Editorial Manager

Tracking System
• Author Login- For Authors to submit their manuscript
and track its progress through the system

• Reviewer Login- For Reviewers to view and/or download


manuscripts assigned to them or submit their comments to
the editor and the authors

• Editor Login – For Managing Editor/AMEs to monitor stepwise


process of articles
• Publisher Login- For Publisher
The main navigation toolbar is displayed at the top of the
Welcome page:

 HOME – Shows the Welcome page while logged in.


Use ‘Main Menu’ link to return to the Editor main
menu.

 LOGIN – The ‘Editorial Manager Log-In screen’ will be shown.

 REGISTER – Chooses un-registered users through the


registration process.

 UPDATE MY INFORMATION – Permit the user to change

show the Journal(s) website

 By clicking Register New User link, the Editor is presented
with an initial ‘Pre-registration’ check, where the new user’s the

• When the ‘Assign Editor’ link is clicked in the Action links of New
Submissions, a new window pops up showing the ‘Assign Editor’ menu
(see below):

• Those who are registered as editors to receive a ‘New Assignments’ will


be displayed in the selection list. The Assign Editor page is enhanced to
show both the Manuscript’s Classifications and the number of matches
with the Editor’s Personal Classifications.
 Once an Editor has been selected, a new page is displayed
entitled ‘Assign Editor – Confirm Selection and Customize
Letters’.
 Managing Editor can go for customization later “Confirm
selections and Send letters”.
You can find following options in Action Links

 View Submission: This link opens the content that the author has
submitted. The user may download which version of the
submission they would like to view.

 Details: For knowing the entire details of individuals acting on


submission and article status

 History: Shows the History of a manuscript. It displays the date the


manuscript entered into each status event.

 Classification: A summary of the classifications that have been selected by

 Unassign Editor: To unassign editor; the manuscript may be


immediately switched to a new Editor

File Inventory: Renders access to the individual


source files of the submission.
 Edit Submission: To make changes / any kind of
amendments to the submission

 Notify Editor: To notify the Editor in the article assignment chain

 Notify Author: For notifying the author regarding the article status

 View Review and Comments: For viewing the review

 Set Final Disposition: To have a final decision from our side.


Setting the Final Disposition (accept/reject/withdraw)
completes the review process. It also induces transmittal of
accepted manuscripts to production.
The Invite Reviewers link displayed once the paper has been
assigned to an Editor. This link can be displayed throughout the
peer-review process until a decision has been made on the paper and
the author has been informed.
Inviting Reviewers

When an editor clicks on the ‘Invite Reviewers’ link, a new window pops up
containing the ‘Reviewer Search’ menu. The managing editor can use
below options for already registered reviewers.

 Search for Reviewers


 Search by Classification Matches
 Search by Personal Classifications
 Suggest Reviewers

A list of Reviewers associated with the selected
Classifications are returned
The editor can search for Reviewers based on the
Personal Classifications related to each Reviewer.
If an Editor cannot find a potential Reviewer in the database the
Managing Editor
can Proxy Register that person using the Register and Select New
Reviewer link.

The Managing Editor can register a person, even if he has finite


contact information; send a custom letter or no letter to the registrant;
assign a Reviewer role, and immediately invite the registrant to review
the submission.

View Reviews and Comments
 Clicking “View Reviews and Comments” shows a screen
containing information pertaining to the Reviewers and
Editors for all versions of the manuscript.
Managing Editor can submit decisions by clicking on the Action
link called ‘Notify Editor.’ Then in the drop down choose ‘Editor
Notice All reviews complete’. This allows an Editor to be able to
make a decision at any stage of the peer review.
If there are outstanding Reviews or Reviewer Invitations then

System Administrator Functions


This field takes the user to the main System Administrator Menu. This
allows the Journal Office to configure/ modify settings within the
system. It is possible for an Editor to have ‘Restricted Access’ to some
of these attributes.

By clicking this link, the Editor is presented with an initial ‘Pre-
registration’ check, where the new user’s the First Name, Last Name
and E-mail address can be inserted.
Reports
Editorial Manager contains pre-defined reports that are available for
immediate use. Editors (with permission) can create custom reports or
export data from individual tables using the General Data Export
functionality.

Send Batch E-mail


This link allows the user to send out an email to a group of members by
role.
Click on the button marked ‘Preview and Send’. A copy of this letter will
be
available to view within the History of the paper.

Send Reminder Letters


There is a number of different types of reminder letters in Editorial
Manager. Reminders can be sent to authors, reviewers, and editors.

Automatic Reviewer Reminders


Publications may also allow users to create and save Automated
Reminder letters. Userswith the existing ‘Produce
Reports’ and ‘Create Automated Reviewer Reminders’
permission will see the Automated Reviewer Reminder Report link on
the Reports Menu.
Users with the ‘Send Reviewer Reminders’ and the new ‘Create
Automated Reviewer Reminders’ permission will see the Automated
Reviewer Reminder Report link on the Send Reminder Letters page
(from the Editorial Main Menu).

From Automated Reviewer Reminder Report link reminder definitions
can be set up so that E-mails are sent to Reviewers with invitations/
Reviewers who agreed to review but are late/ Reviewers who agreed
to review and their due date is approaching. Editors may also select
the selection criteria by a particular Reviewer Role, Handling Editor,
Article Type or Section/Category. When creating an Automated
Reminder definition, an editor must give it a Reminder Name and
choose the Reminder Letter that will be sent.
 Once an Automated Reminder letter has been created and saved at
the bottom of the page. To stop an Automated Reminder from running,
simply click the Remove link.
 A batch process runs all saved Automated Reminder letters once in
each 24 hour period. If the publication wants to send multiple
reminders, multiple Automated Reminder letters can be saved. Each
saved reminder can have its own letter associated with it.
This feature provides a way to invite Authors to submit
papers. Managing Editor can invite an author(s) to
submit a manuscript on a particular topic.
