ARTICLE NO. 1 SCOPE OF WORK


The scope of work for this project includes the professional services to be provided by the
Architect, as authorized by the Owner, for the subject project.

5. BIDDING OR NEGOTIATION PHASE


During phase, the Architect:
A. Prepares Bid Documents, including forms for contract letting, construction
documents, and bidder proposals
B. Assists the Owner in selecting a list of prospective contractors and awarding the
construction contract.
C. For competitive bids:
a. Furnishes complete sets of Bid Documents for bidding, loaned at a
sufficient amount to cover direct and indirect costs
b. Retains sole ownership and copyright to Bid Documents (Sec. 33 of R.A.
No. 9266)
c. Ensures return of Bid Documents by all entities acquiring them, with a
bond to assure return
d. Does not permit reproduction or use of Bid Documents for unauthorized
purposes
e. Helps organize and conduct pre-bid conferences, responds to bidder
questions, and assists in obtaining proposals.

6. CONSTRUCTION PHASE
A. Makes decisions on all claims related to work execution, progress, or Contract
Documents interpretation.
B. Prepares change orders, gathers written guarantees from contractors and
subcontractors, and turns them over to the Owner.
C. Conducts periodic site visits to ensure work is progressing in accordance with
Contract Documents.
D. Reports defects and deficiencies noted in work performed by contractors and
condemns non-compliant work.
E. Determines amounts owing and due to contractors and issues corresponding
Certificates for Payment.
F. Conducts inspections to determine date of substantial and final completion and
issues final Certificate of Payment.
Note: The Architect is not required to provide continuous 8-hour on-site supervision to
check on the quality of work involved.

Hello Miss Jennylen! I'd like to take a moment to explain the process of bidding and
negotiation, as well as the construction phase, which is a critical part of our collaboration.

**Bidding or Negotiation Phase**

In this phase, we, as your architect, will prepare the necessary documents for the bidding or
negotiation process. This includes forms for contract letting, construction documents, and
bidder proposals, among others. We will also assist you in establishing a list of prospective
contractors and awarding the construction contract.

For competitive bids, we will furnish complete sets of bid documents to ensure a successful
bidding process. These documents are the intellectual property of our firm, and we will require
them to be returned by all entities acquiring them. A bond may be required to assure their
return.

We will also help in organizing and conducting pre-bid conferences, respond to questions from
bidders, and assist you in obtaining proposals from contractors. We will analyze the bid results,
prepare an abstract of bids, notice of award, and other construction contracts.

For negotiated contracts, we will perform similar functions but negotiate with one contractor
instead of multiple bidders.

**Construction Phase**

In this phase, we will be responsible for making decisions on all claims related to the execution
and progress of work or the interpretation of the contract documents. We will also prepare
change orders and gather written guarantees from contractors and subcontractors.

We will make periodic visits to the project site to ensure that the work is progressing in
accordance with the contract documents. However, please note that we are not required to
provide continuous 8-hour on-site supervision to check on the quality of work involved. During
these visits, we will report any defects or deficiencies noted in the work of contractors and
condemn work found failing to conform to the contract documents.
We will determine the amount owing and due to the contractor and issue corresponding
certificates for payment based on our observations and the contractor's applications for
payment. We will also conduct necessary inspections to determine the date of substantial and
final completion and issue the final certificate of payment.

If more extensive inspection or full-time construction supervision is required by you, we will hire
a separate full-time supervisor and agree upon their services and fees separately in
conformance with the applicable SPP document.
