.
4.1.2.2 The PIP web page containing information on comments shall state
the following:
“While PIP does encourage comments to published Practices,
PIP makes no promises to incorporate comments in future
Practice revisions nor does an implied warranty or liability attach
that obligates PIP to incorporate those comments in future
Practice revisions.”

4.2. Comments and Addenda


4.2.1 Comments from member or nonmember companies for possible revision of a
Practice shall be accumulated by the PIP Office.
4.2.2 As comments are received, the PIP Office shall make the comments available
to the appropriate Function Team Leader (in a manner agreed by the PIP
Office and the team leader) for evaluation.

4.2.3 A copy of the comments shall also be maintained on file at the PIP Office
until after the 5-year revision cycle or an earlier technical or complete
revision has been completed.
4.2.4 Each Function Team shall determine how to handle the comments.
4.2.5 Member Companies shall be requested to send to the PIP Office for
forwarding to the appropriate Function Team Leader any addenda added to
any Practice at the time the addenda are added to the Practice by the Member
Company.

4.3 5-Year Revision Cycle


4.3.1 Each Function Team shall formulate and follow a review/revision process
that meets the minimum requirements of this section.
4.3.2 Practices shall be revised or reaffirmed on a 5-year review cycle by the
Function Team that authored the Practice; however, a Practice may be
revised at any time if the Function Team determines a revision to be
necessary for technical reasons.
4.3.3 All revisions, with the exception of technical corrections and editorial
revisions, reset the 5-year revision cycle. Therefore, the minimum
requirements of this section, including the review of company addenda and
comments, shall be followed.
4.3.4 Revisions to Practices before the 5-year revision cycle shall only be made for
technical changes that impact the accuracy of the Practice. Editorial revisions
shall only be made on the 5-year revision cycle or as a part of a revision that
is required by technical issues.
4.3.5 In the 5-year revision cycle or if the Function Team determines a technical or
complete revision is required before the 5-year revision cycle, member and
nonmember company comments shall be reviewed.
4.3.6 In the 5-year revision cycle or if the Function Team determines a technical or
complete revision is required before the 5-year revision cycle, the Function
Team shall review any addenda provided by Member Companies to
determine if any of the addenda information can be incorporated into the
Practice.
4.3.7 To ensure that all Member Company addenda are available for review, the
PIP Office shall send a request for addenda to Member Companies
41 months into the 5-year revision cycle, or if requested by the Function
Team Leader, for a technical or complete revision required before the 5-year
revision cycle. Members Companies shall be given 1 month from the date of
the request to submit the addenda to the PIP Office.
4.3.8 Forty-two months into the 5-year revision cycle, the PIP Office shall send a
notice advising the Function Team Leader that the Practice is due for review.
At that time, the PIP Office shall make available (in a manner agreed by the
PIP Office and the team leader) any Member Company addenda and other
comments that have accumulated for the Practice.

4.3.9 After reviewing the addenda and comments, and by the 4-year anniversary of
the Practice, the Function Team shall submit a Practice Revision Proposal
requesting either reaffirmation of, withdrawal of, or approval to revise the
Practice.
4.3.10 If a revision is requested, the reasons for the revision shall be stated,
including an indication of whether the revisions are expected to be editorial,
technical, or complete.
4.3.11 If a Practice is jointly authored by two or more Function Teams, the Function
Team that has primary responsibility for the Practice shall collaborate with
the other teams in reviews and decisions regarding the need for revisions.
4.3.12 Upon Steering Team approval of the Practice Revision Proposal, the
Function Team shall proceed with the revision effort.
4.3.13 If a “reaffirmation” or “withdrawal” request was submitted and approved, the
PIP Office shall proceed with that action.
4.3.14 When the revision draft reaches the Function Team approval stage, the
Function Team shall confirm to the PIP Office whether the revisions are
editorial, technical, or complete.
4.3.15 If the revisions are editorial, only Function Team approval shall be required.
Following Function Team approval, final editing by the PIP Office, and
sign-off by the Function Team Leader, the revised Practice shall be issued.
4.3.16 If the changes represent a technical or complete revision, Member Company
Review and Steering Team approval are required.
4.3.17 Typically, to achieve publication by the end of the 5-year review cycle, a
Practice that is undergoing a complete or technical revision needs to be
submitted for Member Company Review by the end of the 54th month in the
cycle. If the Function Team determines that additional time is needed to
complete the revision process, the Function Team Leader shall request an
automatic 1-year extension from the PIP Office.

4.4 Approvals
Comment: A table that summarizes the approval requirements for each type of
revision is shown in Appendix C.
4.4.1 Technical Corrections
4.4.1.1 If a Function Team discovers a technical error in a Practice that
requires correction before the 5-year revision cycle, the team shall
submit a Practice Revision Proposal requesting a “technical
correction.”

4.4.1.2 The technical correction shall be fully described on the Practice


Revision Proposal.
4.4.1.3 Upon approval by the Steering Team, the PIP Office shall
incorporate the correction and, after final review and agreement by
the Function Team Leader, shall publish the revised Practice.
4.4.1.4 If the Function Team Leader and Function Team Sponsor determine
that an immediate correction is required because of a technical error
that could compromise the safety of personnel or equipment, the PIP
Director can approve an emergency revision without a Practice
Revision Proposal or approval from the Steering Team. However, the
Steering Team shall be notified of this action.
4.4.2 Reaffirmation or Withdrawal
4.4.2.1 After reviewing the accumulated comments and Member Company
addenda received from the PIP Office, the Function Team shall
determine whether the Practice should be revised, reaffirmed, or
withdrawn.
4.4.2.2 If the team agrees, by a 75 percent majority vote, that the Practice
can be reaffirmed or withdrawn, the team shall indicate such on the
Practice Revision Proposal.
4.4.2.3 The Practice Revision Proposal shall be emailed to the PIP Office by
the Function Team Leader.
4.4.2.4 Following approval of the Practice Revision Proposal for
reaffirmation by the Steering Team, the PIP Office shall prepare the
reaffirmed Practice for publication and email the Practice to the
Function Team Leader.
4.4.2.5 The Function Team Leader shall respond via email whether approval
is given for the PIP Office to publish the reaffirmed Practice.
4.4.2.6 Following the approval of the Practice Revision Proposal for
withdrawal by the Steering Team, the PIP Office shall send an email
to the Function Team Leader requesting final approval for the
withdrawal of the Practice.
4.4.2.7 The Practice shall be deleted and withdrawal documented by the PIP
Office upon receipt of the approval email from the Function Team
Leader.
4.4.2.8 If the Function Team does not agree that the Practice should be
reaffirmed or withdrawn, then a revision shall be required.
4.4.2.9 If a Practice is jointly authored by two or more Function Teams, the
Function Team that has primary responsibility for the Practice shall
collaborate with the other teams in reviews and decisions regarding
reaffirmation, withdrawal, or the need for revisions.

4.4.3 Editorial Revisions


4.4.3.1 If a revision reaches the Function Team approval stage, the
responsible Function Team shall determine by voting whether the
revision is editorial or technical in accordance with the definitions in
Section 3 of this Practice.
4.4.3.2 If a 75 percent majority vote for an editorial revision is not obtained,
the revision shall be considered technical.
4.4.3.3 If a Practice is jointly authored by two or more Function Teams, the
Function Team that has primary responsibility for the Practice shall
collaborate with the other teams in reviews and decisions regarding
the type of revision.
4.4.3.4 If the revision is determined to be editorial, the revision shall be
approved by a 75 percent majority vote of the Function Team.
4.4.3.5 The editorially revised Practice shall be sent to the PIP Office for
final editing.
4.4.3.6 After final editing, the revised Practice shall be returned to the
Function Team for final approval.
4.4.3.7 On final approval by the Function Team, the revised Practice shall be
published.
4.4.4 Technical and Complete Revisions
4.4.4.1 If the revision is technical or complete, the Function Team shall
approve the change by a 75 percent majority vote and send the
revised Practice to the PIP Office.
4.4.4.2 If a Practice is jointly authored by two or more Function Teams,
Function Team that has the primary responsibility for the Practice
shall collaborate with the other teams in reviews and decisions
regarding revisions.
4.4.4.3 The PIP Office shall prepare and distribute the Practice for Member
Company Review and Steering Team Ballot in accordance with the
PIP Operations Manual.

4.5 Numbering
4.5.1 PIP revisions shall be referred to by the date of issue.
4.5.2 The date of issue and the type of revision shall be located in the header of
every page of a Practice.
Comment: See Appendix B for an example of how the revision date and
type of revision shall appear in the header of a Practice.

4.6 Formatting of Revisions


4.6.1 Archive
PIP Office procedures shall ensure that an archival copy of the previous issue
has been made before publication of a revised Practice.
4.6.2 Revision Markings
4.6.2.1 The standard editing practice of placing a vertical line along the
outside margin shall be used to indicate changes in the pdf version of
the revised Practice.
4.6.2.2 The native format version shall not contain any editing markings.
4.6.2.3 If the Practice had been revised previously, vertical lines from the
previous revision shall be removed.
4.6.2.4 Vertical lines shall be used if a paragraph is deleted in its entirety.
4.6.2.5 In the case of a complete revision, vertical lines shall not be shown.
4.6.2.6 In the case of a change to a graphic, a vertical line shall be placed
along the outside margin of the entire graphic.
4.6.2.7 A printing history that includes the current revision shall be printed
on the verso of the cover sheet of a Practice. See Appendix A.
4.6.2.8 The printing history shall indicate the following information for each
revision:
a. Month and year of issue
b. Type of revision: complete revision, editorial revision,
reaffirmation, technical correction, technical revision, or
withdrawal
4.6.2.9 If a Function Team decides to include a narrative description of the
changes incorporated in the revision, a “Revision Summary” section
shall be added as the last section under the “Introduction.”
4.6.3 Style
Revisions shall be written in the styles specified in PIP ADG001 and
PIPADG002, or shall be drawn in accordance with PIP ADG004.
