CHAPTER TWO

INTRODUCTION
This chapter explain about my placement in the organization, task and duties, problem
Faced.
2.1 . PLACEMENT IN THE ORGANIZATION
As a Health Information System student, I was under the ICT department. The
ICT department in KCMC is categorized into networking branch, maintenance
branch, and coding branch which all make the ICT department.

2.2 TASK AND DUTIES PERFORMED

My field practical training at KCMC, I attended as a practical trainee at the office

frequently from Monday to Friday at 8:00 am to 15:30 pm. The following are the
tasks and duties I performed during the training period.

2.2.1 Preventive maintenance.

Preventive maintenance is a crucial aspect of IT management that involves a series of

proactive measures taken to ensure the smooth and efficient operation of computer
systems, networks, and associated equipment.

The primary goal of preventive maintenance is to identify and address potential issues
before they can lead to system failures, data loss, or significant downtime. The
activities involved in preventive maintenance encompass both hardware and software
aspects.
Hardware maintenance includes regular cleaning of computer components (by using
blower and form clean to clean dust), inspection of cables and connections, and
ensuring proper ventilation to prevent overheating. Software maintenance focuses on
keeping operating systems, applications, and antivirus software up to date. Regularly
applying software patches and updates is essential to address security vulnerabilities
and improve system performance.

Figure 4: Cleaning computer with foam cleaner. Figure 5: Cleaning multi function
printer.

2.2.2 Camera installation

To install a camera system, such as NVR or DVR, the steps below was
followed:

i. Plan: Determine camera locations, coverage areas, and power sources.

ii. Mount Cameras: Securely attach cameras to walls or ceilings.
iii. Connect Cables: Run cables from cameras to the NVR/DVR.
iv. Power On: Plug cameras into power sources and turn them on.
v. Connect to NVR/DVR: Plug camera cables into the NVR/DVR ports.
vi. Network Setup: Connect NVR/DVR to your network for remote access.
vii. Configure Settings: Access NVR/DVR interface to set up recording,
motion. detection, and alerts.
viii. Test: Verify camera feeds on a monitor.
ix. Secure Change default passwords and enable encryption for security.
x. Maintenance: Regularly check and clean cameras, and review recordings.
The following are pictures taken during camera installation in the site, involves
connections and equipment used;

4
2.2.3 Software Installation

Another task during my field practical training at KCMC was to install operating

system and other application programs such as Microsoft office, adobe reader, xampp
server, antivirus (Kaspersky). Below are some of the software installations of
different software application and operating system; these are; -

2.2.3.1 Installation of operating system

Firstly, it's essential to ensure your system meets the minimum hardware requirements,
which include a compatible processor, sufficient RAM, and available storage space.
With this confirmed, the following are the steps I had used to format and to install an
operating system in a computer for window 10;

a. -I Prepared Bootable Device a USB Flash Drive by using Rufus and

Windows 10 disk image.
b. -I Inserted my Bootable Device that contain operating system for window 10
and then I restarted my computer.
c. -Then I pressed the boot key for DELL its F12 and HP its F9.
d. -The Computer may ask to press any key to boot from the External device.
e. -It prompt to choose Language Keyboard type and region.
f. -Then window 10 will appear prompt to install new window or to upgrade
the current window here if we want to keep our personal file we can just
upgrade else we can choose custom installation and select a drive which we
need to install our operating system. To prepare a drive for installation we
can format it, extend or shrink its size to get the required volume.
g. -Then we choose the exactly drive to install our windows 10 then press enter.
Windows 10 installation process shall start automatically.
h. -During installation process the computer has restarted several time.
i. -After that the configuration and personalization for the device ready to use.

2.2.3.4 Printer Installation

Printer installation is the process of setting up and configuring a printer to work with a
computer or network, enabling users to print documents and images. Printers come in
various types, including inkjet, laser, and dot matrix, each with its installation
methods and requirements.

5
The installation steps for printers can vary depending on the printer type and the
operating system of the computer. Here's a general outline of the printer installation
process:

1. Setup: The first step involves physically setting up the printer. This includes
unpacking the printer, connecting it to a power source, and attaching it to the
computer either via cable.

2. Driver Installation: To ensure proper communication between the computer and the
printer, you need to install the printer driver software.

3. Printer Configuration: To configure the printer settings, such as paper size, quality,
and default settings. This can usually be done through the printer's control panel or the
printer software on the computer.

4. Test Printing: To verify that the installation was successful, perform a test print.
This involves sending a simple document to the printer to check for any issues, such
as print quality problems.

5. Network Printing: If the printer is connected to a network, additional configuration

may be required to allow multiple users to access the printer. This often involves
setting up sharing and permissions on the network.

Printer Maintenance

(a) Cartridge Replacement.

Printer cartridge replacement is among of activities which I was doing during my

practical training. Printer cartridge can be divided into two main groups Ink jet
cartridges/ Ink cartridge for Ink jet printers and Laser toner cartridges for laser printer.
However, these printer cartridges can further be categorized into three types namely:
re manufactured. During the training were placed toner cartridges for laser.

6
Figure 7: cartridge replacement.

2.2.4 Termination of Ethernet Cables

In class we were taught how to prepare the Ethernet cables both cross over
cables and straight through cables. The difference between Crossover Cables
and Straight through Cable is that Straight through Cables are used to connect
different devices together while Crossover Cables are used to connect same
devices together.

-Preparation of straight through cable and crossover cable is the same but the
only difference is the color coding.

-In the field i have learned that UTP cable is not suitable to use in distance
over 80 miters because at that distance it starts to loose the signals. So the best
cable to use is a Fiber Optic Cable.

-I removed the outer cover of UTP cable and unwind the wires while
arranging them to the specific color coding with regard to type of cable which
is needed to prepare ( straight through or crossover) . I had cut the wires to
ensure that they are of equal length using clipping tool, and put them in a
RJ-45 and lastly I placed the RJ-45 in a clipping tool ready for clipping.

Here are the different types of cables used in computer networking: Unshielded
twisted pair (UTP) cable, Shielded twisted pair (STP) cable, Coaxial cable, and
Fiber optic cable.

7
The table below shows the color coding for straight through and crossover cables;

But focusing on Unshielded Twisted Pair (UTP) which is the most popular and is
generally the best option for school networks and also in many organizations;

Below it’s a RJ-45 shows on how the two standards for wiring Ethernet cables which
are T568A and T568B. T568B is the most common and is what we'll be using for our
straight Ethernet cable.

2.2.5 Configuration of EPG 12 View Machine (Cardiograph Machine)

Electrocardiograph machine is a device which is used to measure the lapse

rate of the body. This Machine uses three major ways to output the result, the
first one is by using a paper using its builtin function printer, second one is
using an external printer, last one is using network. Here I decided to use a
network since it was easy to configure and cheap than if I could use an
external printer or using its special paper, so I had to configure FTP in that
machine.

2.3 THE KNOWLEDGE AND SKILLS GAINED;

1) In the duration of field, I have gained the knowledge that I have not learnt in
my college such camera installation, how share printer and computer over
network, computer maintenance in practical, and computer repair. In addition,
I have learnt how to manage user that use the wireless network (WI-FI).
2) In my practical training I have learn about software development and come
across different features that can be used in developing systems(Afya Care
and OPEN MRS).
3) I was able to capture new troubleshooting commands in networking these are
netstart, ipconfig/release, ipconfig/renew, tracert and nslookup.
4) Overall I have get an experience enough to trust in myself that I'm even
better than I think because I was capable of doing tasks which I was not even
sure I could handle.

9
CHAPTER THREE

CONCLUSION AND RECOMMENDATIONS.

3.1 CONCLUSION.

After going through a lot of experience and exposure of the working environment and
the work itself, the organization has been a great foundation to build up my skills and
upgrade my knowledge. The Information Technology office has done all what it could
avail for my successful completion. To such an extent, this placement has been a
capacity builder up in terms of work efficiency. I have been learning a lot by practice
from theory part back at campus hence the placement has been worth it in terms of
skill and knowledge acquisition.

The following are the major strength of the field placement:

-It has developed my understanding of work ethics, employment demands, responsibilities
and opportunities.
-It has enhanced my skills, knowledge, work abilities, attitude towards the area of
specialization, it has developed my habits of rigorous thinking and gets exposed to
managerial responsibilities.
Weaknesses of the field placement:
- Short time of conducting field compared to the task found to the organization which
caused me not finish my intended goals.
- Another weakness of doing this practical training was confidentiality of information
within the organization, as they didn’t deliver enough information to us about the
systems.
- During field training it occurred that we use to perform task that are the same
frequently due to the fact that mostly of the task that are performed in the organization
are always repeatedly .
3.2 RECOMMENDATIONS.

Despite the fact that we had a long training period but it sounds more great having this
practice twice so as to conceptualize matters that were not taken in the first period of
time. In so doing, one can rectify all those ideas that were not practically implemented
bearing in mind that not all can be done in the given time.I'm kindly recommending
that we should be given enough time in our LABS for more practice and
implementation of what we learn in classes.
