Business process can be defined as the structured and coordinated set


of activities, steps and workflows that a business undertakes to produce a
product or deliver a service. These processes involve the flow of materials,
information and knowledge among various participants. These may be
specific to a functional area such as sales, marketing or human resources.
These may also span across multiple departments commonly referred as
cross-functional.

Business processes are integral to how work is organized within a


company and are crucial in determining how effectively and efficiently the
company operates. A well-designed and well-coordinated business process
can serve as a significant asset as a result providing competitive
advantages by enabling innovation and superior execution. On the other
hand, poorly designed or outdated processes can become liabilities which
may hinder the organization’s ability to respond to changes and operate
efficiently.

For instance, the process of fulfilling a customer order involves multiple


steps and requires coordination across different departments—sales,
accounting, production, and logistics. Sales consists of generating an
order and submitting the order. Accounting deals with the checking and
approval of credit which lastly ends by generating an invoice.
Manufacturing and products handles the assembly and the shipment of
the product. So we can say that each step relies on the timely flow of
information and materials. Any delays or inefficiencies in one part of the
process can affect the entire operation.

In summary, business processes are the backbone of any organization by


defining how work is organized and executed to create value for the
business and its customers.

2. As a consultant, I would advise the client from Boshundhara Abashik


Prokolpo to consider the following three types of Business Intelligence (BI)
systems that is tailored to different levels of management within the
organization:

1.Executive Information System (EIS):

Level of Management: Top-Level Management


Job Features and scopes:

- Strategic Decision Support:

EIS provides high-level summaries and dashboards that enable executives


to monitor key performance indicators (KPIs) and long-term trends.

- Data Aggregation:

It aggregates data from various sources to give an overall picture of the


organization’s health and progress toward strategic goals.

- Trend Analysis:

The system can help in analysing long-term trends, market conditions,


and competitive landscapes.

- Scenario Planning: Executives can use EIS to run different business


scenarios and evaluate the potential impact of their decisions.

- Alert Systems: EIS often includes alerting mechanisms that notify


executives of any significant changes or anomalies in the data.

2.Management Information System (MIS)

Level of Management: Middle-Level Management

Job Features and scopes:

- Operational Reporting: MIS generates regular reports on the


organization’s operations, such as sales performance, inventory levels,
and financial results.

- Decision-Making Support: It provides middle managers with detailed,


structured information needed to make tactical decisions and manage
day-to-day operations.

- Performance Monitoring: Managers can track the performance of their


departments, projects, or teams, and take corrective actions if needed.

- Resource Allocation: MIS aids in the efficient allocation of resources by


providing insights into the best use of time, money, and manpower.

- Problem Identification: The system helps in identifying operational


issues by comparing current performance against historical data or
benchmarks.

3.Decision Support System (DSS)


Level of Management: Lower-Level Management or Operational Managers

Job Features/Scopes:

- Problem Solving: DSS helps operational managers in solving specific,


usually non-routine problems by providing detailed data analysis,
simulations, and predictive modelling.

- What-If Analysis: It allows users to simulate different scenarios and


assess the impact of various decisions before implementation.

- Interactive Tools: DSS provides interactive tools like spreadsheets, data


visualization, and analytical models to explore different decision options.

- Data-Driven Decisions: The system assists in making more informed


decisions by providing real-time or near-real-time data that is specific to
operational tasks.

- Risk Management: DSS can help identify potential risks and


opportunities by analysing data from multiple perspectives and
forecasting outcomes.

To summarise, EIS is ideal for strategic decision-making by top-level


management, focusing on long-term trends and high-level data
summaries. Whereas MIS supports middle-level management in
operational reporting and tactical decision-making, with a focus on
efficiency and performance monitoring. Lastly DSS assists lower-level
management in solving specific problems and making informed
operational decisions using detailed data analysis and modelling.

By implementing these three types of BI systems, Boshundhara Abashik


Prokolpo can ensure that its managers at different levels have access to
the information they need to make better, more informed decisions,
tailored to their specific responsibilities.
