Overview
This document provides information about how to use the user interfaces of content package “ Manage Asset
Retirement”. Process operators, approvers and requestors are the target users of the user interfaces
explained in this document.
Manage Asset Retirement automates the deactivation of equipment, work orders, notifications,
maintenance plans and retirement of asset. Notification requests for asset retirement is created from an
UI5 application and is submitted for an approval. After all the approvals are completed, deactivation process
begins. There is a provision to set up variants wherein the levels of approval needed for the process can be
configured. When a requestor creates a notification request for asset retirement, corresponding process
variant is triggered in SAP Build Process Automation or SAP Workflow Management based on configurable
business conditions.
• Easily deployable package from SAP Build Process Automation or SAP Workflow Management with
minimal developments in SAP S/4HANA system.
• Configure multi-level approval based on various parameters like Company Code, Asset Net Book
value, Plant, Approval Level, Cost Center etc.
• Approvers are automatically determined using a configurable business rule.
• Provisioned with a process admin flow for process exceptions.
• Exception handling during the Deactivation process to notify the Requestor for corrective
measures.

Create Asset Retirement Notification Application
The UI5 application Asset Retirement enables the line of business users to create an Asset Retirement
Notification and to Submit the same for approval. Once enabled, the application can be accessed from the
SAP Business Technology Platform Fiori Launchpad tile.

Create Asset Retirement Request
User can create an asset retirement request by clicking on the ‘Create Asset Retirement Request’ button on
Initial the landing screen.
User can select the equipment by clicking on the value help button.
In the resultant pop-up screen, user can search and select the equipment.

User can enter the notification description in the “Notification Description” field.
After selecting the equipment and entering the relevant notification description, user can click on the create
button to Create the Asset Retirement Notification request. A pop message as shown below will be visible
to the user once the notification is successfully created.

Search existing Asset Retirement Notification Requests
An existing asset retirement notification can be searched with various combination of fields like Notification,
Equipment, Maintenance plant, Planning Plant, Main work Center,
To use the value help, click the button shown below.
In the value help pop-up enter the search criteria like the Equipment or plant etc.

Display Asset Retirement Notification Request
A list of asset retirement notifications will be displayed based on the selection by user (see the above section
on how to search for Asset retirement notification requests based on various combination). The user will be
able to click on any line to view the retirement request in a read-only mode.
The below screen will be shown when the user clicks on the equipment. It shows the list of maintenance
plan, open work orders and open notifications for the selected equipment.

The user can check the Asset Net book by clicking on the button “Show Net Book Value”.
The retirement request can be submitted for approval by clicking on the Submit button that is visible in the
display screen.

My Inbox application to Approve or Reject Asset
Retirement Request
SAP Workflow Management’s “My Inbox” application enables line of business users to claim and complete
their task. Please go through SAP My Inbox documentation for more details.

My Inbox for Exception Handling
When an exception occurs while deactivating work order, notifications, plans, equipment or while retiring
the asset, the requestor of the retirement request will receive a task in My inbox in SAP BTP to take relevant
actions.

The error handling User Interface has 4 sections:
• Work Order Details – Relevant details about the object that gets failed. For example work order,
notification, Maintenance plans.
• Error Details – Shows the errors that were encountered
• Comments – To add user comments
• History – Shows details about the previous User actions

Process Visibility Workspace
Process Visibility capability in SAP Build Process Automation or SAP Workflow Management enables Process
Owners and Process Operators to gain real time visibility on processes and key process performance
indicators. It also enables customers gain out of the box process visibility into their deployed processes.
Please refer help documentation for more details.
The Manage Asset Retirement package provide out of the box visibility to process performance indicators
for all the deployed process variants in SAP Build Process Automation or SAP Workflow Management. A
process owner or line of business expert will be able to enhance the visibi lity scenario.
