MS Office Features

It is an office suite of inter-related desktop applications, servers and services for the Windows
operating systems introduced by Microsoft in 1989.
 MS-WORD: Helps users in creating text documents.
 MS-EXCEL: Helps to Creates simple to complex data/numerical spreadsheets.
 MS–POWERPOINT: Helps in for creating professional multimedia presentations.
 MS–OUTLOOK: Microsoft Outlook is an e-mail application suite of Microsoft for e-mail
management and related jobs.
 MS-PUBLISHER: Introductory application for creating and publishing marketing
 materials.
 MS-ACCESS: Database management application.
 MS-ONENOTE: Alternate to a paper notebook, it enables an user to neatly organize
their notes.

MS - EXCEL
 Excel provide various features, it basically consist of rows and column sheets or also
called spreadsheet document.
 When you create a MS-EXCEL file for first time it will contain three sheets by default.
 Header and footer can be attached to the spreadsheets.
 Allow to have find and replace feature that enables you to search and replace desired
text with the one at one shot.
 Password protection is present so that one can protect the workbook from unauthorized
users.
 It allow you to filter data by data filters.
 User can sort the data of the sheets also.
 Formula Auditing.

MS-POWERPOINT
 It allows user to create virtual slide show presentations displaying text , images, shapes and
videos.
 Allow animated effects to the content and transition between slides.
 It has its own library of shapes and object.
 Slideshow feature is available.
 It was originally called presenter.

MS-WORD
 It allows to make documents that are text documents.
 Various predefined templates are provided to make the document.
 It provides a clipboard where copied material is stored.
 Header–Footer feature is provided.

 Microsoft Outlook is an e-mail application suite of Microsoft for e-mail management and
related jobs.
 Easy to use, having handy interface.
 Attachment with reminder feature.
 Signature saving and attaching in mail.
 Organize calendar appointment.

 Enhance security feature.

MS-PUBLISHER
 The main benefits of Microsoft Publisher are its rich feature set, ease of use, and it integrates
seamlessly with Microsoft’s other applications.
 Pre-designed template is available

MS-ACCESS
 It is a relational database application
 With the help of Microsoft Access users can effectively manage important information by
storing it
 conveniently for future reference, reporting, and analysis.
 Easier than client-server database to understand and use
 Import and export to other Microsoft Office and other applications
 Allows output Reports in PDF format
 Ready templates for regular users to create and publish data.

MS-ONENOTE
 Share web content, articles, images, videos, and files with OneNote.
 Multitask with OneNote in multi-window mode.
 Bold, italicize, underline, highlight, increase indent, decrease indent format your notes like
you do
 on your desktop.
 Record and insert audio notes.

General Keyboard Shortcuts


 Ctrl + Enter: Insert page break
It allows user to enter the new blank page next to the current page.
 F4 : Repeat your last command
This is a very good that enables you to repeat your last performed action.
 Ctrl+F6 : Cycle through your open word docs
When so many word doc files are open then by this command you can navigate among
them.
 F5 : It will allow you to any page , section , line and more
When you want to go a particular page or find a line then you need not to go page by page to
search for that, with this command it will prompt you to enter the required page number or
section or line and will redirect you to that page or section or line.
 Alt + Shift + Left/right arrow key: Create headings
You will be taken to heading menu at the top of the screen.
 F12: Save As
Just press this and save a new document.
 Ctrl+B: to toggle the bold attribute
 Ctrl+I: to toggle the Italic attribute
 Ctrl+U: to toggle the Underline attribute
 Ctrl+V: To paste the item that is copied in clipboard
 Ctrl+C: To copy any the selected item.
 Ctrl+X: To cut the selected text on clipboard
 Ctrl+Z: To undo the previous task
 Ctrl+Y: To Redo the previous task
 Ctrl+O: To open a document
 Ctrl+N: To create a new document.
 Ctrl+F: To find.
 Ctrl+A: To Select all.
 Ctrl+W: To close a workbook in MS-Excel.
 Ctrl+S: To Save.
 Alt+N: Go to insert tab
 Alt+M: Go to Formula tab
 Ctrl + Home: To go to the start of the document
 Ctrl + End: To go to the end of the document
 F7: To launch spelling and grammar check.
 Ctrl + F2: To choose print preview from “File” option.
 Ctrl + F4: To close the window.
 Ctrl + F6: To go to next the window
